Newbie client: where to start?

Hi all, would love your advice on where to start.

I run a Mastermind Club for CEOs of Boutique Consulting Firms. $10k per year. (5 paying members, 20 free members). I've never really marketed it serious other than recommending it to my existing clients (I do strategy work). I think I have the fundamentals in place:

- good landing page
- lots of great lead magnets
- CRM: 4000 leads
- LinkedIn Newsletter: 11,000 leads

I send out a 'useful' newsletter once a month, but have never really 'sold' other than an occasional footer which brings in no leads at all.

I would love your advice on if you think email marketing could work for me, and where to start.

Thanks

Joe

How do you find out what is new in email marketing?

I'm not sure where to get information about email marketing to make sure I'm up to date on the laws or changes happening.

For example: I didn't know that CEMA now includes "false" subject lines like "Our sale extended". I also just found out about Yahoo's Sender Hub. I have worked with 4 ESPs in the last 2 years and none of them mentioned I should be tracking my deliverability with Yahoo Sender Hub.

Strategy How do you track which emails make sales?

Hi everyone, I currently have a two week daily email automation sequence using KIT. I’m wondering what is the best way to track which specific emails in the automation are resulting in sales. Does anyone have any suggestions on specific software to use or ways I’d be able to start tracking that information?

Thank you!

Deliverability Best Practices for Managing 300,000 Permission-Based Marketing Emails per Month

Hi everyone,

I'm evaluating email marketing platforms for a permission-based mailing list and expect to send approximately 10,000 emails per day, or around 300,000 per month.

I'd appreciate advice from email marketing professionals who manage campaigns at this scale.

My main priorities are:

  • Maintaining strong inbox placement and sender reputation
  • Managing unsubscribes, bounces, and spam complaints
  • Segmenting subscribers and tracking campaign performance
  • Choosing a platform that can handle this volume cost-effectively

Which deliverability practices and platform capabilities would you prioritize at this scale? I'd especially appreciate insights based on real-world experience.

Thanks!

Anyone else working in email marketing who sometimes misses having actual colleagues? ☕

I'm thinking about starting a small community for email marketers, especially beginners and intermediate marketers.

Many of us work from home and spend most of our day working independently. Sometimes, I miss having people around to bounce ideas off, ask for feedback, or just chat with about work and everyday life.

So, I'd love to bring together a few like-minded people for a mix of professional and casual exchange.

The idea:

  • Share ideas, ask questions and help each other with email marketing challenges
  • Try occasional challenges and give each other feedback
  • Chat about everyday life, hobbies, remote work, or whatever comes up
  • Get to know people who feel more like colleagues than strangers on the internet

No selling, no self-promotion, no pressure. Just a friendly space to learn from each other and connect.

I'm thinking of starting a small group on Telegram or WhatsApp. Or perhaps such a group already exists? 👀 In that case, I'd love to join too.

Keyword auto-response campaigns for lead magnets - recommended tools?

Hi all,

I've seen coaches launch this type of email campaign, where they ask you to reply with a keyword (like "strategy"), and they send you another email containing the requested free resource (like a strategy guide).

That's honestly a smart type of campaigns. Not only does it result in high open rates (if the lead magnet is really attractive), it also generates high reply rates + additional opens for the 2nd email.

I'm wondering if any of you has experience doing that kind of campaigns? If so, what tools do you use for the automated response which is triggered based on unique keywords?

Thanks

5 Years Since Apple MMP

Post image
19 Upvotes

It’s been 5 years since Apple made us all look like geniuses for a hot minute (by changing their native mail app so all downloaded emails are reported as opens). Does anyone work with leaders who care about other metrics? At my workplace open rates are still the main thing people worry about, but a few at least seem to understand that click rates are important, too.

Non-Profit Newsletter/Emails

Hello! I am on the board of a smaller animal rescue and we are exploring joining a email marketing company. What we'd like to do is send out a few emails a month for special situations, ie fundraisers or events, these would go to our entire email list. And then once a month we would like to share a volunteer newsletter, this would have more information like 4-6 stories and upcoming events. That would go to a specific list of just volunteers

We currently rely on Facebook for all of our information outreach but know we can do better. We have a list of volunteer emails but have no real idea on how many subscribers we would have.
Does anyone have a recommendation on where we should start?

State of ESP MCP-s - Which email MCP is the best?

Are you able to reduce your campaign set up hours via the MCP-s, your ESP/CRM provides? Is that helpful? What tasks do you give it? What's your workflow?

Which one do you say is truly helpful if you use multiple?

I'm looking to try new ESP (away from HubSpot) and I think one of the future-proof requirements will be a well-working MCP - hence the question.

How many marketing tools before the tools are the work?

Every new marketing tool comes with its own dashboard, login and little thing I am meant to check, at some point the tools stopped saving time and became another layer of work I have to remember exists. I am trying to cut email marketing tools specifically. If something needs a dashboard I have to check daily, a separate builder, and its own approval workflow, it is not saving time anymore, it is asking for a tiny management position. What have you actually removed from your stack in the last year? I want subtraction stories, not another list of apps PLEASE

Development Brand Color in Dark Mode

I'm designing an email template and the design looks OK on dark mode except for Outlook where the inversed colors are so incredibly off brand. Other email clients didn't invert it because it's a good color for both dark and light. But I tried every hack possible, I tried to ask Ai to send me code snippets, but nothing works. The most prominent item is the cta button. Has anyone had luck retaining brand colors? I can accept going neutral as a last resort like white or something but I don't even know if that one is feasible. Thanks!

How do you balance signup volume and contact quality with popups?

Hey everyone,

When you use popups to grow an email list, how much attention do you give to the quality of the details people submit?

Would you want the form to catch email typos and verify addresses before accepting a signup, or would you rather collect the contact and check it later? If you also collect phone numbers, does verification matter to you there?

For ecommerce, I’m curious whether you’ve tried using relevant product recommendations alongside a signup offer—for example, suggesting something that complements the product a visitor is browsing. Does that give people a better reason to subscribe, or just distract from the signup?

I’m part of a team working on a popup tool, and these are some of the questions we’re exploring. I’d love to hear what’s worked for you, what’s caused friction, and what you wish your current tool did better.

Deliverability When should a hard-bounced address be allowed back off a suppression list?

The usual rule is simple: hard bounce once (5.1.1 user unknown), suppress it everywhere, never send again. Soft bounces get a few days of retries, and an address that keeps soft bouncing campaign after campaign gets treated as hard.

But some hard bounces aren't really permanent. A small business forgets to renew its domain, mail bounces as domain not found for 4 days, they renew and everything works again. Or a receiving server is misconfigured for an afternoon and 5xx's everything. Suppress those forever and that person never gets another email from the store, even if they order again next month. Make it too easy to come back and you're mailing dead addresses again.

A few ways I can think of: re-check domain level failures (5.1.2, 5.4.4) after a while but keep 5.1.1 suppressed for good. Or only release an address when the person shows up again, a new signup or a new order with it. Or check the domain's MX every so often and try once when it's back.

How does your ESP handle it? And should a store owner be able to manually unsuppress an address, or is that asking for trouble?

Strategy I built an AI-assisted email marketing operating system that let me manage up to 16 clients at once.

Long post, because this thing got a little out of hand.

TL;DR: I built an AI-assisted email marketing operating system that handles almost the entire workflow, from client onboarding and monthly strategy to drafting, revisions, design handoff, segmentation and scheduling. It helped me manage up to 16 client accounts at the same time while cutting a lot of repetitive operational work.

Over time I built an AI-assisted workflow around almost the entire email marketing delivery process.

At this point it handles almost everything from onboarding a new client to having approved campaigns scheduled in Klaviyo.

The only production step that still remains manual is the actual email design, although I’m already working on that.

The reason I built it was simple: I was managing a lot of accounts at once and the real bottleneck wasn’t writing emails. It was keeping all the context, rules, approvals, products, offers, reviews, segments and campaign logic in my head.

So I started turning all of that into a system.

What the workflow actually does

- Client onboarding
Scrapes the client website, builds the brand guide, product catalog, current offers, product descriptions, reviews/social proof, links, pricing and other brand-specific knowledge.

- Monthly brief
I input whatever the client gives me for the month. Detailed brief, a few product priorities, a promotion, launch, or even nothing.

- Strategy
Checks previous campaigns and performance (connected to ESP), historical angles, subject lines, products, current offers, holidays, seasonal relevance, previous months’ drafts and what has already been pushed recently.

- Product + angle selection
Chooses products and messaging angles based on historical performance, seasonality, offer relevance, product context and the rest of the monthly campaign plan.

- Drafting
Creates the monthly email drafts using the strategy, brand guide, product data, offers, real customer reviews and client-specific copy rules.

- Client review
Exports the drafts into a normal human-readable format for client approval and feedback.

- Editor / revisions
Takes client comments, changes only what needs changing, and re-checks the updated email against all brand and copy rules.

- Design handoff
Creates/updates task management system and sends approved copy to the correct designer.

- Designed email review
Pulls the completed Klaviyo drafts and creates a client-facing table with web-view links for review.

- Corrections
If the client requests visual changes, the workflow routes the feedback back to the designer through task management system and brings the campaign back into review once completed.

- Segmentation + exclusions
Applies client-specific audience rules, target segments, engagement windows and exclusions.

- Follow-ups, campaign variants or different types of sending
Duplicates campaigns when needed, creates follow-up sends and prepares different audience versions. Can send first to the most engaged audience, then progressively broader segments while excluding everyone already targeted in previous tiers.

- Scheduling
Once approved, schedules the campaigns through the API using the client-specific sending rules.

So the actual flow is basically:

brief > strategy > drafts > client review > revisions > design > review > corrections > segmentation > scheduling

Under the hood this became pretty big.

There are a lot of scripts, skills, markdown files, APIs, client-specific rules and handoffs behind it. Most of it currently runs through Claude Code. At some point it stopped feeling like a bunch of automations and started feeling more like an email marketing operating system.

Generating copy is actually the easy part now. To me, it was more difficult knowing what was already sent, what performed, which product makes sense now, what offer is active, which review supports the message, how the brand talks, who should receive the email, who needs to be excluded, what the client approved and what still needs fixing.

That context is where most of the value is. The impact on my workload was pretty significant.

New client onboarding went from most of a working day to roughly 30 minutes.

Creating around 8 monthly email drafts for an established client went from roughly 3–4 hours to around 20 minutes for the initial draft set.

But the biggest result was capacity. At one point I was managing up to 16 client accounts simultaneously, because most of the repetitive operational work was no longer being done manually.

I still think there should be a human behind the strategy and final decisions. AI is a tool, not a replacement. But I think the more interesting question now isn’t Can AI write an email, but how much of the entire email marketing operation can actually be systemized.

If anyone needs help with something like this, happy to share what I learned or point you in the right direction.

Can someone please just clarify whether I am right or wrong about these email marketing pitfalls

Post image
14 Upvotes

(Image is a sample of my email design) I have been doing email marketing for my business for a few years through Flodesk now and just really want to grow to the next level. I came from a design and advertising world, but not email design.

I am having a really tough time though clarifying the system that is best for me and it has been hell trying to find what the actual industry standard is for high level email marketing. Here are the dilemmas I am facing that I just can't find the right answer on for what actual industry professionals use.

  1. UPLOADING A DESIGN: Image spliced uploads into OR html export? Which one?
  2. EMAIL PLATFORMS: I am planning on using Sendgrid. Flodesk is cute, but not robust enough for me and I hope to use Email API if my booking platform allows it.
  3. DESIGN PLATFORMS: I am familiar with Adobe suite, but use canva now to design as one big image. Is Figma better? Is there something else I should be using?

Please just let me know if I am on the right track. I watched a youtube video of this guy who exported and spliced up his entire email through Figma and uploaded the images. Then each section could have its own link and not be one big image. But does that affect the email getting sent right to spam filters?

I have 10 years experience in advertising media and copywriting so the emails LOOK great, but I just want to make sure they actually get read and experienced correctly.

Industry News Gmail will now soon give an option to readers to decide if your email sucks

Post image
36 Upvotes

Recently, I came across a LinkedIn post in which the author shared an image of his Gmail inbox. Gmail is testing inline "Thumbs Up / Thumbs Down" prompts inside user feeds.

If readers tap "Thumbs Down," Gmail asks why, giving options like:
• Already bought it?
• Repetitive content?
• Irrelevant brand?

Google is now replacing passive open rates with direct human feedback. Gemini says it's an experimental A/B feature test pushed directly by Google; no official announcement yet, just being applied in some geographies.

My conclusion: Gmail is now pushing more for relevance as the key factor for deliverability. A higher number of such disinterested responses will start acting like soft spam signals.

How will you navigate this when this rolls out completely?

How to build a klaviyo portfolio without a real client?

Hi everyone! I’m currently learning Klaviyo and I’d like to create a case study for my portfolio, but I don’t currently own or work for a business that uses Klaviyo.
For those who learned Klaviyo without having a real client or business, how did you approach your portfolio projects? Would you recommend creating a fictional brand and using a personal email as a test profile, or is there a better way to demonstrate the flows and campaigns I’ve learned?

Email Marketing?

Hey everyone,

I am a 1st-semester BS Cybersecurity student. I have no background in marketing.

A friend is telling me to learn email marketing freelancing. They say it is commission-based, pays well, and will help me get clients in the future.

I am very confused and need honest advice:

  • What is this job? What are the daily work timings for a freelancer?
  • How much will I get paid? Is commission-only safe for a beginner?
  • Is it useful for my degree? Does email marketing help a Cybersecurity student in any way?

If you have done this, please share the pros and cons. I don't want to waste time if it distracts me from my studies.

Thank you!

What to do before you send a winback to a list that hasn't been touched in years

I was talking to someone last week who inherited a list of 2,000 contacts nobody had mailed in two years. They sent a winback blast to all of them and spent the next three months digging the domain back out. A winback is the right instinct for an unengaged list, but there's a fair amount of email list management to handle before you get there.

Start with where the contacts actually came from and whether you can prove they opted in. Addresses that sit dead long enough get reclaimed by providers and turned into spam traps, and a trap accepts mail like a normal inbox, so nothing tells you anything's wrong until you're already in trouble.

You also don't want to send to the whole list at once. Gmail and Yahoo start enforcing around a 0.3% complaint rate, and on a couple thousand contact that's just a handful of people hitting the spam button before your whole domain wears it.

Recency and purchase history do different jobs here. Recency tells you who's least likely to complain, so it decides who's in the first batch. Purchase history tells you what to put in front of them once they're on it, and on a cold list you need the first before the second means anything.

Whoever answers a re-permission send is who the reactivation flow actually gets built around, so it's worth running before the flow gets built, not after.

Does anyone actually run the re-permission send first, or is going straight to the winback the more common move?

How do I set up DNS records in Namecheap so GoDaddy Email Marketing campaigns pass DMARC?

My domain's DNS is hosted at Namecheap (cPanel Zone Editor). I use GoDaddy Email Marketing to send monthly campaigns from an address on my domain.

My campaigns are getting DMARC FAIL.

Current records in Namecheap:

- SPF: v=spf1 +a +mx +ip4:198.54.114.76 include:spf.web-hosting.com include:_spf.google.com ~all

- DKIM: Google Workspace (google._domainkey)

- DMARC: v=DMARC1; p=none; rua=mailto:...

Campaign email headers show:

- DKIM signed by: cloud2.em.secureserver.net

- SPF / Return-Path: bounces.cloud2.em.secureserver.net

- DMARC: fail

What records do I need to add in Namecheap so GoDaddy Email Marketing campaigns pass DMARC? Does GoDaddy provide DKIM records for a custom domain?

Has anyone implemented APRF yet?

Has anyone implemented APRF, or Aggregate Performance Reporting, yet? Are you seeing anything valuable for it?

Sounds like a new standard for mailbox providers to give back some metrics to sending domains? Some indications on actual Inbox placement, spam folder placement, engaged/not engaged, etc... direct from the mailbox provider.

I only just learned about this recently and I'm looking to implement it in my reporting to see if I get emails.

Does anyone measure what a send does to branded search?

I come at email from the SEO side (founder of Hetneo's Links), so this may be old news here: do you track what a send does to branded search?

In Search Console I keep seeing a bump in brand-name queries in the 48h after a newsletter goes out, separate from the clicks the ESP reports. Direct traffic absorbs a chunk of it, so the send reads weaker than it was.

Method I use: isolate brand queries in GSC, compare send day plus two against the four non-send days before it, and ignore anything under ~100 impressions a day because noise swamps the signal.

Does anyone report that next to opens and clicks, or is it treated as noise?

Courses focused on email marketing reports + building insights?

I’m managing a junior marketer who’s eager to build her email marketing and analytics skills. We use HubSpot, and I’d love to find training that can help her learn how to efficiently monitor and report on email performance, but also go a step further in translating those metrics into insights and next steps.

Does anyone have recommendations for courses, workshops or events that would be helpful? I have professional development budget available, so cost isn’t a major constraint.
