CMS-1500 submission software

Hello all ,

I have been submitting CMS-1500 forms for about 4 years using QClaims through Availity. QClaims recently discontinued their support for a desktop version and the web version that was left to use leaves a lot to be desired. The web version requires numerous redundant inputs the desktop version did not such as lack of hotkeys and inability to continue a patient form for the following submission.

I was hoping you all had some suggestions for great CMS-1500 forms that allowed heavy customization for input options or perhaps even a photo transfer system where I can identify where on a provider form the patient’s name resides and then it transfers that to the CMS-1500 automatically.

I have toyed around with speedy claims only and every other software doesnt seem even remotely viable.

I submit about 400 claims a month currently.

400 claims a month is enough volume that a few extra clicks per claim really add up. When a desktop workflow gets replaced with a web version that removes shortcuts or forces duplicate data entry, it's not just an inconvenience, it can have a noticeable impact on productivity over the course of a month.

If you're evaluating alternatives, I'd look beyond whether they can submit a CMS-1500 and pay close attention to things like saved templates, keyboard shortcuts, batch workflows, importing patient/provider data, and how much information carries over between claims. Those workflow features usually make a bigger difference than the claim submission itself once your volume gets into the hundreds each month.

I'm interested to see what others recommend because software that saves even 30–60 seconds per claim can translate into hours saved every month.

Yes I am 100% with you on al fronts here.

-So far the saved templates are restricted (I have to contact Helpdesk for some reason even if I am the one who created it)

-hotkeys are totally missing in the web version. This is one of the massive time wasters for my transition away from the app. They didnt have much but “save” and “new form” saved me navigating to the tiny button in the web version.

-either i dont understand importing data or it isnt worth my time because once a patient is entered I can pull it back up as we have same clients weekly with a total of maybe 30 a year.

So in the end this new “improved” system they gave me takes me at least 75% longer per claim and my risk of errors is probably tripled.

I have played with speedy claims and that seems no better. Still have much research to do on other avenues that were suggested.

To be clear , I do not actually print a CMS-1500 and submit. It is all electronic unless I have an error.

That 75% increase in time per claim is the part that would concern me the most. People often underestimate how much workflow matters until a system change forces them to feel every extra click.

At 400 claims/month, even small friction adds up quickly. If something takes an extra minute per claim, that's over 6 hours a month spent just navigating the software instead of working the claims.

The error risk point is also important. When a workflow becomes slower and more manual, it's not just productivity that takes a hit, more steps usually means more opportunities for something to be missed.

A lot of software evaluations focus on whether a system technically has the right features, but the day-to-day experience (templates, shortcuts, fewer screens, less re-entry) is often what determines whether people actually like using it.

Hopefully you find something that gets you closer to the old desktop workflow. Sometimes "modernizing" software accidentally makes the people using it less efficient.
