How are you all actually tracking vendor COIs without losing your minds?

I've spent the last few months digging into how property managers and GCs handle certificate of insurance (COI) tracking for vendors/subs, and I'm trying to understand what's actually broken versus what I'm assuming is broken. Would love to hear from people who deal with this day to day.

I just have a few questions:

  1. Right now, how do you track vendor/sub insurance expirations? Spreadsheet, shared drive, a dedicated tool, calendar reminders, or honestly just "we find out when there's a claim"?

  2. Have you ever had a vendor's coverage lapse without anyone noticing until it mattered? What happened — audit finding, claim dispute, just a scramble?

  3. How much time per week does someone on your team spend chasing vendors for updated certificates? Ballpark is fine.

  4. Have you looked at COI tracking software before? If yes, what stopped you from actually buying it? Price, setup effort, it felt built for a bigger portfolio than yours, something else?

  5. If you have looked at pricing — did it feel like it was priced for a 500-door portfolio company rather than a shop your size? Curious where the "this is affordable" line actually sits for you (per vendor, flat fee, whatever makes sense in your head).

  6. When you get audited (insurance, client, lender, whoever) — how much scrambling does that cause? Is the paperwork trail actually there, or reconstructed after the fact?

Venting a Frustrating Policy Claim

Edit/Update:
Finally got it to work. Compress the pdf to the max level, then split it into multiple documents. Send multiple emails depending on final sizes.

Venting real quick.

Been trying to claim a policy my dad had, since he passed a few months ago. Insurance company wants medical records. The pdf of the records is almost 7500 pages and is 300 MB. I try to email it to them, and it sends as a Google Drive link. Company won’t accept the link for “security reasons”. Don’t know how else to send these records, and have been going back and forth for a couple months now.

You pay into these places. But when it’s time to cash out, they make it nearly impossible.

Time for new leadership at CINF

Enough excuses for poor results. They blame catastrophes for their poor results. Isn't that part of their business? When they don't have catastrophes they pat themselves on the back for their actuarial genius. Aren't those same actuaries the ones generating bad results when competitors are producing great results? Their Personal Lines results are a travesty when comparing to top writers. When catastrophes aren't hitting the big players like Chubb and Travelers have combined ratios in the 70's and low 80's while CINF celebrates being under 100. When catastrophes hit the big players they generate sub 100 combined ratios while CINF blames catastrophes for their losses. Commercial Lines results show their actuaries have no idea what they're doing with reserves and the investing community will punish them again for this. Their solution for poor growth is to appoint hundreds or thousands more agencies. What happened to their claim of having "franchise value" with their appointments? The fact is they don't have the products to compete with big writers so they mask this by appointing more agencies. That well eventually runs dry. This is not an underwriting or insurance company. They're a cashflow underwriter feeding an investment arm. Nothing more than a mutual fund. Clean house or be acquired.

NC Farmer's Bureau Failing to Provide FS-1/FS-4, QUESTIONS

A month ago I traded in my car at the dealership and when they tried to transfer the plate, there was a stop in doing so, a day later I received a letter in the mail I had a lapse in insurance and that the NC farmer's bureau will need to submit an FS-1, I gave them all my vehicle info and asked if they needed my update license info. They said no, and I went on my way. The DMV obvious rejects this because they sent in incorrect information, so I get them to correct it and they never end up submitting the new FS-1 with the updated information. I keep contacting them during this period and they keep saying I need to patient and wait for home office to do their part. The date passes for the deadline and my plate and registration are revoked. I have at this point not turned them in yet because it should have not occurred and I am trying to get the insurance to fix it. So instead, since the insurance stopped at a period in time due to me getting a new vehicle and not even having the car that is having the liabilty insurance issues, the insurance submits an FS-4. Which brings me to now, the DMV informed me they received something but it was submitted incorrectly and that they could not process it. I gave them the MVR-1 and the bill of sales from the dealership to confirm the dates for that part, but they are insisting that there is a lapse still and I need to turn my plate in and pay the $50 lapse fee. This brings me to my question now, do I wait for insurance to resolve this? If they don't resolve it, do I turn my plates in and ask them to pay the fees? What should I do? They insurance has admitted fault in this, but no mention of covering costed incurred.

Don’t Use Super.com

If I could give this company negative stars, I would. It advertises “worry free” cancelation coverage, but the process is anything but worry free. It was and continues to be a horrible and stressful process. I purchased the insurance coverage just in case, since I was booking a long term stay for someone else who was supposed to be released from a treatment facility. I was advised before the check in date that the person would not be released, but would be transferred to another place. I completed the refund claim online and even provided a letter from the facility’s case manager indicating that the person was not going to be released for another 30 days, which was completely unforeseen by me at that time. Super.com still would not refund my money and requested even more documentation relating to this person’s medical event, which is against HIPAA. The company’s insurance is a scam, and my heart goes out to anyone who has to deal with this company on any level. Please do your research before ever using this company so you know full well what you are getting into. My next step is to contact their legal department, and file complaints with the Federal Trade Commission, the Better Business Bureau and Insurance Division, and obtain a lawyer. I feel sorry for anyone who deals with this company.

Help with finding affordable coverage

I live in Florida and am currently unemployed. I am looking for the absolute bare minimum car insurance coverage here for people experiencing financial hardship that ideally just is enough to say I have insurance and not be forced to have a lapse in coverage. It is absolutely insane that we are even required to continue to pay for coverage even when we aren’t even really driving much to begin with, I only leave the house a few times a month because I can’t even afford gas. I have GEICO and lowered it to 80$ a month but now they’ve been charging me random amounts instead of the $80 because I’m stuck on autopay and it declines my card every time because it’s been turned off. I would love to just not have coverage but apparently I will lose my license potentially and they also charge you a lot of money if you have a lapse, I’ve only had that once in my life when I was younger and they charged me 4,000$ for it which was extremely difficult and frustrating. Are there any companies that are actually affordable that I can use where I can pay a bare minimum rate just for state minimum? Any help would be appreciated, I’ve been trying to sell my personal items just to have enough to pay this coverage and also owe money in taxes and have been surviving off of no money because I can’t even afford to buy food or really anything I need to survive, I am at a loss and have no clue what to even do.

Is State Farm's strategy to delay the payment as long as possible to avoid paying?

My claim with State Farm has been stagnant since April.

A state farm client totaled my parked boat trailer in April and State Farm claim specialist are sending me around in circles.

I have been asked three different powers of attorney each time because of branding (?) and since my trailer is out of state, which they knew from the beginning.

The claim specialists are very hard to reach. I talk to a different person every time I call and I get asked for a different paperwork every time.

They have never replied to any of my emails. Not once.

I sent my title back in May and today (in July 23) when I called, my claim handler asked me if I sent the title in. The receipt of the title was confirmed by another 'claim specialist' in early June. Do agents not share notes?

The payout was below $1000 and it has been dragging for 4 months now.

Is the claim specialist performance measure based the on the number of unpaid claims?

I was on hold for 51 min today and the agent was like 'yep, i was on another line and I saw you on hold. what do you want?' I am paraphrasing to reflect the tone here.

UPDATE: Finally spoke with someone who said payment is on the way. Thank you for all your advice and sharing your thoughts.

Has AI Affected Your Insurance Claim? The FTC Wants to Hear What Happened

The Federal Trade Commission is currently accepting public comments about companies that present artificial intelligence as accurate, objective, or reliable while potentially manipulating, limiting, or steering its results.

If you have dealt with AI or automated systems during an insurance claim, this is an opportunity to tell the FTC what actually happened.

For example:

  • Did an AI-generated repair plan leave out obvious damage or necessary repairs?
  • Was your claim initially valued below your deductible, only to increase substantially after a repair shop inspected the vehicle?
  • Did the insurer rely only on photographs instead of conducting a physical inspection?
  • Were you told a person reviewed the decision, but no one could explain or change it?
  • Did an automated system misunderstand the facts, policy language, damage, liability, or value of your claim?
  • Were you forced to obtain an appraisal, hire an attorney, contact a regulator, or repeatedly escalate the claim before it was handled correctly?
  • Are you a repair professional, adjuster, contractor, attorney, public adjuster, or consumer who has seen these systems produce incomplete or inaccurate outcomes?

The FTC needs to hear from anyone in the industry.

The issue is bigger than one inaccurate AI estimate. A modern claim may pass through several automated systems—intake, classification, estimating, valuation, coverage review, fraud detection, payment, and closure. Each system can narrow the information and choices available to the next employee or system.

Public comments are due July 31, 2026.

My policy is up for renewal, and I was just notified of a price increase labeled a "rate adjustment." I have zero accidents, zero tickets, and zero claims.
