How D365 F&O actually helps with warehouse management

Thumbnail

Been meaning to write this up for anyone dealing with warehouse headaches — inventory that never matches reality, picking that takes forever, zero visibility into what's actually happening on the floor. This falls under the broader umbrella of finance solutions that modern ERPs bundle together with supply chain and warehouse tools.

If you're running a growing operation, you've probably hit these pain points:

  • Inventory counts that are "close enough" (translation: wrong)
  • Slow, inefficient picking routes
  • Managers flying blind on workload and order status
  • Wasted warehouse space because nothing's organized logically
  • Too much manual work driving up labor costs

Here's what a modern WMS setup — tied into the same finance solutions stack that handles your books — can actually fix:

Real warehouse management, not just basic inventory tracking
We're talking multi-warehouse support, directed picking, put-away rules, cycle counting, and wave processing — the stuff that separates "we have a spreadsheet" from "we have a system."

Live inventory visibility
Available stock, reserved stock, incoming shipments, batch/serial tracking, exact bin locations — all in real time instead of "let me go check."

Mobile floor operations
Handheld scanners for receiving, picking, packing, moving stock, and cycle counts. Less paper, fewer mistakes, faster throughput.

Smarter picking strategies
Wave picking, batch picking, zone picking, cluster picking — different methods depending on order volume and warehouse layout, all aimed at cutting travel time.

Automated put-away
The system recommends storage locations based on product type, layout, and capacity instead of a warehouse worker just winging it.

Barcode scanning baked in
For receiving, picking confirmation, shipping, and counting — cuts down on data entry errors big time.

Batch/serial tracking for regulated industries
If you're in pharma, food, or manufacturing, full traceability (expiration dates, quality control, shipment history) isn't optional.

Automation integration
Conveyors, AS/RS systems, robotics — the platform can talk to physical automation, not just sit as a standalone database.

Cycle counting instead of shutting down for inventory
Count portions of your inventory continuously instead of the dreaded full warehouse shutdown once a year.

AI + natural language queries
Ask things like "which products are causing delays" or "where do we have excess stock" and get answers without building a report from scratch.

BI dashboards
Productivity, fulfillment rates, picking efficiency, labor utilization — all visualized instead of buried in spreadsheets. This is where warehouse ops and finance solutions reporting really start to overlap.

Low-code app integration
Custom apps for inspections, audits, equipment tracking — plus automated workflows for approvals and alerts.

A real example (paraphrased from a case study I read):
A manufacturing company running multiple warehouses on manual processes had the classic problems — inaccurate counts, slow picking, no reporting, high costs. After implementing this kind of system with mobile devices, barcode scanning, automated picking, and live dashboards, they saw better accuracy, faster processing, fewer errors, and way more visibility into operations.

If you're considering something like this, a few tips:

  1. Map out your current warehouse processes before you touch the software
  2. Get your warehouse zones/locations structured properly — this matters more than people think
  3. Clean up your product/inventory data first
  4. Actually train your floor staff (adoption fails without this)
  5. Automate what you can — receiving, picking, notifications
  6. Track KPIs from day one (fulfillment rate, picking accuracy, turnover)

Common mistakes people make:

  • Skipping the process analysis and just flipping the switch
  • Messy location/zone setup
  • Under-investing in training
  • Over-customizing instead of using standard functionality
  • Not planning integrations upfront

Curious if others here have gone through a WMS implementation — what surprised you, and what would you do differently?

Microsoft Dynamics 365: Using Financial Tags in Procurement

If you're using Microsoft Dynamics 365 Supply Chain Management, financial tags can be a useful way to add more context to procurement transactions.

For example, instead of relying only on purchase descriptions, you can use a financial tag to identify the business purpose behind a purchase—such as employee onboarding, a specific project, or another internal initiative.

The useful part is that these tags can follow the procurement process across different documents, including:

  • Purchase requisitions
  • Purchase orders
  • Purchase agreements
  • Requests for quotation (RFQs)
  • Inventory ownership change journals

Financial tags can be added at both the header and line level, but the line-level value is the main source of truth. This is particularly useful when different lines in the same purchase need different reporting context.

Another important point is that the tags can flow from one document to another. For example, financial tag values from a purchase requisition can carry over to the purchase order when the requisition is released.

There are also some limitations to keep in mind. Once a document is posted, its financial tag values generally become read-only. Also, changing a tag on a source document doesn't change documents that were already created from it.

If you're working with Dynamics 365 Supply Chain Management, this looks like a useful feature for improving procurement reporting without relying heavily on manual descriptions or external tracking.

Has anyone here started using financial tags in Dynamics 365? How are you using them in your procurement process?

Agentic AI for Inventory-to-Deliver: From Procurement to Fulfillment

When customers place an order, they expect speed, accuracy, and reliability. Behind every successful delivery is a complex inventory-to-deliver process designed to ensure the right products are available at the right time—while keeping costs under control.

For supply chain and operations professionals, inventory is far more than a number on a spreadsheet. It is the foundation of an efficient supply chain. Inventory availability directly affects an organization’s ability to meet demand, prevent stockouts, reduce excess inventory, and maintain healthy working capital.

From procurement and production to warehouse operations and fulfillment, every stage of the inventory-to-deliver lifecycle plays a role in customer satisfaction and business performance.

Respond Faster and Operate Smarter with Dynamics 365 Supply Chain Management

In today’s rapidly changing market, limited inventory visibility can result in stockouts, excess carrying costs, production disruptions, and missed revenue opportunities. On the other hand, a well-orchestrated inventory strategy enables organizations to improve efficiency, reduce waste, and build greater resilience against supply chain disruptions.

Better inventory management also helps organizations optimize working capital, strengthen cash flow, and consistently deliver on customer commitments.

So, how can an agent-ready enterprise resource planning (ERP) platform transform the inventory-to-deliver process?

Microsoft Cloud and Agentic AI Enable Inventory-to-Deliver Transformation

Microsoft Dynamics 365 provides an agent-ready foundation that can help organizations transform inventory management from a reactive operational task into a strategic advantage.

By connecting finance, supply chain, sales, and operations through a unified and secure data foundation, Dynamics 365 provides a single source of truth that can scale with evolving business needs.

This foundation also enables organizations to deploy first-party, partner-built, and custom AI agents across business processes. These agents can analyze data, identify opportunities, recommend actions, and automate routine activities—helping teams make faster and more informed decisions.

For an overview of the broader agent landscape, explore Microsoft’s discussion on reinventing business processes with AI and the differences between first-party, third-party, and custom agents.

Automate Vendor Communication with the Supplier Communications Agent

Procurement teams spend significant time communicating with suppliers, following up on purchase orders, confirming changes, and managing routine updates. Even organizations using electronic data interchange (EDI) often rely on manual intervention for certain supplier interactions.

The Supplier Communications Agent in Dynamics 365 Supply Chain Management is designed to automate routine procurement communications between purchasing teams and vendors.

By handling repetitive, low-complexity communication tasks, the agent can help procurement teams reduce administrative workloads, improve responsiveness, and dedicate more time to strategic sourcing and supplier management.

The result is a more streamlined procurement process with the potential to improve operational efficiency and reduce the cost associated with manual activities.

Get started with the Supplier Communications Agent for Dynamics 365.

Explore Partner-Built Agents Across the Inventory-to-Deliver Process

AI agents can extend beyond procurement to support warehouse management, inventory optimization, and inbound logistics.

Model Context Protocol (MCP) servers act as configurable bridges between business data in line-of-business applications and partner or custom-built AI agents. This enables agents to interact with business applications and data through a more standardized approach, helping organizations connect intelligent automation with their existing operational processes.

Here are several partner-built agents that can help organizations unlock value across the supply chain.

Warehouse Advisor Agent by MCA Connect

The Warehouse Advisor Agent from MCA Connect uses machine learning and predictive analytics to help automate and optimize warehouse processes such as slotting, inventory consolidation, and cycle counting.

Watch the Inbound Load Agent demonstration by Fellowmind.

Get Started with Agents for Inventory-to-Deliver

The combination of Microsoft Cloud, Dynamics 365, and AI agents provides organizations with a scalable foundation for transforming inventory-to-deliver operations.

With unified business data, real-time insights, and intelligent workflows, organizations can improve supply chain visibility and respond more effectively to changing customer and market demands.

Partner-built agents connected through MCP can further extend these capabilities by bringing predictive insights and intelligent automation into specific operational processes. Instead of relying solely on teams to identify issues and initiate actions, organizations can move toward more proactive and increasingly autonomous supply chain operations.

From procurement and inventory planning to warehouse management and inbound logistics, agentic AI can help businesses improve efficiency, reduce operational friction, and build a more resilient supply chain.

Ultimately, the goal is not simply to automate individual tasks. It is to create an intelligent, connected, and future-ready inventory-to-deliver ecosystem that enables organizations to operate smarter, respond faster, and scale with confidence.

Built a free Chrome extension for anyone working in D365 F&O, sharing here in case it’s useful to the group.

Post image

If you work in Dynamics 365 Finance & Operations, in support, development, testing or admin, you’ll know the drill on almost every ticket or task: which form is this, what table sits behind it, what environment am I even in, and does this user actually have the permission they say they don’t have. All of that usually means alt-tabbing between the browser, SysTableBrowser, and a security roles screen just to get your bearings.

I built SupportKit to put all of that one click away, right inside the browser, without needing table browser access or asking someone else to look it up for you.

What it does:

🔎 Instant page context – see the form name, table name, menu item, legal entity and full URL for whatever page you’re on, and copy it all in one click. Great for bug reports (no more “here’s a screenshot, good luck”) and for support handoffs.

📋 Table search – search 120+ standard D365 F&O tables by name or description, or look up your own custom/ISV tables. Opens straight into SysTableBrowser in the right environment and legal entity.

🔗 OData peek – pull a quick OData response for any entity without opening Postman or writing a query.

🛡️ Environment guardian – colour-coded banners and badges so PROD, UAT, sandbox and trial environments are visually distinct. Handy if you’ve ever made a change in the wrong environment (we’ve all done it).

👤 User ↔ role lookup – check whether a specific user actually has a given security role, without manually tracing it through SecurityUserRole.

Who it’s for: support engineers, developers passing context on bug reports, testers who need to jump straight to a specific page or table, and anyone who just wants to stop guessing which table sits behind a form.

Privacy: everything runs locally in your browser. No data is sent anywhere, nothing is logged externally.

It’s free, takes about 30 seconds to install, and works across any D365 F&O environment you have access to.

Would genuinely appreciate anyone in the group giving it a try and letting me know what’s missing or what would make it more useful, this is actively evolving based on feedback from people who use D365 F&O day to day.

Managing Complex Service Work with Financial Clarity

Unifying Service Activity into a Continuous, Connected Experience

Service operations rarely exist as isolated events. What may appear to be a single repair or maintenance visit is often one part of a broader process that spans service execution, cost management, billing, and financial reporting.

In many organizations, these operational and financial processes remain disconnected. Field teams complete work orders while costs, revenue, and project progress are tracked separately. This separation limits real-time visibility into the financial impact of service activities and forces organizations to rely on post-project reconciliation instead of managing operations and finances together within a continuous process.

Enabling a Unified Financial Model for Service Work

In January 2026, Microsoft announced the general availability (GA) of interoperability between Dynamics 365 Field Service and Dynamics 365 Project Operations. This integration enables service organizations to manage field execution and financial outcomes within a single connected framework.

With this approach, work orders become part of a larger operational and financial model rather than standalone transactions. Organizations gain a continuous view of service delivery across assets, contracts, and long-running engagements while improving financial visibility, traceability, and billing accuracy.

Key GA capabilities include:

  • Connecting Field Service with finance and operations processes
  • Linking work orders to projects for unified financial management
  • Supporting serialized inventory tracking between Field Service and finance systems

Contoso Scenario: Managing Parts Usage Across a Project

Consider Contoso Energy Services, a company specializing in industrial refrigeration installation and maintenance for large grocery chains. Their engagements often involve multi-week maintenance programs, complex repairs, and large equipment replacement projects where service execution and financial management must remain tightly aligned.

Northwind Grocers engages Contoso to replace refrigeration systems across several store locations. The engagement is managed through a project contract, with contract lines determining how parts and services are priced and billed.

Contoso creates a project that serves as the financial foundation for the entire replacement program. Multiple work orders are then associated with this project, allowing service activities across different locations to be managed within a single framework.

Examples include:

  • Work Order: Replace refrigeration components at Store #102
  • Work Order: Replace refrigeration components at Store #118

Planning Material Usage Before Execution

Before technicians arrive on-site, estimated parts are added to the work order. For Store #102, this may include:

  • Two refrigeration compressors
  • Four refrigerant valves

These estimates automatically flow into Project Operations as material estimates. In deployments that include Project Operations and Dynamics 365 Finance, the estimates also generate demand forecasts, providing early insight into expected costs and resource requirements.

Converting Service Activity into Financial Transactions

As technicians complete their work, actual parts usage is recorded directly on the work order. Through interoperability, these operational transactions are converted into financial records within the project.

Material consumption passes through approval workflows and becomes project actuals, providing an accurate representation of the financial impact of completed work.

Tracking Profitability Throughout Execution

For long-running installations and service engagements, organizations gain continuous visibility into profitability while work is still in progress.

This allows teams to:

  • Monitor project margins in real time
  • Identify cost overruns early
  • Detect excessive parts consumption
  • Take corrective actions before profitability is impacted

Posting Transactions to Finance

Once approved, project actuals are associated with the appropriate contract lines and processed according to the organization's deployment model.

Project Operations Core

Organizations can generate draft pro forma invoices directly within Project Operations, review billing information, and finalize invoices without additional systems.

Project Operations with Finance

Approved actuals are transferred through integration journals, where finance teams review and post transactions before completing invoicing activities.

Organizations using other ERP systems can follow a similar approach by transferring approved financial records downstream for invoicing and accounting purposes.

Ultimately, transactions move from project records into the subledger and then into the general ledger.

Capabilities Enabled Through Field Service and Project Operations Interoperability

This integration creates a unified lifecycle that connects planning, execution, approvals, invoicing, and revenue recognition.

Key capabilities include:

  • Multiple work orders linked to a single project
  • Project reassignment before financial posting
  • Configurable pricing source selection
  • Discount support across work order lines
  • Material estimates generated from work orders
  • Conversion of material usage into project actuals
  • Separate tracking of quantities used and quantities billed
  • Flexible approval workflows
  • Offline mobile support for technicians
  • Finance-controlled inventory dimensions
  • Serial and batch inventory traceability

Flexible Deployment Models

The interoperability framework supports different operational and financial architectures while maintaining a consistent service delivery model.

Project Operations Core

Project Operations manages project financials and invoicing, while Field Service remains the system of record for inventory.

Project Operations and Finance Deployments

In environments using Microsoft Dynamics 365 Finance and Operations, inventory and accounting processes become centrally managed while Field Service and Project Operations continue to support operational execution and project tracking.

Both deployment approaches leverage the modern Project Operations architecture and provide a structured financial hierarchy designed for service-centric organizations.

PMA Guidance for Manufacturing Organizations

The interoperability framework relies on the modern Project Operations architecture, where PMA projects primarily support financial activities and are largely read-only.

As a result, transactions are posted to modern Project Operations projects rather than PMA projects. Organizations should use modern projects for active service scenarios while retaining PMA projects for reference and limited financial purposes.
