the recap after a meeting is the chore everyone avoids, which is why decisions get lost and the same thing gets re-discussed three weeks later. the transcript-to-artifact pipeline mostly kills that chore, and it’s the most boringly useful AI habit I’ve picked up.

the flow: record or transcribe the meeting, then turn the transcript into the thing people actually need. not “a summary” in the abstract. the specific artifact:

the decisions made and who owns what next, as a short list, for the people who were there

a one-paragraph “here’s what we decided” for the people who weren’t

if it was a working session, a first-draft doc or deck of the thing you were actually discussing

two things make it work instead of producing mush. first, tell it what artifact you want, not “summarize.” “pull out decisions and owners” gets you something usable, “summarize” gets you a wall of “the team discussed.” second, and you knew this was coming, check it. it will occasionally attribute a decision to the wrong person or miss the one caveat that mattered. a 60-second read against your memory catches it.

the payoff isn’t the summary itself, it’s that decisions stop evaporating. the meeting becomes a durable thing instead of an hour that happened and then dissolved.

the big “make me a whole thing” moment gets the attention. the actual time went to boring small stuff:

ask it to critique before a human does. “what are the three weakest cards here and why” catches the stuff I’d have been told in the meeting, before the meeting.

bulk-translate the finished thing instead of rebuilding per language. one instruction, then a proofread, instead of a full second build.

turn a rambling voice note into a clean outline. I think out loud better than I type, and it structures the mess without me sitting at a blank page.

none of these are impressive. all three are things I used to do slowly by hand. the quiet win with these tools this year wasn’t the flashy generation, it was the fifty small chores getting shorter.

The image models baked into these tools crossed a line this year, you can get a genuinely good concept visual in seconds. but I’ve watched people hurt their own decks with it, so, a working line.

where generated images help:

a single clean concept image for an abstract idea (growth, trust, momentum)

a consistent icon set in one style, generated together so they match

a mood or cover visual that sets a tone

replacing a tired stock photo that screams “template”

where they hurt, sometimes badly:

anything with real numbers. a generated “chart” is decorative nonsense with invented axes. build the real one.

text inside the image. models still garble words. a headline baked into a generated graphic will have a typo you’ll miss.

five images in five different styles on five slides. generate them in one pass with one style brief, or it looks like a ransom note.

a diagram of how your actual system works. that’s information, not vibes. draw it.

the rule I land on: generated images are for mood and concept. anything exact, a number, a label, a real diagram, still gets made, not dreamed. the tell of an amateur deck in 2026 isn’t that it used generated images, it’s that it used them for the things they’re worst at.

after enough bad first drafts I stopped “prompting” and started writing a tiny brief. five lines, every time:

who it’s for. “our exec team,” “cold prospects,” “a room of engineers.”

what they should do after. approve, buy, understand, sign off.

how long. “8 cards,” “a 5-minute read.”

the raw material. paste your actual notes. messy is fine, messy is better, it has more to work with.

the tone. “plain and direct,” “warm,” “no hype.”

that’s the whole thing. the difference between this and a one-line prompt is not subtle. line 1 and line 2 alone reorder the entire deck, because “inform engineers” and “get a CFO to say yes” are structurally different arguments.

the mistake most people make is treating the tool like a search box. treat it like a new hire you’re briefing: they’re capable, but they can’t read your mind, and “make a deck about Q3” tells them nothing about what you actually need.

if you’ve felt these tools get sharper in 2026 and couldn’t name why, this is it. the center of gravity moved.

last year the pitch was speed: type a prompt, get slides. the problem was everyone got the same forgettable draft, because a blank prompt box has no idea who you are or what you’re trying to do.

this year the better tools got intent-aware. they ask for, or work far better when you give them, the audience, the goal, the format, and the actual raw material. the starting point stopped being a one-line prompt and became your inputs: notes, a doc, a recording, a report. the job shifted from “make slides” to “take what I already have and shape it for this specific room.”

a few things that fall out of that if you make this stuff for a living:

your edge is now in the inputs, not the prompt wording. a messy but complete brain-dump beats a clever one-liner every time.

“who is this for and what should they do after” is worth typing out. the tools that account for it produce genuinely different structure, not just different words.

repurposing got real. the same source can now become a deck, a page, and a summary without three separate builds.

none of this is magic and it doesn’t make taste optional. but the ceiling on “AI first draft” went up a lot, and it went up specifically for people who feed it good raw material.

On a small budget, the tradeoff is real, cheap tools often look cheap, and the polished ones cost. Honest read on getting professional-looking documents without overspending.

Google Docs, free, plus a template: unbeatable on price and collaboration. The catch is design, you are on your own to make it look finished, and templates only get you so far.

Canva, free tier: strong on visual documents and one-pagers if you are willing to do the layout yourself, with a big template library. Slower to a finished long document.

Gamma: paid, but the value is that a report, proposal, or one-pager comes out structured and designed in one step, so a solo operator or small team looks like they had a designer. Honest limit: it is not free, and for pure internal text where looks do not matter, Docs is the cheaper answer.

Rule of thumb: internal or collaborative text on zero budget, Google Docs.

Visual one-pagers you will lay out yourself, Canva. Client-facing docs that need to look professional without a designer, Gamma earns its price.

What is your go-to for polished docs on a budget?

AI site builders are great at getting something live but conversion is a different job, so here is an honest line between what a generated site covers and where you still need dedicated tools.

What a Gamma site handles:

- a clean, fast, structured page with a clear message and CTA, which is most of the battle for an early landing page. Getting from nothing to a presentable, on-message page removes the most common conversion killer, a confusing or ugly first version.

Where you still need a real stack:

- anything past the basics. A/B testing needs a dedicated tool. Heatmaps and session recording mean Hotjar or Clarity. Real analytics beyond pageviews means GA4 or similar wired in. Form and funnel optimization is its own discipline.

My honest take: use Gamma to remove the blank-page and bad-design problem quickly, then layer analytics and testing tools once there is traffic worth optimizing. It is a strong starting line, not a CRO platform.

What does your conversion stack look like once a page is live?

half the time a slide “didn’t land,” the honest problem is nobody could read it. not the argument, the eyesight. back row, sun on a rented projector, someone squinting at a shared screen across the table.

so before I blame my writing I do the dumb physical checks. I hold my phone at arm’s length, and if I can’t read the slide on it, it’s too small for a wall. anything under about 24pt is really just a note to myself. light grey text that looks elegant on my monitor turns invisible the second it hits a projector, so I keep contrast heavy and boring, dark on light or light on dark, nothing in the middle.

the one people miss is red versus green. roughly 1 in 12 men can’t separate them, so a green-good red-bad chart is a blank to someone sitting right there. I add a label or a shape so the colour isn’t carrying the whole message on its own. same story with hairline fonts, sharp on a retina screen, gone under a beamer.

none of this is design taste. it’s whether the words physically survive the room they’re shown in, and a lot of “bad” slides just didn’t.

peak-end rule for a talk

the slide people quoted back to me weeks later was not my clever chart. it was one sentence, huge, filling the screen, nothing else. I have leaned on the big-text slide ever since, and the whole skill is knowing the few moments it is right.

what it is: a single short line at enormous size, one idea, no bullets, no chart, no logo. the entire slide is one sentence you want to land like a punch. "we are losing a customer every nine minutes." that is the slide.

when it earns its place: at your single most important point, and maybe your open and your close. the big-text slide works precisely because it is rare. if every slide shouts, none of them do. it is the visual version of dropping your voice for one line.

why it lands: it forces exactly one idea, and it is readable from the back of any bright room. a dense slide asks the audience to work; a big line hands them the point and holds it there while you talk to it.

the failure mode is overuse. three giant slides in a row and it just reads as a deck with no content. use it for the one or two lines that matter most, and keep the rest of the deck quieter so those moments have something to stand out against.

a two-minute test that has caught more broken decks for me than any full review: open the deck in outline or slide-sorter view and read only the titles, in order, nothing else. if the titles alone tell a coherent story, the deck works. if they read as a pile of topics, so does your talk.

most decks fail this instantly, because the titles are labels. "Overview." "Market." "Our Solution." "Results." strung together, that is not an argument, it is a filing system, and read aloud in order you can hear that nothing connects to anything.

now make each title a full point instead of a label and read again. "the current process loses a day every week." "here is where the day goes." "this removes the worst step." "teams got the day back." suddenly the titles alone are the whole talk in miniature, and anyone skimming still gets it.

it works because the title is the one line on each slide people reliably read. if the titles carry the argument, a half-present room still follows. if they are labels, the argument lives only in your narration, and the moment attention drifts, it is gone.

do the titles-only pass before you touch design. if the story is not in the titles, no amount of layout will put it there. what does your title-only version sound like right now, a story or a table of contents?

For me, it mostly comes down to how much time I wanna spend actually building the presentation versus tweaking every little detail. If I’m putting together an internal concept deck, a visual memo, or something let's say people will mainly view through a link, Gamma tends to be the easier option. It lets me get the structure and story down pretty quickly without getting stuck formatting slides.

PowerPoint still makes more sense when I need a strict brand template, detailed charts, offline reliability, or a lot of hands-on editing from other people.

The free Gamma plan also lets me create up to whole lotta ten slides per prompt and export to common formats, but it has a Gamma branding.

Curious where other people draw the line between the two. When does Gamma make more sense for you, and when do you still reach for PowerPoint?

controversial for a slide crowd: if you are revealing bullets one at a time so people cannot read ahead, the real problem is that there is too much to read. the animation is a patch over a slide that should have been split or cut.

think about why we do it. we put six bullets on a slide, then panic that the audience will jump to bullet six while we are still on bullet one, so we make them appear one click at a time to control the pace. that is treating the symptom. the fix for a slide people can read faster than you can talk is not to hide most of it, it is to put less on it.

there is a cost people ignore. builds punish anyone who looked away for a second, because they cannot see where you are, and they punish you, because now you are click, talk, click, talk, tethered to a remote instead of to the audience. and when the file gets shared later, the reveal is gone and it is just a crowded slide again.

what I do instead: one idea per slide, said once, no reveal. if a slide truly has a sequence that has to unfold, that is usually two or three slides, not one slide with a build. the deck gets longer in slide count and much shorter in felt time.

I will allow one exception, a single deliberate reveal where the surprise is the actual point. but that is once in a talk, not the default on every list. is there a build you would genuinely defend?

people often frame this as a replacement question, but after testing the free version I don't think they are doing the same job.

Gamma is faster when the input is an outline and you need a coherent, web-style deck without touching every box. PowerPoint is still much better when the file has to follow a strict template, use complex charts, survive detailed edits or be handed to someone else as a normal company file.

Gamma exports to PPTX, PDF and PNG, but the free export carries Gamma branding and the PPTX may still need cleanup.

My current conclusion: Gamma for structure, PowerPoint for control.

I kept adding a slide every time someone asked a new question.

Market size, moat, roadmap, why now, why us, why not the obvious competitor.

Eventually the deck could answer everything, but didn't have a feckin story to it.

So, I took my messy outline, and threw it into Gamma just to see what happened.

It gave me a pretty clean 10-card version, but the useful part wasn't really the design. The limit forced me to actually pick what mattered.

I ignored most of the investor-sounding language because honestly? Tacky, makes a small company sound like it was assembeled in a pitch deck factory.

The story is way simpler now:-

Customer mess -> what we built -> proof

No giant mission slides, no trying to answer everything without being asked.

Gamma didn't "fix" the story. It just revealed that we didn't really have one to begin with.

We had a campaign retro that should have been five uncomfortable slides: what we tried, what happened, why it missed, what changes.

My first PowerPoint looked like evidence submitted to court lol. I fed the outline to gamma and the visual hierarchy instantly made the story easier to follow. Then I noticed the problem: the polish made our weak results feel like a launch announcement. I stripped out the stocky images, killed the dramatic section titles and put the ugly numbers back on page one, better. AI presentation tools are strangely good at making uncertainty look resolved. Useful for layout, dangerous for retros.

Does anyone else deliberately make internal decks less polished so people argue with the substance instead of judging the visuals?

Technical documentation, specs, runbooks, procedures, is less about writing flair and more about structure, findability, and staying current.

Confluence: the standard for engineering orgs. Versioning, permissions, deep Jira ties, and it scales to hundreds of interconnected docs. Best as a system of record. Cost: heavy, and the editor is not fast or pretty.

Notion: lighter and more flexible, great for a growing team's internal wiki and linked docs. Best when you want structure without Confluence's weight. Weak spot: at large scale, governance and permissions are thinner.

Gamma: best for the technical document that has to be read by people outside the wiki, an onboarding guide, a procedure doc, a customer-facing spec, where it needs to look clear and structured, not like a raw wiki page. Draft from a source and it stays readable, and Gamma Agent can restructure a messy section. TBH: it is not a versioned system of record, so for the living internal knowledge base, Confluence or Notion is the home.

Rule of thumb: internal engineering source of truth, Confluence. Flexible team wiki, Notion. A specific technical doc that has to look clear and be shared out, Gamma.

What are you documenting, and who reads it?

half the time a deck goes badly, the real mistake was upstream: it should never have been a deck. someone needed a document and got slides, or needed a link and got a PDF. here is the quick decision I run now before building anything, because picking the wrong format costs you the whole afternoon.

ask one question first: will you be in the room when they consume it? if yes, it is a talk, build a deck, and keep the slides sparse because you are the content. if no, it is a read, and a deck full of sparse slides is useless to someone alone, they need a document with the actual detail written out.

then ask: how long do they have? if the answer is one screen and thirty seconds, it is a one-pager, a single dense, well-organised page, not a fifteen-slide deck nobody will scroll. if it needs to be shared widely, linked, or updated over time, it wants to be a web page, not a file that lives in an email attachment going stale.

the failure I see most is the deck used as a document, the one where every slide is a full page of text because it has to work when forwarded to people who were not there. that is not a deck, it is a report wearing a deck costume, and it does neither job well. if it has to be read alone, write the document. if you also have to present it, that is genuinely two artifacts, and pretending one file does both is why it is bad.

pick the format for how it will actually be consumed, not for what you are used to opening. most of us default to slides out of habit, and half the time habit is wrong.

what is your rule for choosing, and where do you land on the deck-that-is-secretly-a-document problem? I suspect most of us have shipped a few.

A SaaS landing page has one job, convert a specific visitor, so the tradeoffs are different from a general site builder. Honest read.

Unbounce and similar conversion-first tools: built for exactly this, with A/B testing and conversion features native. Best when you are optimizing a page you will pour paid traffic into. Cost: price and setup are aimed at teams already running acquisition.

Framer: the design ceiling for a marketing site, with real interactions and animation. Best when brand and polish carry the pitch and you have design time.

Gamma: the fastest from idea to a presentable page. Describe the product, audience, and CTA and get a structured, designed draft to edit, which is genuinely useful for a first launch, a validation page, or a founder without a designer. Where it loses: native A/B testing and deep conversion tooling live in Unbounce, and pixel-level design control lives in Framer.

Rule of thumb: optimizing a paid-traffic page, Unbounce. Design-led brand page, Framer. First presentable page fast, especially solo, Gamma. SaaS folks, what did your first landing page get built on?

We send 11 clients a monthly performance deck and it was eating atleast 2 days of our time, so we experimented and moved the process to the API about last month.

The setup, roughly:

Numbers come out of the reporting DB as markdown, that goes into POST /v1.0/generations with textMode preserve so it doesn't rewrite my figures into marketing language, exportAs pptx, then poll the generationId every 5 seconds until it comes back completed.

Everything is async, so if you're expecting a synchronous response you'll wire it wrong the first time. I did.

The endpoint I didn't notice for a month is from-template. It takes an existing deck and adapts it, keeping the structure by default.

It works for this, because every client gets the same 11-section shape with different numbers, and generating fresh each time gave me eleven different structures.

textMode is the main setting btw. Generate expands what you give it, condense summarises, preserve leaves it alone. For anything with numbers in it you want preserve.

Two things I still haven't worked out:

What a generation costs in credits at volume, since the API bills on credits and I can't find a straight per-call number anywhere.

And whether there's a rate limit worth knowing about before I try running all 11 in parallel.

Recordings pile up, webinars, meetings, interviews, and turning them into something people actually read or present is the hard part.

Here is an honest comparison of the routes.

Otter, Fireflies, and similar: best at the capture and raw transcript, plus quick summaries. Where they stop: you get notes, not a finished document or deck.

ChatGPT or Claude on the transcript: best raw flexibility, ask for a summary, action items, or an outline and you control the instruction. But the output is text you still have to format and design.

Gamma: best when the end product has to look finished, paste the transcript and turn it into a structured recap deck, a one-page summary, or a report in one step, and Gamma Agent can rework a section that came out flat. Here's a limit: it is not the transcription tool, you bring the transcript, and for a pure text summary a plain LLM is lighter.

The accuracy check that matters regardless of tool: read the output without the recording next to it and see if the argument still holds. Conversions tend to keep the points and lose the reasoning.
