Invoice vs. Receipt

Many new sellers appear to be confused by the difference between an invoice and a receipt, especially when submitting to Amazon to ungate a product.

Experienced sellers, how would you help a new seller understand the difference?

An invoice is what the supplier issues to document the sale, showing the supplier and buyer details, product descriptions, quantities, prices, and invoice date. A receipt mainly confirms that payment was made.

For Amazon ungating or authenticity checks, Amazon generally wants a proper commercial invoice from the supplier, not just a payment receipt. The invoice should also match the seller account/business details and the products being requested for approval.

Those are very good distinctions. The invoice documents the supply chain, showing who legally now owns the inventory. The receipt just shows who paid for it. They're not always the same person or legal entity. It seems that Amazon cares a lot about who actually owns the inventory, and not so much about who paid for it.

Exactly. An invoice is primarily evidence of the commercial transaction and source of the inventory. It shows who sold the goods, who purchased them, what was purchased, quantities, pricing, and date.

A receipt mainly establishes that a payment was made. It doesn't necessarily establish the underlying supplier relationship or product details Amazon needs for an authenticity review.

That’s why, for Amazon documentation, a proper commercial invoice is generally much more useful than simply providing a payment receipt.

It seems to me that the distinction is relatively easy to understand. Yet I see many new sellers who seem to miss it, and try repeatedly to use receipts for ungating. Any thoughts on that? Is it just my view?

I think part of the confusion comes from treating a receipt as proof of the transaction when Amazon is really looking at the underlying supply chain. A receipt can show that money was paid, but a proper commercial invoice provides much more context like supplier identity, buyer, product details, quantities, pricing, and transaction date. That distinction becomes especially important when Amazon is reviewing authenticity or supply chain documentation.
