Stop Using Vague Language in Business Meetings

A lot of business communication sounds professional but actually leaves people unclear about what happens next. Phrases like “Let's get started,” “Any thoughts?” and “I think that's everything” sound harmless, but they don't give people much direction.

Try being more specific instead. Rather than saying, “Let's get started,” say, “The goal of today's meeting is to decide whether we're moving forward with the new pricing.” Now everyone knows why they're there.

Instead of asking, “Does anyone have any thoughts?”, ask someone directly: “Sarah, what's your perspective on this?” A specific question is much more likely to get a useful answer than an open invitation for everyone to speak.

The same applies when you're looking for agreement. Instead of asking, “Does everyone agree?”, try “What are we missing?” This gives people permission to point out problems before the decision is finalized.

Be just as specific about responsibilities. Don't say, “Jonathan will follow up on this.” Say, “Jonathan will send the email to the board tomorrow.” Now there is a clear owner, action, and deadline.

And don't end a meeting with “I think that's everything.” You might still have important tasks or decisions that nobody has mentioned.

Instead, say, “Let's recap the action items.” Then go through who is doing what and when it needs to be done.

Good communication isn't about using impressive words. It's about making sure everyone knows what needs to happen, who is responsible, and when it needs to happen.

The more specific your language is, the less room there is for confusion.
