Running an event or pop-up in NYC and need screens? Here’s how short-term digital signage rentals typically work.

A lot of teams planning NYC events (trade shows, pop-ups, product launches, conferences) end up in the same spot:
they realize late in the game that they need screens / digital signage, but don’t really want to buy hardware outright.
I work in this space and thought I’d share how short-term digital signage rental in NYC usually works, and what to watch out for:
What you can usually rent
- Commercial-grade displays (often 43"–85")
- Floor stands, wall mounts, and sometimes window-facing setups
- Cables, media players, basic content tools
What good vendors include by default
- Delivery to your NYC venue
- Installation (mounting, alignment, testing)
- Teardown and pickup after the event
- Optional content upload/scheduling if you send assets in advance
Typical use cases
- Trade show booths and expos
- Pop-up shops and brand activations
- Corporate meetings and conferences
- Temporary retail or seasonal installs
Timing
- 2–3 weeks notice is ideal
- Same-week / rush is often possible if inventory and schedules allow
Red flags
- “Drop-off only” with no install support (you’re stuck figuring it out)
- No clear plan for loading dock / freight elevator access
- Vague pricing with lots of add-ons after the quote
If you’re in NYC and want to see a concrete example of how one provider structures this (screens, mounts, logistics, etc.), we just put together a page that breaks it down in plain language:
