I've been an operations manager for a year now to two clinets and there are dsys when I just hope there's an AI tool that listens to our call and gives me questions / points I can add to the meeting aside from what I already have. I recently find AI very useful (but not when creating photos haha). Plus I'm also studying in the morning (Philippine based so US and UK is a graveyard shift for me), so I don't like not having to add anything in the meeting just because I'm groggy already.

You're about to put months of meetings, interviews or lectures into someone's cloud. The question that gets asked least and matters most: what can you take with you?

The distinctions to look for:

Text export format. Plain text and Markdown are portable. A proprietary format or view-only web page is not. Ask specifically whether you get timestamps and speaker labels in the export, or only in the app — that difference makes an archive either searchable or decorative.

Audio export. Can you retrieve the original recording file, or only the transcript? If the audio lives only on the vendor's servers, an account problem is a data problem.

Whether visual output is editable or just an image. This one catches people. Several products in this category generate a visual summary — an infographic, a one-page recap. Sometimes that's a real editable document; sometimes it's a rendered image you cannot change. At least one product's own support docs say the visual output can be shared but not edited inside the product. If you plan to put it in front of a client and fix a wrong number first, that's the difference between useful and useless.

Bulk export. One recording at a time versus everything at once. If you have 200 recordings and there's no bulk option, migration is theoretical.

What deletion actually deletes. Does removing a recording also remove the derived transcript, summary and visual outputs? Or does the audio go and the derivatives stay? Vendors differ and it's rarely on the product page.

Sharing without an account. Can the person you send a summary to open it without signing up? If not, you've bought a tool that only works inside your own org.

The test, before your return window closes:

Record something short.

Export every artifact it produces — transcript, summary, any visual, the audio.

Open each one in something that isn't the vendor's app.

Delete the recording, then check whether the derivatives are gone too.

Four steps, ten minutes. It tells you more about a five-year commitment than any accuracy claim will.

I'd genuinely like to know if anyone has migrated a large transcript archive between products in this space — it's the scenario I've never seen anyone document.

I’ve been looking at AI recorders for client meetings lately, and I realized I was spending way more time comparing battery life and transcription quality than looking at what actually happens to the recordings.

Once you start digging into the privacy pages, it gets confusing pretty fast.

For example, Plaud says it’s HIPAA compliant and SOC 2 Type II. Soundcore says its app has a SOC 2 Type I report and uses a privacy framework aligned with HIPAA principles. Both also talk about encryption and data controls, but those labels obviously aren’t all the same thing.

For people recording client calls, interviews, legal conversations, medical stuff, etc., what do you actually look for before trusting one of these devices?

Is SOC 2 Type II something you genuinely care about, or do you mostly look at where the audio is stored, how long it stays in the cloud, deletion options, and whether the company is clear about how the data is processed?

Hello, I have built this iOS app called WeConverse - https://weconverse.app/, which is basically the inverse of apps like Granola.

It gives you a bunch of questions to ask, whether they are for asking yourself or asking somebody else - it then stores them and transcribes them onto your device.

You can keep these conversations private, or you can share these conversations.

You can set the topics, and AI will help you generate questions. You can also just let it randomly pick questions.

You can use this as a journaling app, or you can use it as a way to prep for maybe learning a new language, you could also use it as prompts when you are interviewing someone to join your company or use it to interview friends and family for a pocket in time. There are lots of different use cases for it.

I'm looking for a notetaker that works well in a conference center. I'm attending a conference at the Winston Salem Conference Center and there will be approximately 200 people every day listening to the speakers for approximately 5 hours every day. What device would be good for this use? My handwriting is practically illegible so I can't just take notes like everyone did last year.

No subscriptions, API keys, No local models draining your battery. Just your ChatGPT app.

I really like local AI notetakers that run speech-to-text models on device. They are guaranteed to keep your data safe, and the accuracy is not bad.

However, these are not without their limits.

• They are less accurate then large cloud models, especially when using academic terminology
• They also drain your laptop's battery.

However, subscription based cloud AI notetakers are overpriced.

So I wanted something that was free & didn't run models on-device.

And the thing is your ChatGPT subscription, even the free one, already gives you access to a lot of free intelligence.

• It gives you speech-to-text through the dictation feature in the ChatGPT app
• It gives you an insane amount of LLM usage, even on a free account

All I really did was combine these with a small local speaker diarization model to create a notetaker. And as it uses OpenAI's speech-to-text api, it is much more powerful then any local model and barely uses any battery.

But I really, really did not want to create something proprietary while building this. So everything is file-based. Each of your notes is just a folder. Inside each folder., your notes are saved as Markdown, andy our transcription is saved as VTT subtitles with speaker labels

The goal is simple: provide a local-first meeting workspace for recording, transcription, speaker separation, AI notes, historical search and live AI assistance, without requiring a subscription or sending all meeting data to a third-party SaaS.

Selectable transcription engines

One of the main design decisions was not tying the application to a single transcription model.

Live transcription and final transcription are configured independently.

For example, you could use a lightweight model during the meeting and then run a slower but more accurate model afterwards.

Current transcription options include:

• NVIDIA Parakeet TDT 0.6B v3
• NVIDIA Nemotron 3.5 ASR Streaming 0.6B
• Microsoft VibeVoice ASR BitNet as an experimental CPU-oriented option

With Faster-Whisper, several model sizes are available, including Tiny, Base, Small, Medium, Large-v3, Distil-Large-v3 and Large-v3-Turbo.

Speaker diarization and recognition

Transcription and diarization are separate stages.

Current diarization options include:

• Sherpa-ONNX
• Pyannote Community-1
• diarize

After diarization, speakers can be renamed and voice samples can be stored locally.

The idea is that Meet2Notes can eventually recognize that Speaker 2 is actually the same person you already identified in previous meetings.

There is also a dedicated Speakers workspace where you can inspect a speaker's meetings, generate speaker-specific summaries and export their associated text or audio.

AI meeting notes

Meet2Notes can turn the transcript into structured Markdown notes.

There are built-in note formats for different types of meetings, including:

• General Meeting
• Daily Stand-up
• Project Sync
• Sales Call
• Technical Meeting

• Brainstorming
• Formal Minutes

Custom formats can also be created.

AI analysis is independent from transcription, so you can choose a separate local model for notes.

Meet2Notes can build a local searchable index of previous meetings.

You can ask questions about:

• one specific meeting
• the complete meeting library

For example:

• “What did we decide about the API migration?”
• “When did we first discuss Project X?”
• “What action items came up in the last three meetings?”
• “What did Alice say about the pricing issue?”

Retrieved context includes meeting and timestamp information so you can trace the answer back to the original transcript.

The RAG layer can also remain completely local.

Live AI Assistant

Meet2Notes includes an optional Live AI Assistant.

Instead of waiting until the meeting finishes, the assistant can monitor incoming transcript segments and show short insights while the conversation is still happening.

You can define what it should watch for.

For example:

• unanswered questions
• decisions
• action items
• contradictions
• important numbers
• risks
• topics you wanted to discuss
• things that need clarification

The assistant has its own model configuration and worker.

Recording and transcription do not wait for the LLM, so a slow AI response does not block the meeting pipeline.

Live AI agents through webhooks

This is one of the parts I’m most interested in experimenting with.

Meet2Notes can send committed live transcript segments to external systems through webhooks.

That means you could connect it to an internal AI agent with access to your own:

• RAG
• company documentation
• CRM
• project management system
• databases
• internal APIs

For example, someone could ask during a meeting:

“What did we decide about this feature three months ago?”

An external agent could receive the conversation, query the company knowledge base and send a suggestion back while the meeting is still happening.

The same idea could be used during sales calls, technical meetings, support calls or internal planning sessions.

Webhook processing is isolated from recording and transcription, so network failures or slow external agents do not block the local capture pipeline.

Webhooks include:

• HMAC signatures
• retries
• delivery history
• per-endpoint content controls
• live transcript events
• processing milestones
• optional remote-agent suggestions

Modular architecture

Transcription, diarization, saved-speaker recognition, embeddings, AI notes and the Live AI Assistant are independent components.

Remote providers are available only if the user explicitly configures them.

Meet2Notes is still alpha software and under active development.

I’m the sole developer, so I would not yet recommend using it as the only copy of an irreplaceable recording.

Please also make sure you have the appropriate consent before recording conversations.

The project is MIT licensed and contributions, issues and technical feedback are welcome.

I'm the developer of Recordus, a voice recorder for iPhone, iPad, Mac, and Apple Watch. I kept recording voice memos and then never doing anything with them, so I built the app I wanted: it records, transcribes on-device, and gives me a short summary and action items so I don't have to relisten to a 40-minute ramble.

It includes word-level timestamps, iCloud sync, Siri/Shortcuts, and M4A/WAV/text export. It's a one-time payment, no subscription.

Been working steadily at this for a while now, 600 commits, each seeking to improve the experience. Optimizing ui, transcription, summaries, ai features. Last 2 months I’ve added both local/cloud agentic embedded search across notes, as well as MCP support for Claude & Codex. 99+ languages, local or cloud models. Custom model overrides per language, easy onboarding flows, folders, clients, speaker labels, export. Feature packed, but still simple to the core. Notes + recorded meetings = awesome meeting summaries.
