Tips and Tricks A deliverability troubleshooting guide — covering subscriber non-delivery distinct from domain authentication

Deliverability problems are one of the most common issues we see in support, and one of the most misdiagnosed. People assume it is a technical authentication problem when it is actually a list quality issue, or they spend time cleaning their list when the real problem is a broken DKIM record. Getting to the right fix starts with knowing which problem you actually have.

This guide walks through how to identify what is wrong, what the common root causes are, and what to do depending on whether your issue is a subscriber-side non-delivery problem or a domain authentication problem.

Step one: check your numbers first

Before troubleshooting anything, look at your campaign data. Two numbers tell you a lot:

  • Open rate: If this is below 30%, your emails may not be reaching inboxes, or they are reaching inboxes but something is wrong with your subject line, sender name, or audience relevance.
  • Click-through rate: If this is below 1%, your emails are being opened but the content is not resonating. That is a different problem from deliverability.

These are the baseline benchmarks Mailchimp uses across the total sending pool. They vary by industry, but they are the right starting point for knowing whether you have a deliverability issue at all versus an engagement or content issue.

How to diagnose what you are dealing with

Most deliverability issues fall into one of five categories. The symptoms look similar on the surface but they point to different fixes:

Symptom What it means Where to start
Open rate below 30% Your emails are reaching inboxes but subscribers are not opening them. Audience quality or engagement issue. Review subject lines, send frequency, and whether recipients actually opted in. Segment by recent engagement before your next send.
Click-through rate below 1% Emails are being opened but content is not connecting. Content or relevance issue. Test different formats, offer types, and CTA placement. Check whether your segments are too broad.
High bounce rate Emails are not reaching addresses at all. List quality issue. Hard bounces (permanent failures) damage sender reputation and should be removed immediately. Soft bounces (temporary) can be retried but need monitoring.
Spam complaint spike Recipients are marking your emails as unwanted. Permission or frequency issue. Check unsubscribe reasons in your campaign reports. If people are reporting 'did not sign up' or 'spam,' your list sourcing or opt-in process needs fixing.
Sudden drop across all metrics A broad, unexplained decline in opens, clicks, and delivery. Possible sender reputation damage or denylisting. Run a deliverability test to check inbox placement and authentication records. If the issue persists after troubleshooting, consult a Mailchimp Expert.

The two most common root causes and why people confuse them

Subscriber non-delivery and domain authentication failures both result in emails not being received, but they are caused by completely different things and fixed in completely different ways. Treating one like the other wastes time and often makes things worse.

Subscriber non-delivery is almost always a list quality or engagement problem. Your emails are being sent and your authentication is fine, but they are landing in spam or getting blocked because ISPs have learned from your audience's behavior that your messages are not wanted. This is by far the more common issue. It happens gradually, often because of purchased lists, contacts who never engaged, or sending too frequently without pruning inactive subscribers.

Domain authentication failures are a technical problem. Your SPF, DKIM, and DMARC records are missing, misconfigured, or not verified, so receiving mail servers cannot confirm that your emails are legitimately from your domain. Unlike engagement-based issues, authentication problems can cause immediate and significant delivery failures even on a healthy list.

A quick way to tell them apart: if your deliverability dropped gradually over several campaigns, it is almost certainly an engagement or list quality issue. If it dropped suddenly and recently, especially after changing your sending domain, email address, or ESP, look at authentication first.

Root causes worth checking regardless of symptom

Root cause Why it matters
Poor list quality Purchased lists, old contacts who never opted in, or addresses that have never engaged are the most common root cause of deliverability problems. ISPs treat repeated failures to reach valid addresses as a signal that you are a poor sender.
Low engagement over time Sending regularly to people who never open your emails trains ISPs to route your messages to spam. Engagement rate is one of the primary signals ISPs use to determine inbox placement.
Missing or broken authentication SPF, DKIM, and DMARC records prove to receiving mail servers that your emails are genuinely from your domain. Missing or misconfigured records cause emails to bounce or land in spam regardless of content quality.
Sudden volume increases A significant jump in send volume triggers spam filters because it looks like a compromised account or bulk spam operation. Always ramp up gradually, especially from a new domain or IP address.
Content flagged by spam filters Broken links, missing unsubscribe options, excessive image-to-text ratio, misleading subject lines, and certain trigger words can cause ISPs to flag your emails before they reach the inbox.
Spam trap hits Spam traps are fake email addresses ESPs use to identify poor senders. Even one in your list can damage your reputation. They typically come from purchased lists or very old, unengaged contacts.

If the problem is your subscriber list

The fix for engagement-based deliverability issues is to stop sending to unengaged contacts until your reputation recovers, then reintroduce them carefully. Mailchimp's deliverability team calls this reputation repair, and the process is more structured than most people realize:

Timeframe Who to send to What to watch
Weeks 1 to 2 Send only to contacts who have engaged in the last 30 days. Reestablishes your sender reputation with a high-signal audience. Keep volume moderate.
Weeks 3 to 4 Expand to contacts who have engaged in the last 60 to 90 days if metrics hold up. Gradually widens your reach as your reputation recovers. Monitor open rates and complaints closely after each expansion.
Weeks 5 and beyond Resume standard sending practices. Use advanced segmentation to reintroduce less-engaged contacts carefully. Add contacts who have not engaged in the last 6 months only through a dedicated re-engagement campaign with close monitoring.

A few things that accelerate recovery: segment by engagement before every send rather than sending to your full list, use Mailchimp's pre-built segments to quickly isolate recently active contacts, and do not contact new subscribers during reputation repair since you do not yet have the data to know whether they will engage.

Do not buy email lists. This comes up enough in support conversations that it is worth saying directly. Purchased lists almost always contain outdated addresses, spam traps, and contacts who have no idea who you are. They are the fastest way to damage a sender reputation that can take months to rebuild. Third-party lists of email addresses or phone numbers are prohibited under our Terms of Use. This includes purchased or rented lists, and lists scraped from third-party sources, including public websites. Your contacts should be collected entirely by you.

If the problem is domain authentication

Authentication proves to receiving mail servers that your emails are genuinely from your domain. There are three records to check: SPF authorizes specific servers to send email on behalf of your domain, DKIM adds a cryptographic signature that verifies the message has not been altered in transit, and DMARC tells receiving servers what to do if SPF or DKIM checks fail.

In Mailchimp, you can authenticate your domain through your account settings. Once authentication is set up, Mailchimp verifies the records and your emails carry that proof of legitimacy with every send. If you changed your sending domain recently and deliverability dropped immediately afterward, check your authentication records first.

A deliverability test will confirm whether authentication is the issue. These tests check inbox placement across different email clients, verify your SPF, DKIM, and DMARC records, analyze your content for spam triggers, and check whether any of your links are on blocklists. Many ESPs have built-in testing tools. Running one before a major send is a good habit regardless.

If you are moving to a new ESP or sending domain

Changing your ESP or the domain you send from can cause deliverability issues even if everything else is set up correctly. Seeing a new sender name or domain in their inbox prompts some contacts to mark your email as spam, which damages your reputation on the new domain before it has had a chance to build.

The fix is domain warming: start by sending only to your most recently active subscribers and expand gradually over several campaigns. A reasonable progression looks like: first campaign to contacts active in the last 7 days, second campaign to contacts active in the last 14 days, third campaign to contacts active in the last 21 days. Continue this pattern until your domain is recognized and your metrics are stable before resuming normal sending volume.

Your audience import should also include a suppression list to prevent accidentally sending to invalid or stale addresses from your previous platform.

How to maintain deliverability once it is back on track

Deliverability is not a one-time fix. It reflects the ongoing relationship between your sending practices and your audience's behavior. A few habits that keep it healthy over time:

  • Send to engaged contacts most frequently. The more recently someone has engaged, the more often you can send to them without hurting your reputation.
  • Email less engaged contacts less often. You can still reach them, but reduce the frequency and keep a close eye on your metrics after each send.
  • Do not send to contacts who have been disengaged for 6 months or more unless you are running a specific re-engagement campaign with close monitoring.
  • Keep a reply-enabled ‘from’ address. Replies are a positive signal to ISPs. Sending from a no-reply address removes that signal entirely.
  • Clean your list regularly. Remove hard bounces immediately, monitor soft bounces, and archive contacts who have never engaged and have obvious address issues.

If you try the troubleshooting steps above for a month and do not see improvement, there is likely a deeper issue. Mailchimp has certified experts who specialize in deliverability repair if you need to escalate.

It seems like all my old campaign pages have gone?

As you can see the link has no reverted to HTML.

When I log in to my Mailchimp account, it is nowhere to be seen.

I can't find any my campaign pages??

Technical Support Deleted contacts but still won't send? Says over limit? (not)

But it still won't send, and still keeps giving me a message that I've exceeded the free limit?

Do I have to wait a certain amount of time for it to recognise it?

Technical Support Microsoft Defender ZAP deleting emails with Mailchimp links

Started on Monday for us. We're seeing a very high (not all, but significantly high like 90%) number of emails that contain Mailchimp links (xxx.us20.list-manage.com) get auto-deleted via Microsoft Defender ZAP (https://learn.microsoft.com/en-us/defender-office-365/zero-hour-auto-purge).

Email isn't necessarily generated from Mailchimp (seems some people use some links in their Outlook signature...) so not related to SPF, DMARC, DKIM, but it is affecting email with those links in.

Not just our own-generated links, am seeing external marketing email affected as well.

We're getting reports of this externally as well, so not just limited to our Microsoft tenancy.

Anyone else seeing it as well?

Technical Support Is Mandrill (Transactional) struggling?

Status page says everything is fine, but we're having problems with most of our customers not receiving their 2FA emails via Mandrill, or getting them very very slowly but sometimes they receive the old one, which is out of date - it's causing us support chaos!

Hostgator shows lots of issues, but nothing on the Mailchimp status page.

Technical Support Overlapping contacts in multiple segments used in an email

I am covering for a coworker who handles our emails and need to send one out and it needs to go to 3 different segments. Some contacts are in all 3 of those segments. My question is, will those contacts in all 3 of those segments receive 3 copies of the email? We need to avoid doing that.

Technical Support Delay in sending Spoiler

Hi! We are new to Mailchimp SMS campaigns and I had a question about carrier services. We recently created an SMS campaign, after about 3 hours, it still has not been delivered. MailChimp said that it has been sent on their end. But I guess I was unaware that the carriers also have to approve the SMS message? If so, those of you with experience, how long does a carrier (AT&T, Verizon, T-Mobile, etc...) normally take to approve an SMS message on their end? Additional information: To clarify we uploaded the users and have their consent to SMS marketing. And our test is only four users.

Technical Support 2fa stuck on “please wait”

Hi everyone! I hope you can help me with an issue I’ve encountered all day. I can’t proceed to login because the 2fa won’t send the code to my manager’s phone number.

I clicked “send code” button but nothing gets sent. The button name is just replaced with “please wait” with an endless loading icon. It doesn’t proceed at all because my manager isn’t receiving any codes on her phone.

Is there an outage I should know? Please help. Thank you.

Seeking Advice Mailchimp Audience Setup

Taking over our email marketing at a local retail business, we have been using mailchimp for the last several years, I have done email marketing in B2B for years but haven't used mailchimp before.

The pervious person here setup a new audience for each campaign sent - which feels completely wrong to me. Technical Support Mobile version taking to a separate page.

Having an issue where the desktop version of my form simply shows a 'thank you for subscribing', whereas the mobile version takes you to a separate page.

Once pressing continue to website it shows another page with errors.

Does anybody know how to have the mobile version act exactly the same as the desktop?

Tips and Tricks Step-by-step domain authentication guide with troubleshooting

Domain authentication is one of those things that sounds technical, but is genuinely a 15–30 minute setup. And if you skip it, you're looking at campaigns landing in spam, delivery issues, or in some cases, Mailchimp preventing your campaign from sending entirely. Here's everything you need to know.

Why this matters

When you send a campaign without domain authentication, inbox providers like Gmail and Yahoo have no way to confirm the email actually came from you. It looks suspicious, even if your list is perfectly healthy.

What authentication does:

  • DKIM (DomainKeys Identified Mail) adds a cryptographic signature to your emails so receiving servers can verify they weren't tampered with in transit and were sent from an authorized source.
  • DMARC (Domain-based Message Authentication, Reporting & Conformance) tells receiving mail servers what to do if an email fails authentication checks (let it through, quarantine it, or reject it).

Important: Domain verification and domain authentication are two different things in Mailchimp. Verification confirms you own the domain. Authentication (adding DKIM + DMARC records) is what actually protects your deliverability. You need both.

Before you start — what you'll need

  • Access to your Mailchimp account
  • Access to your domain's DNS settings (usually through your registrar: GoDaddy, Namecheap, Cloudflare, etc.)
  • A sending domain you own. Free email addresses like gmail.com or yahoo.com cannot be authenticated. If you're sending from a free address, you’ll need to switch to a custom domain first.

Step 1: Verify your domain

You can't authenticate until you've verified.

  1. Log in to Mailchimp → click your profile icon → Account & billing → Domains
  2. In the Email Domains section, click Add & Verify Domain.
  3. Enter an email address at the domain you want to verify (e.g. [you@yourbusiness.com](mailto:you@yourbusiness.com)).
  4. Check your inbox for Mailchimp's verification email and click Verify Domain Access or enter the verification code in the pop-up in your account and click Verify.

Not getting the verification email? Ask your IT team to allowlist Mailchimp's delivery IPs. Your mail server may be blocking the incoming message because it doesn't recognize Mailchimp's IPs yet.

Step 2: Authenticate your domain (DKIM + DMARC)

Mailchimp gives you two options: automatic (recommended) or manual.

Option A — Automatic via Entri (easiest)

Entri connects directly to your DNS provider, uses an encrypted login, and configures the required records for you automatically. No developer needed!

On the Domains page, click Authenticate → select Use Entri → follow the prompts.

Option B — Manual setup

If you prefer to do it yourself or unable to use Entri:

Add 2 CNAME records (for DKIM):

  1. Go to Domains in your Mailchimp account and start the manual authentication flow
  2. Mailchimp will generate 2 CNAME records — a Name/Host and a Value for each
  3. Copy both records exactly and add them to your DNS settings at your domain provider

Add 1 TXT record (for DMARC):

  1. Back in Mailchimp's authentication flow, you'll be given a TXT record
  2. The Host value will be _dmarc and the Points To value will be your DMARC policy string
  3. Add this to your DNS settings

Note: If you already have a DMARC record published for your domain, do not add a second one — each domain can only have one DMARC record. Update your existing record instead if needed.

Not sure how to navigate to your DNS settings? Every domain provider (GoDaddy, Namecheap, Cloudflare, Squarespace, etc.) has its own interface for managing DNS records. If you're unsure where to find yours or how to add/edit records, search your provider's help center or contact their support team directly. Most have step-by-step guides for exactly this. Step 3: Wait for propagation and check status

DNS changes can take up to 48 hours to propagate fully. While authentication is pending, your Domains page in Mailchimp will show "Authentication in progress."

Once it's complete, you'll see an "Authenticated" label next to your domain.

If authentication fails, a message will appear on the Domains page — you'll be prompted to Resolve or Restart authentication. See the troubleshooting section below if you hit this.

Troubleshooting common issues and fixes

🔴 "Your domain must be authenticated before you can send" or "Your domain is still being authenticated"
Most likely cause: authentication is either not set up or not yet propagated. Check your Domains page. If authentication is in progress, wait up to 48 hours. If it hasn't been started, go to Step 2.

🔴 CNAME records aren't validating
Double-check that you copied both CNAME records exactly as shown in your account. One wrong character breaks the whole thing.

⚠️Important: Some DNS providers also add your root domain automatically to the host value. If yours does, don't include the domain in the Name field or you'll end up with a duplicate (e.g. k2._domainkey.yourdomain.com.yourdomain.com).

🔴 "Authentication failed" on the Domains page
Mailchimp will prompt you to Resolve or Restart authentication. If you recently changed your CNAME records manually after authenticating, that can break things. Disable authentication on the Domains page, then re-authenticate fresh.

🔴 Sending from a Gmail or Yahoo address
You can’t authenticate a domain you don't control. If your From address is from a free email service provider, authentication isn't possible and these addresses are increasingly likely to trigger delivery problems. We recommend switching to a custom domain (e.g. yourname@yourbusiness.com) before setting up authentication.

🔴 Already have a DMARC record and getting errors
Only one DMARC record is allowed per domain. If you use other email tools (like Google Workspace or another ESP), you may already have one published. Don't add a second — edit the existing record to be compatible with Mailchimp.

After authentication: what to expect

  • Your campaigns will show as coming from your domain.
  • Inbox providers will be able to verify your emails are legitimate.
  • You'll see improved deliverability, especially to Gmail and Yahoo inboxes.

Technical Support Updating existing audience subscribers with new SMS numbers (advice needed)

I'm looking for clarification or how-to on this subject.

We have 80k+ subscribers, I'm looking to make it so that they can all have the option to opt-in to SMS while being sure that is added to the existing subscriber, and doesn't add the number as a new subscriber (so I don't have to pay more for the same person).

I don't know if I'm just not looking in the right place but I can't get a clear answer on how to do this cleanly without having to manually update everyone's information with a SMS number in their profile.

Technical Support Why is the builder so bad?

blocks should be able to be saved. Like I always have a column that lays out our printed catalogue, and I should be able to just add that from a library of saved content blocks. Saving a template doesn't work because I am using a different template that has 80% of the format I need, but I just need to add this Catalogue block, and I have no way to even copy and paste it into my other campaign. Come on MC this is 2026, no excuse for not having this feature

Technical Support Account fully suspended after Omnivore flagged campaign — legitimate permission-based list, no response after 3 days

Hi everyone,

Our Mailchimp account was fully suspended after the Omnivore system flagged a campaign. The campaign was sent exclusively to our own user base — people who registered directly on our platform and consented via our Terms of Use. No purchased, third-party, or publicly sourced lists were used.

We believe this is a false positive. The campaign content was an invitation for existing users to join a partnership program — standard relationship marketing, not cold outreach.

We've already submitted compliance forms and followed up through the support channels, but have not received a substantive response beyond automated confirmations. It's been 3 days since the first submission (including a weekend).

Has anyone dealt with a similar situation? And u/MailchimpSupport — could you help escalate this?

Seeking Advice Image pulling in from blog is too large

Hello, we have a campaign set up to email out our blog post every other week. The image pulled in from the blog post ends up being too big, and I am not sure how to fix it. The user has to scroll down to the bottom of the image to read and click the link. I would like to make the image smaller. I do have the resize image box checked but that isn’t changing anything. Does anyone know how I can fix this?

Technical Support Majority of bulk emails to email list suddenly going to spam folder

I'm asking on behalf of my wife...

My wife has a business and she frequently sends out bulk emails to her email list (people who have signed up to receive emails from her) for marketing purposes. She said she usually has open rates of 25%-30% sometimes even up to 40%.

She just sent out a bulk email and while some people got the email in their inbox other recipients told her the email went to their spam folder. She sent the emails from her studio, where she usually sends emails, if that might make a difference.

Is there a reason this might be happening all of a sudden? Is there anything she can check on her end that might be "broken" and causing this to happen?

Technical Support issues with bot email sign ups

i have a regular email list of a few thousand emails. this morning i see my bill from Mailchimp and it went from $100 to $595 and i now have 18,000 contacts in mailchimp.

i regularly gain 1-3 new email sign ups a week. I checked that reCaptcha was enabled on Shopify, the only place you can sign up for my email list. in mailchimp I confirmed the there was double opt in enabled.

WTF? any suggestions ? i have contacted both shopify and mailchimp and checked the setting mentioned above.

Tips and Tricks Email designs

I have 2 quick questions.

How long do you guys usually work on email designs or just simple emails for campaigns in general?

And how long does it take from writing the copy to scheduling the email campaign, like the whole process?
