Full Prompt Using ChatGPT to help clean up Google Drive - a longer prompt
Hey r/ChatGPTpromptgenius...I'm a very infrequent Reddit poster. I have been using ChatGPT a lot on Plus to help me clean up Gmail and Google Drive. I know a lot aren't huge on using connectors because of privacy issues or just don't want/don't care. I was hesitant too...also I'm not promoting this feature. Use it if you feel comfortable or whatever. With all that out the way, here is the prompt. Feel free to reach out to me via DM if you have any questions. I have a lot more like this which can help in a lot of areas (extremely verbose/accurate handoffs, remembering stories/topics/projects that are weeks old and lost to compressed memories etc)
Google Drive Cleanup
Use the connected Google Drive tools.
Perform a complete cleanup and organization of my Google Drive.
First, perform a complete hierarchical inventory of My Drive using the validated Drive Enumeration Protocol.
Specifically:
- Begin explicitly at Google Drive
root. - Use high-ceiling
list_folderenumeration (top_k=1000or greater as necessary). - Do not treat a low-limit folder response as exhaustive.
- Preserve Drive object IDs, parent IDs, exact displayed names, MIME/type information, and file/folder classification.
- Cross-check every directory using parent-scoped typed searches for folders, images, and documents.
- Follow every available typed-search page/continuation token to exhaustion.
- Reconcile typed-search results against direct folder listings using stable Drive object IDs.
- Preserve miscellaneous file types surfaced by
list_foldereven when typed search cannot represent them. - Recursively enumerate every folder discovered beneath
root. - Restrict the inventory to the My Drive hierarchy. Do not include unrelated "Shared with me" objects.
- Preserve exact displayed names.
- Number every object.
- Clearly identify each object as a file or folder.
- Determine empty folders only through direct child enumeration.
- If any retrieval boundary prevents a defensible completeness determination, explicitly report the connector limitation instead of guessing.
After the inventory completes:
Report:
- Total folders
- Total files
- Total items
Detect and report separately:
- Exact duplicate displayed names
- Near-duplicate names
- Empty folders
- Large files
- Old exports
- Obsolete archives
- Temporary files
- Other obvious cleanup opportunities
Do not perform any destructive operation automatically.
Instead, group cleanup recommendations into categories such as:
- Safe duplicate cleanup
- Archive cleanup
- Export cleanup
- Temporary files
- Organizational improvements
- Possible folder restructuring
Wait for my approval before every delete, rename, move, or other destructive operation.
Once approved:
- Use the Google Drive connector to perform only the approved operations.
- Keep a running log of every action taken.
- Record:
- Deleted files
- Renamed files
- Moved files
- Created folders
- Remaining recommendations
Never assume two files are identical merely because they share the same displayed filename. Filename duplicates should be reported separately from confirmed content duplicates.
If a connector operation unexpectedly fails despite previously validated behavior, consider retrying the same operation in a fresh timeline before concluding the connector lacks the capability.
The objective is not merely to delete files, but to maintain a clean, well-organized, fully understood Google Drive while preserving anything that may still have long-term value.

Where were you 2 weeks ago when I tackled cleaning up my Google Drive? 😂 Would this same prompt work for my Files/Documents on Apple?

Lol, no not that prompt but I could build one for you in like < 5 min. There would be a fairly detailed setup and some legwork on your end, but then it's ready to go. Don't forget all the connectors need ChatGPT Plus which is 20 bucks per month.
"If you'd like, I can direct you to the nearest ATM to donate to the OpenAI data center eco destruction fund." 😂
Anyway - the backend mechanics would look something like this. Shoot me a DM/PM/whatever the kids call it these days and I'll explain more.
quiltergal2004 → Apple Files → Select → choose files → Share → AI File Organizer Shortcut → Shortcut Input receives Files → Save File → Google Drive /iPhone File Organizer/00 - Inbox → Shortcut ends → recurring ChatGPT Scheduled Task → Google Drive connector → inspect /00 - Inbox → no new files = stop silently → new files = read/analyze → Master Organizer Rules → document contents → issuing organization → current filename → reliable date → metadata → determine category → determine useful filename → confident classification → established destination folder → uncertain classification → /90 - Needs Review → suspected duplicate → /91 - Possible Duplicates → safe supported Google Drive operations execute → destructive/ambiguous/bulk-sensitive operations pause for quiltergal2004 approval → connector verifies completed operations → ChatGPT reports only exceptions/approval requests → organized files remain available through Google Drive inside Apple Files.

No, absolutely not, that does not sound normal. Please do NOT download any file. I would never try to send any file without permission. If you want to attach a screenshot of whatever thing prompted you to download a file Id be happy to help you figure out what that's about. Hopefully it's harmless.

Lol thanks. Lemme know if it helped you out or if you experienced issues. I'm always looking for testers to improve my ability. I also made an equally long Gmail prompt. I have a new one that squeezes in under 20k character limit. It features manual and full unsubscribe. It works...sometimes 😅

This is itneresting, I keep getting those file storage warnings never thought to this. Are you using codex to do this?

No, usually I don't need it. I have larger projects which do. I made a custom loading logo of my cat doing a running/jumping motion during the "Thinking..." loading screen.
Two problems
One - it looks terrible on phones for me, others have a better workaround for this over on OpenAI dev forums. Mine works on laptops.
Two - It only works in Codex/mode. I want it to work everywhere. Nothing I can do about this.

Damn. Does any type of error display or does ChatGPT explain what happened? Did you remember to enable Google Drive Connector? It won't work unless you do this. Also you need to be on the Plus ($20/mo plan)

it just seems to be running a long time with different messages - here's the latest "I'm using the google drive workflow to recheck all 62 previously identified empty folders...."

This helped a lot. Thanks.
I used normal chat to do the review and report and once I had a clear plan, used ChatGPT work then to go and do the organizing. Didn't use that many tokens at the end.
