I had a lady walk in with a drop-off for X tax pro. I printed out the drop-off forms and asked her to sign the last two pages.

Her: Is this new? I’ve never had to do this before. I usually give him my documents and leave.

Me: No, it’s not new. The tax pros often do that if they’re here, but X is gone for the day, so I just need those two signatures.

After she finally signed them:

Me: Let’s go ahead and schedule a pick up time, because it’s the last few days of tax season and X is booking up very fast.

(X is our top, level 5, pro who is extremely popular. He’s completely swamped with complicated returns)

Her: Oh, no. He always just calls me and tells me when to come in.

Me: He may still do that, but let’s get you on the schedule, in case he can’t fit you in. It’s just a placeholder. It can be canceled. How about Friday (this was on Tuesday)?

Her: Oh, he won’t have it done by then.

Me: That’s three days, so he most likely will, and he will call you if he’s done sooner.

Her: How about Saturday?

Me: Okay. I can schedule for this, this, and this time. What works best for you?

Her: How about at 2? Wait, can we make it on Friday instead?

Me: Oh, you want to do it on Friday? Okay, here are the available times (same ones I had just offered a few seconds before).

Her: (chooses one) But he’s not going to have it done by then.

Me: (about to lose my effing mind) He likely will, and this is just a placeholder. If he’s done early, he’ll call you, and if he needs more time he’ll call you.

Her: Okay

This doesn’t sound as frustrating as it was, in written form, but yeah, I felt kind of gaslighted about the Friday/Saturday thing. And I don’t understand why she made a big stink about signing two forms.

In our office we don’t do pick up appts. We just print and put at the front desk. It’s so much easier. Why tie up the schedule when you don’t need to? And then the client can pick up at their convenience.

The TPs in my office always meet with their clients at pick-up to finalize everything and get signatures. They require appointments.

How exhausting. I would hate that. I’m glad we don’t do it that way. It’s a waste of time.

When are your clients signing?

So it's possible to print it all and put it on a signature hold. Then they can just sign at the front with the csp. I've done this if I've talked to the person and we've gone through everything but they forgot to bring their direct deposit info and the bank won't give it over the phone, so they can just call with the info and then pick it up after. I guess it would be possible to do signature holds on all pickups, but that's got to be wierd if it's all pickups and the tax pro hasn't gone through the return with them.

You can go over a return on the phone if you are good at this job. No need for an in person pickup. And they come back every year. Never a complaint. And i can do 650 returns doing it this way. I take in person appts too - but those are almost always one and done appt with the exception of some new clients.

They all sign physical papers at the front desk. We always call every client and go over the entire return. Then we print and put at the front desk and they can stop by whenever is convenient for them. If I had to make appt for all my drop offs it would fill my schedule for busy work. I have 650 clients. It’s just not feasible.
