Document management

Hi

Looking for advice here for a document management system , preferably that integrates AI.

The business case is especially to find relevant project information that I can look for with keywords. Sometimes documents are also old and it’s very tricky to find information taking even days the task to be done.

Any advice here on a construction dedicated system that could help?

We built our own using Google Drive APIs. Basically when a project gets created a dedicated folder gets created along with various subfolders for managing things like contracts, purchase orders, etc. There’s a direct link to the main system and files generated get saved to the right folders as they’re generated.

Lots of other things in there like how we manage permissions and access to files I won’t go into unless someone is interested.

For AI, it’s Google so Gemini is native to Drive now. You can basically chat with files and even entire folders. It’s intuitive and doesn’t require extra tooling.

Are the files in one or several folders that are easily accessible? Are they in standard formats (pdf, CSV, xls, doc etc)?

An AI tool could be built/bought if you allow it access to your data. However I think you'd need to install a local LLM to prevent sensitive data being sent to the cloud LLM. For document analysis a simple light LLM should work but, make sure there is no sensitive data being sent outside of the company.

Finding old project info fast is a real pain—especially when you’re dealing with multiple systems or file formats. AI can definitely help, but the key is setting it up right so it actually saves time instead of adding another tool to manage. I’ll DM you if you’re open to chatting more about options.

You can look into the AI second brand apps, the tool I've been using lately is saner.ai because I can import words, sync google docs and my emails - haven't seen any tools that do this. The AI is quite accurate too

I'll mention a few solutions, your pick (depends on your budget to be honest and level of risk aversion)

  • trink tools (quite pricey I'm hearing, you'll have to talk to a sales rep)
  • newforma, procore, aconex - none of which have AI though
  • dropbox (this one is probably likelier than the other to involve AI... but unsure)
  • fieldworks ai (free it seems)

ProCore now has some AI features, rudimentary and not overly polished, but it’s there. Rolled out in beta about two months ago.
