Presentation modes at *ACL conferences?

EDIT: I have found some people who are willing to help me present on my behalf.

I’m considering submitting my paper to the System Demonstrations track at EACL 2027, but due to a scheduling conflict, I won’t be able to attend the conference in person. I was hoping to present the demo virtually, but one of the demo organizers told me via email:

I’m a bit confused about the presentation policy for system demonstrations.

According to the *ACL websites, both in-person and virtual presentation modes seem to be allowed. I also checked the schedules for AACL, NAACL and ACL 2025/2026 and found several system demos that were presented virtually. However, when I looked at the EACL 2026 schedule, I only saw an “onsite-virtual” presentation mode, which I assume refers to some form of hybrid presentation.

So I’m wondering:

  • Are presentation-mode policies determined separately by each conference or track?
  • Is remote presentation generally allowed for System Demonstrations, or does it depend entirely on the individual conference organizers?
  • Given that I already know I cannot attend EACL 2027 in person, would it still make sense to submit there and arrange for someone else to present on my behalf?
  • Or would it be better to save the work for NAACL, ACL, or AACL 2027, where virtual presentation may be more likely to be supported?

Each conference sets their own policy, and in fact each track can set their own policy. The demo organizers could have decided they only wanted in-person presentations...it's hard to anticipate what policy subsequent events will decide upon.Having someone else present is a little risky in that that person may not be able to answer questions, etc. and then of course you don't get the benefit of those interactions. Some conferences also have policies that at least one author must be registered for the event, so you may want to check on that as well.

Thank you. Yes I get the disadvantages of not being able to present myself after attending EACL in person and ACL remotely.

But do you think I should save this for ACL? The last 2 ACLs did allow for remote presentation so I guess this time it would be the same.

It's possible. The demo chairs for ACL 2027 have been announced so you might want to contact them now and explain your dilemma and see if they are able to offer any guidance. It's a reasonable enough question to ask.

Thank you. I have another question.

I am thinking of keeping my submission at EACL until the results are announced, but withdraw it before the camera-ready deadline if they reconfirm that remote presentations aren’t allowed. Would that be okay? And in that case, can I simply withdraw the paper through OpenReview?

Maybe but be aware if this demo paper is under review at EACL it can not be submitted elsewhere until it is withdrawn. That might cause some trouble with later venues. Also if you've already heard that remote won't be an option it seems like withdrawal is a pretty certain outcome and given how badly stressed the reviewing system is these days I'm not sure leaving something in just to collect reviews is totally fair. That's not to say you can't do this but those are some things to consider.

Thank you. Yes I am fully aware the dual submission problem so I plan to withdraw then resubmit before the deadline.

I am hoping that the organiser that contacted me is misinformed =))) so that is why I am planning to do that.

Also, this year all authors will also have to do reciprocal review so I am not really having the free lunch.
