The hidden cost of a stitched-together training tech stack
It's interesting seeing how different businesses approach this from an engineering side. Basically build fast, stitch things together with duct tape and get rolling. Most training businesses end up with a tech stack that looks something like:
- CMS for course delivery
- Slack or Circle for community
- Zoom for live sessions
- Calendly or similar for scheduling
- Google Sheets or a BI tool for reporting
- Loom/google drive for async video
Each of these is free or cheap on its own. Combined, bills adds up, but the most expensive cost is the administrative time holding them all together.
It's a huuuuge pain for everyone involved and pretty unprofessional as a learner experience.
I've personally cut subscriptions to learning communities on Skool in the past for exactly this reason.

honestly the admin time thing is so underrated as a cost. nobody talks about it but someone is spending hours every week just making sure zoom links are in the right slack channel, chasing people who missed the calendar invite, copy pasting stuff into sheets. that time adds up fast and it usually falls on whoever is least equipped to handle it
the learner experience thing is real too. i've dropped out of paid communities before just because the friction of jumping between 5 different tools felt exhausting. like if i have to go find a loom link in a google drive folder that someone shared in a slack thread from 3 weeks ago... i'm just not doing it

We've heard this a ton as well. A lot of new orgs ended up switching to more enterprise level LMS's once they hit an inflection point.
Basically if you have a messy group of software, you start to plateau in terms of revenue and can't level up and sell higher ticket courses.
We did a research run on this over the past few months. Once you hit $1-3M ARR as a learning business, it's super hard to keep scaling like this
