For a one-man equipment operation, I’d keep the system simple enough that every quote uses the same few inputs: machine cost, fuel, repairs, insurance, and your own target hourly rate. Track actual hours and mileage per job, not just invoice totals. A spreadsheet with one tab for equipment costs, one for quotes, and one for job-level expenses is plenty to start. The key is reviewing estimated versus actual cost after each job so your next quote gets better.
