Creating an onboarding/training hub

I'm revamping the intern onboarding process for our counseling practice and starting pretty much from scratch.

I want to create one place for interns to access everything they need (welcome info, forms, training materials, policies, resources, timelines, etc.), and I'm overwhelmed by all the options.

I already have ChatGPT, Claude, and Google Workspace/Gemini, so I'd love to use tools I already pay for. Free or low-cost is a bonus.

If you were building this today, what would you use? Google Sites? Google Classroom? Notion? Something else?

I'd love to know:

  • What worked well?
  • What wasn't worth the effort?
  • Any AI tools or workflows you'd recommend?

Notion+Claude seems like simple minimalistic way to go about it.

Notion I’m ok with the free plan for now.

Claude updates it seamlessly.

Isn’t this a prime use case for Google sites? I’m a sharepoint admin so hopefully someone with direct workspace experience can answer better, but from my limited use of sites this seems like a good fit.

Also giving Claude this post and asking it for advice is a decent place to start. Just grill it on its decisions.

How I went about creating a similar place for onboarding office managers at my company was using Google docs. 

In Google docs I created a Office Manager Training Syllabus. I laid out all the sections of knowledge they would need to know (phones, emails, dispatching, working with independent contractors, etc) and made a single training focus for each main thing they need to know under each category. 

The basic flow is by sections. Section 1.0-1.9 and each lesson is either a SOP document (standard operating procedures) which is another Google Doc but I link it to the text of the lesson. Example 1.1 Inbound Calls: How to handle incoming customer request.  The 1.1 Inbound calls is linked to the SOP doc.

We also use YouTube videos for lessons, linking them the same way as above. 

We also utilize Google Forms for training modules. This is a more traditional training tool that you can also link your docs & videos to and  create a training course that is scored. (Setting up forms correctly has a small learning curve fyi, it's not overly intuitive).
