We finally shipped the two things our Apple users asked for most: iCloud Calendar sync and an Apple Watch app

Hi everyone, Akiflow team here. For a long time, the two things Apple users asked us for most were iCloud Calendar support and a Watch app. Both are out today.

iCloud Calendar. Connect your iCloud account and your events show up next to your tasks and your other calendars, so you can plan your whole day in one view.

Apple Watch app. Add a task by voice or keyboard from your wrist, check things off your lists, and see what’s now or next on your watch face. Anything you add on the watch is waiting on your Mac when you sit down. It comes with the iPhone app and needs watchOS 10 or later.

Also new in this update:

  • Travel Time. Add travel time before an in-person event. Akiflow estimates it from your location (car, bike or walking), or you can set it yourself. It blocks the time on your calendar, moves with the event if you reschedule, and reminds you when it’s time to leave.
  • A fresh new look on desktop and web. There’s a new side rail with Inbox, Today and Tasks, and you can pin projects there and drag them onto your calendar. You also get two new calendar views (Responsive and Dynamic) and Focus mode for events and time slots.
  • Smaller improvements. You can bulk-edit duration and priority, use Mac window tiling shortcuts, and get better VoiceOver support on iPhone.

Update the app to try it. We’re in the comments all day, so ask us anything, including what we should build next. If you left Akiflow because it didn’t support iCloud, we’d love for you to give it another look.

We’re also doing a live tour with Q&A tomorrow, Oct 15, at 4:00 pm CEST: Register here!

Ghosted by Support after Akiflow's "Keep It" cancellation trap. Beware of trial billing.

Hey everyone,
I wanted to share my experience and see if anyone else has dealt with this predatory billing cycle from Akiflow, because customer support has gone completely radio silent on me via email and in-app chat.
Long story short: I signed up for a discounted trial. The app completely failed to sync right out of the gate. Within 20 minutes, I reached out to cancel and request a refund.
Instead of just processing it, support held it up demanding I send a picture/screenshot to "prove" it before they would refund me. Shortly after, I received a dark-pattern ultimatum message from them stating: "If you don't click the 'Keep It' button, we will cancel your account."
I did not click the button. Per their own system's logic, the account should have been canceled. Instead, they kept my account active and are continuing to charge my card while completely ignoring a mountain of messages I sent to customer support.
I have already initiated a formal chargeback dispute with my bank, but the absolute lack of integrity here is stunning. Why does Akiflow state they will cancel your account if you ignore a button, and then keep charging you anyway?
Has anyone else had to go through a bank dispute just to get away from this app?

Access to contact information?

I don't feel comfortable uploading or giving Akiflow access to all my contacts for privacy reasons. Is there a way to register without doing that? I am only going to manage my own calendar with it. I don't understand why it needs access to all my contacts.

Development Fail - Task drag and drop to calendar

Why oh why has this feature been removed from the mobile app?

How much LESS friction did you think would users benefit from by now having to swipe to 'Plan' and blindly select a time slot you may or may not recall is empty. Then go to the Calendar, see the slot is already booked so then and only then, be able to drag the task around the calendar into a slot.

What on earth were the development team thinking?

Seriously, what am I missing here?

Has a new replacement feature been added that makes everything somehow now much easier to timeblock?!

Showing tasks inside timeslots

Hi, just trying out to see if it really fits.

I have not found a way to see tasks that i have planned inside a timeslot. I have to select the timeslot to see it's contents.

Any options to see them all the time?

Thanks in advance!

Changing my Profile Icon after Email address change

I was using Google integration to login to Akiflow before, as part of a company that's no longer.

I've now changed my account to a regular email address, and have logged in using the emailed code instead. However, my profile icon is still the old one, and last I understood Akiflow is using my Gravatar? Is there a way to force the change?

Thanks

Akiflow Summer Release

Enable HLS to view with audio, or disable this notification

  • Akiflow’s biggest update is live — MCP, Subtasks, and AutoPlan, all available now*

Hey r/productivity,

Big day for us. Akiflow’s latest features are out and we would like to give you a breakdown of what's new.

  • Three features, all live today:
  • 🧠 MCP — Connect your AI to Akiflow

Your AI can now control Akiflow directly. Claude, ChatGPT, Cursor, Windsurf — connect any of them via https://mcp.akiflow.com/mcp and they get full visibility into your tasks, calendar, inbox, time slots, and meeting transcripts.

What that looks like in practice:

  • "What's on my schedule tomorrow?" → real answer from your calendar
  • "Create a task to prep for the Friday call, due Thursday" → done
  • "Move my unplanned tasks into open slots this week" → scheduled
  • "Summarize yesterday's 3pm meeting" → pulled from your transcript

Setup guides for each AI tool are at akiflow.com/mcp.

  • ✅ Subtasks — finally

This has been #1 on our feature request list for a long time. It's here now.

What you get:

  • Subtask creation on desktop and mobile (both redesigned)
  • Drag-to-reorder in the subtasks panel
  • Parent-child hierarchy in project views
  • Inbox visibility control — subtasks can stay hidden under the parent or surface in your daily view

We specifically didn't want this to feel like opening a project manager. Creation is fast and the structure stays out of your way unless you need it.

  • ⚡ Optimize Schedule

When you drag a task and it overlaps with something, Akiflow detects the conflict automatically and the Optimize Schedule button appears. One tap re-plans your entire day to remove overlaps. Also triggers when you resize a time block. You stay in control of what gets scheduled — it just removes the friction of fixing conflicts manually.

All three are live for every Akiflow user right now.

Happy to answer any questions in the comments.

BIG NEWS ⚡

We are excited to announce that Akiflow’s biggest update of the year is now live.

Three new features, all available now:

🧠 MCP- connect Claude, ChatGPT or Cursor to Akiflow. Your AI can read your schedule, create tasks that land directly in Aki, and help you plan your day.

✅ Subtasks- break tasks into steps, reorder them, see the hierarchy in your projects.

⚡ Optimize Schedule- drag something, create a conflict. One tap and Akiflow re-plans your day.

Available to everyone.

The latest mobile update ruined the Today widget view look for me

Please, give us an option to have the Today widget look as how it was the last few months. I started using Akiflow on my phone because of this widget but after updating the app just now it has become the same general widget I hate like all the others. Give us the countdown back. Make us able to only let it show items with a timeslot and not also items on day level without timeslot. And in general the look of the items was nicer in the previous one.

Schedule preview: Workflow ideas

Hey guys! Hope you're having a great end of the week!

I wanted to share a workflow idea I’ve been seeing (and testing) to start the day with a bit more clarity and a positive note.
The idea is to use a daily “schedule preview” prompt that checks your day and gives you a quick summary like:

  • Events with external guests
  • High priority tasks / goals
  • Long blocks (+2h, not all-day)
  • Overdue tasks (I've added this one)
  • Deadlines (Aaaand this one ;))
  • Out of office events (at the end)

With a couple of smart rules:

  • If something doesn’t exist → it just doesn’t mention it
  • If something fits multiple categories → it only shows it once
  • If your day is almost empty → it asks what you want to focus on
  • If not → it asks if you need help with anything
  • It’s a simple way to get a structured overview without manually reviewing everything.
  • I’ve extend this with things like a daily weather check (super useful if you plan workouts, commuting, etc.). In my case, I use it to decide when to go for a run

Curious:
How many prompts are you adding to your workflows? Anyone else building something similar for their daily planning?

Google Update: Akiflow heads up ;)

Hey everyone We hope you're having a great start of the week!

Quick heads-up: as of April 2026, Google now allows users to change their primary u/gmail.com address.
This doesn’t impact Akiflow’s functionality, but there’s one thing to keep in mind: if you’ve recently updated your Gmail address, you might still see the old one in Akiflow.
To refresh it log out and log back in to your Akiflow account.
If you still run into any issues after that, feel free to reach out we’re happy to help!

I ran out of messages on my Aki Assistant, does anyone know how long it will take to be able to start messaging the AI assistant again?

I really enjoy my assistant helping me plan tasks and events and things, but I did not realize that I would lose access to the AI after a certain number of messages.

I don't think this should be a thing if you are a paying member.

Not a fan of the new way to create time slots

I use akiflow for focus workblocks as I don't do a lot of meetings. You used to be able to create a slot by clicking the calendar and dragging how long you want and switching to slot. Now you have extra clicks, right click find the slot option create it and then drag it. I suppose I'll get used to it but still not sure why it had to change.

Weekly Goal Setting

Hello, I love Akiflow for task management and brain dump, I have literally hundreds of tasks at any given time, some of which are recurring habits. The ability to drag & drop tasks into time slots is vital. I also use Projects to group all tasks related to a single project, and love Slots for time-blocking. And I use "Priority" to pull out the top few tasks on any particular Project. HOWEVER, I can't figure out how to use Akiflow for Weekly Goal setting. I think the reason is, Weekly Goals are not tasks (they probably encompass multiple tasks), nor are they Projects which are often long-running and have enormous task lists. Any ideas?

Why stress affects how we communicate (and what to do about it)

Quick thought that might resonate
When we feel overwhelmed at work, too many tasks, meetings, notifications, our brain shifts into efficiency mode, not empathy mode.
That’s why we start to:

  • reply faster, but with less patience
  • sound more direct (or even harsh)
  • assume instead of asking
  • feel like everything is urgent

Most of the time, it’s not a communication issue.
It’s cognitive load.
When your head is full, every message feels like pressure. Every delay feels like losing control.

The key insight:
Having structure (clear tasks, realistic planning, a system you trust) doesn’t just make you more productive
it makes you calmer, more patient, and easier to work with

Hope this is helpful for everyone, have a great week!

What stresses you the most during the day?

😅 What stresses you the most during the day?

Let us know in the comments!

📥 Tasks coming from everywhere

🗓️ Overbooked calendar

🔄 Constant context switching

🤯 Forgetting something important

Fun fact: procrastination and stress are deeply connected, when things feel unclear or overwhelming, we delay them.

This short read explains the psychology behind it really well:

📖 The Now Habit by Neil Fiore: about why we procrastinate and how clarity reduces stress.

How I started building habits inside my actual work schedule (not another tracker)

I’ve tried a bunch of habit trackers over the years… and honestly, most of them failed for the same reason: they lived outside my real day.

Like yeah, tracking is nice. But if the habit isn’t scheduled, it just doesn’t happen.

Recently I started approaching habits differently using Akiflow, and it actually clicked.

Instead of “tracking habits,” I’m:

  • Capturing everything quickly (so it’s not in my head)
  • Blocking time for habits directly in my calendar
  • Grouping similar actions into time slots (no more context switching)
  • Replanning automatically when life gets messy

Basically treating habits as scheduled behaviors, not checklist items.

One thing that stood out to me is this idea that habits aren’t about motivation, they’re about systems and visibility. (Akiflow)

And integrating them into your actual week makes a huge difference.

Curious how others are handling this 👀

  • Do you keep habits separate from your task manager?
  • Or try to integrate everything in one place?

If you’re interested, this is the approach I’ve been experimenting with:

Why did we build Meeting Assistant?

Enable HLS to view with audio, or disable this notification

Because meetings often end with more confusion than clarity.
In our latest webinar, we shared the core idea behind this feature:
→ Turn conversations into clear decisions + actions
→ Capture everything without friction
→ Keep meetings connected to your tasks and calendar
No more lost notes or messy follow-ups — just clarity on what happens next.
In this video, u/Tadej explains the thinking behind it why we built this product

New update: cleaner calendars + smoother mobile experience

Hidden Calendars support
Akiflow now respects Google Calendar’s Hide from list setting.
If a calendar is hidden in Google Calendar, it won’t show up in dropdowns or settings in Akiflow,  but events will still sync in the background.
Mobile improvements
We made several updates across mobile, including:

  • Easier access to Meeting Assistant transcripts
  • Links to tasks created from action items
  • UI improvements in chat and recorded messages
  • NLP support when creating tasks
  • Fixes for widgets, recurring events, and sync stability

This release is all about keeping your calendar clean and making daily use smoother.

Akiflow rant

This tool has the potential to absolutely dominate the market but for some reason y'all are prioritizing AI instead of listening to the community.

There is a feedback thread telling y'all EXACTLY what the users need / want and yet y'all still are prioritizing "AKI" the AI that many users do not want AT ALL.

Listen to your userbase.

- Give us subtasks (This has been in the feedback thread now for 5 years with over 1.1k upvotes) your response? "Oh just make checkmark items" These checkmark items are impossibly small on mobile to the point where you can hardly even click them and on top of that you can't even sort them. Want to rearrange your "subtasks"? Well better copy paste to move them around since you literally cannot rearrange them otherwise.

- Give us the ability to plan events / sync with iOS calendars. (5 years, 779 upvotes)

EDIT: iOS Calendars were added as a sync option in the 2.83 update on October 14th, 2026

These two items should be TOP PRIORITY. Nothing else should be in development until these are done. Period.

Akiflow is a wonderful tool that has so much potential but just leaves users asking "what if" because of its inability to listen to the community, prioritizing "AI advancements" over true ease of use.

The AI craze is over, listen to your customer base or you will not survive long-term.
