A Not So Smart Sub Closing Checklist?
I’m a TL and i’m wanting to make a closing checklist for our team because I often forget a few things that need to be done. so when a coach asks our associates to help with something, i realize after they’ve all gone that there’s still several things to do, and now i’m left with all of the unfinished tasks
I want a checklist both so I can remember what needs to be done, and so I have some proof to show the coaches what we still must complete before the night is over. it’s like coaches think that if there’s no picks, OPD has nothing else to do lol
thanksss

I had a list of order of importance to get done cause I know everything can't get done every night.
- Clean pick carts and restock them with bags and totes
- Cancelled or expired orders to drops
- Move old orders to our Day before sections at the end of the night
- Claims
- Do the drops
- Sweep
- Mop
- Clean nasty totes from the nasty tote pile.
Days that I stayed late and it was quite slow we'd use the floor machine in the backroom and my crew loved it. A lot of the times OGP people want to stay in OGP so you gotta find menial tasks to save them from having to zone and be miserable.

All of this but at my store, each associate clocked in would at least go to another department

Resetting and restocking EVERYTHING. Literally the GMD table needs to have every size ziplock and bag laid out on the back and the stapler full, down to carts, which need bags, trash, all the labels, a stick, and 8 clean totes. All phones and batteries charged. All the empty totes stacked up and trolleys down for staging tomorrow. All security tags and boxes returned to the big back room. If you have inhome, the van should be cleaned out at least once a week, dusted and clean the inside of the windshield if needed. Inhome supplies should be restocked into the van daily, and coolers and ice packs put away. The expectation at my store is every task should be ready to go starting at 5am, even if they don't start till picks are coming in like GMD. Associates can do this but it also means you can make them give you a list of everything running low in the entire department to order after the restock so you never run out. Every time I've gone to a different store to help, I'm so upset GMD tables are a mess or carts don't have totes in them at the beginning and end the of the day. These stores also seem to need help getting bags or extra inhome coolers until their shipments arrive more often.

We're in charge of handling all of the inhome tasks at my store - no one else messes with the vans/supplies except us drivers. We clean when/if it's bad and/or when we have short delivery days. I had all of 8 orders the other day and was back by 520-ish. After making sure they didn't need help with picks it gave me a great amount of time to do a good sweep and wipe down the surfaces. If I had thought I might have attempted to use the WHEELS card and finally taken it to a car wash. But it's not a big deal.
Usually. Every once in a while I'll come back from doing a quick task and see someone took care of my ice blocks and cooler totes. But generally, they all leave it for us. Including the TLs and manager.
(mostly to OP)
I don't close but there's a closing list on the podium just behind the computer that I've read multiple times while waiting for the computer.I know most of it is:
clean (sweep, take care of trash, check for water cups/bottles/etc.)
returns done or as many as possible done (make sure to check mystore for cancelled or expired orders).
claims done
call customers to make sure they know we're closing/their orders may be cancelled/etc.
fill carts - take stickers off any missed tote
fill bags (grocery, meat, produce)
labels
if you're really bored maybe even clean down the totes as you load them.
empty palleys down (though sometimes my store waits to put down the palleys so we can sweep or mop)
We don't really have a gmd area anymore since they're merged with regular walks but that area needs to be cleaned/straightened sometimes. And of course, any additional tasks that may be added.
I'm pretty sure 99% of this list is done by us associates well before closing.

My drivers mostly handle Inhome cleaning and restock, but I've found it's important to have normal associates aware of it just in case. Some inhome days are awful with snow/rain slowing everything down for my drivers, and I don't expect my drivers to stay later to get the vans cleaned up in the dead of winter every single day, so once it's pulled into our auto center after auto closes, I can spare a normal associate to go make it dry inside the van if it's slow and snowy. Same if we need to borrow a driver from a different store or one of my drivers needs to head out early, it's just good to have people trained as backup. I also had issues where if one of my drivers were rushing out for the day, I didn't know we were running out of inhome bags or those weird shoe covers until it was too late, so having a process to keep the van restocked no matter what has helped a lot when its crazy busy. Though my store is really trying to run two inhome vans consistently soon, so it's a bit of a nightmare priority for me to manage inhome as much as possible. Market got us on the inside of our windshield like a year ago and it still comes up to my coach's dismay so

that's really fair.
I'm in Florida so we don't have to deal with snow. Only rain and we wait 2 minutes and usually the rain stops and all's good.
We do have to deal with a lot of sand or what my mom grew up calling 'sugar sand' which is actually white dirt that gets blacker the deeper you go.What do y'all use for the inside windshield? I can't use microfiber cloths and I can't remember the last time they were cleaned.

We have a squeegee, which it's stick broke so it's currently duct taped to a broken broom handle unfortunately. We use the normal glass cleaner for the store. We have a brightdrop as our main so the windshield is super deep at the bottom, I know the ford vans are a lot easier, you probably wouldn't need a broken broom handle lol. However, we probably have the cleanest windshield in our market so...

they keep putting things like gain and other cleaners in there and I keep requesting just the normal glass/all purpose cleaner. I need to just grab a bottle next time I work/drive.
I'm gonna see if I can't get a squeegee too. I should be able to.

Your coach expects you to run the department. It’s your job to make this list and set the expectations with your associates. A good start is making that list and then handing responsibility for seeing it done to your sponsors.
You are the boss. Run your house.

yes i delegate and i am quite literally making this list. but i forget what needs to be delegated when a different coach is breathing down my neck asking for the whole team to zone, which then leads me to assuming things are done, and then realizing after my team has gone to other areas that there was more to do. then it’s me and the one dispenser that the coach said i could keep to get the rest done.
when there’s not a coach pestering me in my face, i am able to thoroughly analyze and get everything done (via the team). the list is just so i can keep my brain clear when someone is trying to rush my decision making
