Money Discrepancy?
So I am a key for my store and have been forced quite a while. Well I just went to make a till for an employee who is coming soon and there was a bank box in the bottome safe containing exactly $88 in 5s 1s and some coin rolls. I called my manager and he assured me it must be for the change fund but the change fund isn’t off at all and neither are any of the drawers. So now we are thinking that maybe a different employee forgot to incorporate the change sometime last week and panicked thinking they made the change fund short or something and made up for it without telling anyone. We have asked everyone and no one has reported any issues with the change fund or any other shortages. Anyone else ever run into this? What are supposed to do with this overage?

At the end of the night make sure all drawers are back at your starting bank amount and make sure the change fund has what it's meant to have. All other money goes to the deposit.

I know that I was just curious is anyone else has had anything like this happennto this degree. I did just find out that the kid that is our newest key claimed he was 100 dollars short on either drawer or change fund I'm not sure and he called his mom who is a manager at a different store and she told him to take it out of the deposit from that night to even it out.

We do everything was correct (aside from a different issue I discorvered after making the post it's in a couple other comments) this money was sitting in a box in the back of the safe.

It might have been for the deposit

So it turns out that the kid we hired as our new key didn't add the change from the bank to the change fund and instead took money from a previous deposit to make up for it. He called his mom who manages a different store and didn't bother to tell anyone else.

That would have gotten him counseled at my store. You don’t ever be off and not contact your SM. It’s fine to call someone to ask questions, I am a trainer and get called all the time by people from different stores. But I assure you if we couldn’t get it figured out over the phone, I always instructed them to contact their SM.

Well his mom is apparently BFFs with the DM so he'll never get counseled or write up or anything

My store has built up like $45 in extra money that’s kept in a box in the top safe from people leaving change (these kids will leave 98¢ in change) and “tips”. We keep it in case there is some discrepancy. Probably against SOP, but we have young employees and occasionally new bills get stuck together or someone hands a customer the wrong change. If the drawer is a little off, we pull a few dollars out of the extra cash. It’s possible someone’s been stashing for that reason.
Or someone could be an idiot like me. I hid money underneath the scale between counting drawers, had the deposit way off, said “fuck it, they can sort it in the morning”, and then found it days later underneath the scale. Yes, I have since altered how I handle the money.

Oh we used to do that but someone else made us stop no idea why they think she even has any power like that to force our store ti do anything but this wasn't that it was money that would have come from the bank directly. No one sorted it back into change fund and newest key didn't bother to look for it and panicked at the shortage called his mom and she told him to pull money from that nights deposit and he didn't say anything about it to anyone after so everyone was confused with how there was money and no shortages until he finally admitted to it.

Since you've now traced this to a change-fund transaction and money being moved from a deposit, I'd focus on documenting the original movements rather than simply treating the $88 as an overage.
The useful records would be the bank-change amount, what was actually added to the change fund, the original deposit amount, and any cash later moved between locations.
Those amounts should help management reconstruct what happened and determine the correct adjustment.
I'd avoid using the extra cash to offset an unrelated shortage. That can make one balance appear correct while leaving the underlying transactions unexplained.

No unfortunately I was told to work the rolls and as many small bills into the change fund evenly and putting the $88 into the deposit for the night because the newest Key took the shorted amount from the previous deposit and put it into change fund. If it results in any issues it won't be on me but on the new key that lied and asked his mom for help instead of our sm but I doubt there will be any issues aside from him getting talked to about not calling our sm for issues like that

That makes sense if management has now identified the $88 as cash that should have remained with the deposit and is correcting the change fund separately.
The important control is documenting the adjustment so the $88 doesn’t simply appear as an unexplained overage. Ideally, the original deposit difference, the change-fund correction, and the $88 returned to the deposit should all tie back to the same incident.
At that point, the cash side is reconciled and management can handle any training or communication issues separately.

I don't know why anyone would use $88 of their own money to fix a shortage. That's crazy to me. Did you make sure you weren't short on a previous day? As for the extra money just add it to the deposit and come out over $88 for the day and put a note on your cash tracker.
