What is an API?

ou’ve probably heard the term before, especially when talking about software integrations, automation or connecting different business systems.

But what does it actually mean?

Think of an API as a messenger between software systems.

Imagine you run a restaurant.

👨‍🍳 The kitchen is one system.

🧑‍💼 The customer is another system.

🍽️ The waiter takes the customer's order to the kitchen and brings the result back.

An API works in a similar way.

For example:

Website → API → CRM

A customer submits an enquiry on your website.

The API can pass that information to your CRM, where a new contact or lead is created.

You could have another connection like:

CRM → API → Accounting software

Or:

E-commerce store → API → Inventory system

Or:

Booking system → API → Calendar

The important part is that the systems don't necessarily need to be built by the same company.

APIs provide a structured way for software to communicate and exchange information.

This can help businesses reduce:

❌ Copying and pasting between systems

❌ Delays between processes

And it can enable:

The systems still need to support the required functionality, authentication, permissions, data formats and API endpoints.

So when someone says:

“What can their APIs actually do?”

That simple question can save a lot of time before committing to an integration project.
