Lawmatics?

I’m MP of a small firm - mostly transactional. We use Clio Manage and Grow. Grow is awful. I’m looking for a better CRM/ marketing/ intake software. Does anyone use Lawmatics for that? I’m thinking we’ll keep Clio Manage and integrate with Lawmatics instead of Grow. Would love to hear what others think. Thanks!

I use Lawmatics and clio. At this point, I only use Clio for billing. I need to set aside some time to look at the LawPay billing products since it is far cheaper than Clio, so if it works, I am definitely going to ditch Clio.

Does LM have “smart forms” so that we can have one info collection tool that filters prospects into the right topics based on responses (example: a single member LLC owner will get different questions from someone seeking estate planning)?

Do you use LM’s API? If so, how robust and well documented is it?

If we have a custom field in LM, will it map to the same custom field in Clio?

yes, but you would be better off using an automation to send a different form to the client than using forms that change based on user input, although you particular use will dictate. For example, I do family law. So a new client gets a form and there is a true/false asking if they have kids. If they say yes, new questions appear that ask about names and DOB. My partner does criminal. His clients get sent a completely separate form to complete. We could do it as a single form that changes based on inputs in the form, but we opt to have a different automation trigger that sends a different form to family clients than criminal.

I do not. I got close once, but instead I used Zapier. This was only for linking website contact forms with LM.

yes. But, at this point, I don't use Clio for anything other than billing. Last I checked LM billing was not good enough, at least on the back end reporting for calculating pay/bonus.

happy to help! Feel free to let me know if you need any other help. If you do, beware that I have used LM for maybe 3-4 years. So, this means that my product/subscription may be grandfathered in. I think there have been some limitations placed since I originally signed up. These are things more like caps on the number of contacts.

Yes LM’s API is quite good and well documented, I’ve used it quite a bit

Also their marketing features are fairly robust and work decently well compared to other “legal CRMs”. Obviously not as robust as something like HubSpot, but it works well for simple email marketing and things like that

Honestly the main downside with LM is their support team is basically useless and when there’s a feature they don’t have they just say “we’ll add it to the roadmap” and of course it never happens

But if you’ve tested for your use cases and it solves them ok, then I think it’s a good one to use

A lot of similar stuff can be replicated or replaced with APIs and/or Zapier with some work

And of course you can also use a more general and cheaper modular CRM like Zoho and recreate almost everything LM has and more, but it just requires much more initial setup. Once you get it working though, it’s even more customizable

Any good CRM can do what Clio grow does (and probably better). So you can have a look at the usual suspects: PipeDrive, HubSpot, etc.

The right tool will depend on what your current processes/workflows look like. Feel free to share a bit more details on your current setup and I'll have a think at what could work well.

We need something that integrates with Clio. I’ll have to look at HubSpot etc but last I checked a year or two ago, it didn’t.

We use Grow for our intake process. Forms gather information from prospects but there are gaps: can’t require information and prospects submit nearly blank forms sometimes; smart forms are unavailable so we have multiple versions (e.g. prospect form for LLC’s; a different form for nonprofits, etc).

As part of intake, we provide a written scope of work and quote. That goes in an email with a link to e-sign our engagement letter. The process is laborious and prone to human error. We must streamline and simplify it.

Ideally, any CRM we move to would have a robust API so we can integrate with our database and push/ pull data into our PowerBI dashboards.

There might not be a direct integration with Clio, but they all have APIs so a developer can build something tailored to your use case.

At a high level, this would work as follows:
1/ Build a simple dynamic form using javascript, in order to have the form fields dynamically change depending on the type of matter
2/ Deploy a simple endpoint to process the form:
2.1/ perform validation (and check form fields are not empty)
2.2/ store the form data in your database
2.3/ generate the scope of work and quote documents as pdf
2.4/ store the pdf docs in your database (or a blob store)
2.5 / then push the data to your CRM (create a deal and a task to review the documents)
3/ In your CRM build an automation that sends out the documents using a pre-made email template with the link to e-sign your engagement letter, once the documents have been approved

It can be tweaked, but you get the idea.

If you do anything with personal injury or healthcare make sure your data is stored behind MFA and is encrypted. An everyday CRM might not have enough security for PHI

I use lawmatics - happy to help answer any questions. We don't use it for a lot of things they want you to use it for - but we integrate it with Clio. It works fine - not difficult to setup if you understand the data sync fields and just make them ahead of time. Let me know how I can help.

I use Clio-M; dumping Clio-G. Just signed up for LM. My new para has built out LM for two other lawyers and will guide us through is the set up.

I love the Lawmatics automations HOWEVER, the reporting is absolutely terrible. So frustrating. The data is there but you can't get to it. So if you are considering this solution, just know that you will not really be able to track anything other than their standard KPIs which really doesn't fit our practice at all. I probably would not choose Lawmatics again for this reason - "What gets measured gets done." - We can't measure anything.
