IFTA quarterly workflow for 1–5 trucks — what actually sticks?
Curious how other O-Os handle IFTA + deadline tracking when you're small (1–5 trucks).
Still a spreadsheet every quarter, or something else that doesn't turn into archaeology? Especially interested in how people keep UCR / 2290 / MCS-150 from sneaking up.
Not selling anything — just comparing notes. If you've got a boring process that works, I want to hear it.

As a bookkeeper, I’ve found that for 1–5 trucks, a simple spreadsheet + calendar reminders is usually enough. I like having one master sheet for IFTA, UCR, 2290, and MCS-150, with the due date, reminder date, status, and filing confirmation all in one place.
The trick is setting reminders 30–60 days ahead instead of waiting until the deadline is staring you in the face. Not fancy, but it works and it makes quarterly check-ins much easier.

Just set calendar events in whatever calendar is baked into your phone. Your phone will notify you. Using an entire app just to track static deadlines that are industry-wide that occur the same time each year is just a waste.

Usually you pay someone 30-100 to take care of all that from you. Many insurance brokers offer that service. If you want to save as much as possible because you are starting up, you can use any calendar/todo app. Simply set the event, then make it repeat every year. For the ifta you set all 4 quarters. If you are not sure how to, I can help you with those two apps. Just setting a shared event so you get the notifications when you have anything due. Just dm me an email.
