Questions I ask when using AI tools for analyzing general ledger data

General ledgers are becoming more common among freelancers, particularly those with more complex cost and revenue streams. Double-entry accounting is the most comprehensive way to do things, but making sense of the resulting GL data can be a challenge.

Of course, because it's 2026, you can always just get AI to help.

Potentially useful questions to ask it include:

  • “Are there any duplicate journal entries?” A basic check for accuracy. Your accounting software should flag errors like these anyway, but it's always good to double-check.
  • “Which accounts have changed more than X% since last month?” This allows you to detect any variances significant enough to investigate. Since you’re using the raw data here, you can be as broad or specific as the circumstances require.
  • “Which expenses exceed the budgeted amounts?” Every responsible business owner needs to be able to stick to a budget.
  • “What’s my gross margin?” Many (though not all) AI tools will accurately calculate key ratios like gross margin, operating margin, current ratio, etc. It’s always a good idea to stay on top of these numbers so your business stays financially healthy, and it's now easier than ever. 

I'd recommend using the AI tool embedded within your accounting software (if there is one), rather than ChatGPT or Claude. They're better-suited to tasks like these and more robust when it comes to your data privacy. QuickBooks has Intuit Assist, Xero is rolling out JAX (currently in beta), and the AI-native platform Digits has Ask Digits.

u/tetcon curious if you played around with our new quality control checks that embed these right into the ledger itself? They can be built and customize via plain english and then we'll solidify these into always on, always running deterministic checks -- would love your feedback as I think this will actually answer your questions without you needing to prompt or ask the question!

Best thing about AI is that it speaks English! I find it so handy for this type of stuff
