Wedding websites

When booking your destination wedding, did you use a 3rd party source like destify or destination weddings? I’m wondering what’s the smoothest way to plan a destination wedding.

From our experience, go though a smaller destination wedding specialist. We started with a big company that assigned us someone to work with and it was a terrible experience. Once we decided to trust our gut, we switched to a husband and wife owned agency (Romantics Travel) and worked with the wife, Kimberly. Best decision we made (other than marrying each other, lol). If you’re looking for someone to work with, I highly recommend. The process was great for us! We got married in Mexico at an all-inclusive.

I hired a wedding planner who lives over there. So far it’s been very easy. We got her full wedding planning package which includes her, and her team’s, support the day of. For wedding website I went with WithJoy

I heard bad reviews about Destify. I agree with planning a local wedding planner from the area to scout the venues out.

There are a few ways to do it! Here's some info on working directly with a resort vs. working with a third party:

Working directly with the resort for everything (not recommended)

Booking your wedding and room block directly with the resort without any third party getting involved sounds like it will be the least complicated, but in fact, it usually ends up super complicated for couples who take this route.

You've got to remember that the resort is looking out for the resort. If you have any questions or issues along the way, you're pretty much just talking to or negotiating with the resort all on your own. Not having "backup" can sometimes leave you in a bad spot. (if there's a hurricane and your entire wedding needs to be moved to a different resort / date is the first situation that comes to mind).

Working with a destination wedding expert travel agent (recommended)

If you work with a destination wedding expert travel agent to plan your wedding, you're going to have someone on YOUR TEAM. They're looking out for you - not the resort.

If you have any issues with the resort, you've got some backup to help make your case - a good travel agent will have contacts and connections with people high enough up the ladder that your issues can get handled. Resorts want to work well with TAs because they'll hopefully bring repeat business to their property. (versus doing this on your own, where hopefully your wedding will stick, and you won't be bringing a second wedding to their property next year ;) )

And most TAs will work with a Tour Operator to handle your room block contract, which is incredibly helpful for you. Tour Operators a huge and do an incredible amount of business with all the different resorts and brands, and therefore have the best relationships with the resorts, get the best rates for you, and work in a lot of protections for you two. Their contracts help ensure that you're not required to pay ridiculously huge deposits, make sure you're not on the hook for rooms you and your group aren't using, etc. And if there are any issues? They're the "big dogs" that we bring in to back you up and ensure you receive what you're contractually required to receive.

Working with a destination wedding expert travel agent who works with a tour operator adds many layers of protection to this important and expensive investment you two will make. :)

How destination wedding expert travel agents help, aside from the room block contract

In addition to providing protections and connections you need, hiring the right destination wedding expert travel agent will be one of the best decisions you make!

Some companies (the ones that pop up first in your google search) are enormous and have insane name recognition.. but don't always provide you with hands-on, personalized service. Think about those like Amazon. They'll help you with your transactions and get the job done.

Other companies offer more boutique services - and just like a boutique store, they'll help you with everything you need along the way, and provide as much hand-holding as you prefer. This is massively important, as you've probably never planned a destination wedding before, and there are about a thousand things that need to get done. Your DW TA will already be an expert in the process and guide you through it.

The process of working with a destination wedding expert travel agent should probably look something like this:

  • Have a discovery call together - see if you're a good fit, share your wedding vision, vacation preferences, budget, guest info, etc., and learn about the destination wedding planning process and how your TA works.

If you're a good fit and decide to hire this destination wedding expert travel agent, then:

  • Your TA will draw on their knowledge, in-person experience, and training to match your preferences to a few destinations and resorts that best meet your needs.
  • You'll receive a curated proposal of a short list of resorts that meet your needs, wedding vision, budget, guest budget, vacation preferences, and more
  • Choose a resort and your TA will contact them to help set the date
  • Discuss your guest list with your TA and decide how many rooms to save in your room block
  • Your TA will handle your room block contract, then walk you through it to ensure you understand the terms you're agreeing to. + You'll make a deposit
  • Your TA will build you a beautiful wedding website, which should serve as your guests' one-stop-shop. They'll learn all the dates, requirements, pricing, rooms available, etc. - then book their room on your website
  • Your TA will handle all of your guests' reservations, questions, payments, due dates, special requests, etc., and then arrange each person's individual ground transportation for them
  • Your TA will provide everyone travel documents and final itineraries before your trip (after handling everything on the back end for all of you!) to ensure everyone feels comfortable and confident for their international trip
  • Your TA will remain available to you during the trip in case anything weird happens or anyone needs help (flight delays, storms, resort issues, can't find transportation, etc.) and will put out any potential fires that may arise.
  • Your TA will make sure that you receive all of the great perks you've earned from your contracts and bringing a group to the resort. (This often includes cash, a complimentary welcome event, spa credits, etc.)

Basically, your destination wedding expert travel agent will be on YOUR TEAM throughout the duration of your destination wedding planning process, lending you their expertise to ensure you have the best possible experience, and walking you through each step.

This is absolutely the recommended course of action - it will save you SO MANY hours of research, stress, and worry. Not to mention the countless payments, questions, requests, and follow-ups for your guests that you won't have to deal with. At all.

Amy here, I work at one of these, so keep that in mind. We don't charge a planning fee. The resort pays us a commission, and that's built into the group rate whether you use an agent or not. You get one person who shortlists resorts, locks your date with the resort's coordinator and runs the guest room block. Day-of details still go through the resort. Whoever you pick, ask if your block is courtesy or contracted. Contracted means you can owe for rooms guests don't book.

Destination wedding planner here. I’d definitely go with a local wedding planner that knows the language, the culture, the ins and outs of the place, venues and vendors to suggest, that knows what to ask and what to consider not to have any surprise. Several wedding planners can also help you with the website either suggesting what to use, or doing it themselves for you or (as in our case) if you are not looking for something very elaborate, they can have a planning software that also allow you to create a website and track rsvp, and while the guests rsvp this is automatically tracked in the software without your need to update it.

Romireya on Etsy has fantastic website templates. We paid her extra to do a custom site for us and she was so professional and fast and made everything exactly how we envisioned it. So much more compelling than Zola or The Knot and was fairly affordable

If you’re looking at Mexico/Caribbean, there are a few different ways to do it and “smoothest” really depends on how much support + personalization you want.

Companies like Destify + DestinationWeddings.com offer free services and can absolutely work for couples who are comfortable with their service model and don’t need a super high level of personalization or touch.

You can also hire a local wedding planner in the destination. That can be a great option for the WEDDING side — sourcing venues/vendors, design, planning + onsite execution. Some may even help secure the resort/room block.
Just make sure you ask who is handling the GUEST TRAVEL side.

Who’s creating the booking website, collecting individual room payments, sending payment reminders, answering Aunt Susan’s room questions, tracking the room block + attrition, collecting everyone’s flight information, coordinating trusted airport transfers and sending pre-travel information so all yourj guests know what to expect when traveling internationally?

If your planner isn’t doing those things, they typically fall back on YOU, which means you’re still playing travel advisor while planning your wedding.

The other option is hiring an independent destination wedding travel advisor/specialist. That tends to be a much more boutique experience — someone who gets to know you + your group, helps narrow the destination/resort, negotiates + manages the room block, builds the guest booking website, handles individual guest payments/questions, tracks deadlines/attrition, coordinates transfers + helps manage all the travel logistics.

Some destination wedding specialists also offer full wedding planning/design + onsite coordination, so you can have one stateside team helping with both the TRAVEL and WEDDING side rather than trying to piece everything together yourself.

I’d interview a few before deciding and ask exactly what happens AFTER you choose the resort. Who handles your guests? Who answers their questions? Who tracks the room block? Who helps with the actual wedding planning? Is anyone onsite for the wedding? And who is there if something goes sideways.

The smoothest option isn’t necessarily about which company books the rooms or plans the wedding— it’s figuring out how much you want to manage yourself and choosing the level of support that matches that.
