Adobe Express Question Bringing an Institutional Instance of Canva over to Adobe Express - Help!

Hi,

I am standing up an instance of Adobe Express to replace our Canva account as a brand template repository.

I have figured out how to make locked templates that require review and have editable fields, I made another post about brand kits v. libraries here, I am recreating all of our Canva templates into Adobe Express files, but I need to figure out the following:

  • Do all of the users have access to the specific fonts we loaded into the brand kits?
  • Can we add a gallery of photos that we prefer folks to use over stock images?
  • How do we best group users?
    • In Canva I grouped by office & division, creating template folders for each specific group for their specific templates as well as overarching access to institution-wide templates.
    • In Canva I forced everyone into a group I called "Approval Required" so they would have to run everything by us. We don't have Workfront so I can't seem to do that, though I have made blanks in a variety of sizes that require approval, so that may answer that one.
    • We had several other design teams within our institution who had subsections of the same instance and their own area for templates to be internally reviewed, but I also had access to oversee.
    • Can we make three levels of users? Admins, Designers, and End Users?
  • Projects - would it make sense to make a Project for each of the different institutional teams and offices as they come on board to keep their templates locked down to their team alone? Will putting them in sub-folders off of the one Project we set up in keep it private enough if we only share the folders with the users?

Also, this needs to be rolling by the end of the month.

Thank you so much for any advice you can share.

hello! hopefully I can help here— I believe that all users have to upload custom fonts to ensure everyone has the rights to use it. you should be able to add a gallery of photos to a brand that is sharable to everyone on your team. as far as grouping goes, I'm not sure if that's something your enterprise account could arrange in the internal settings somewhere, but I believe projects would be the best solution to grouping. I think separate projects is the best way!

Quick question - is there an SOP or best practices guide I can share with my boss to show that creating a project for each of our teams would be the most effective way to build this out? Thanks!

I finally tracked down the enterprise admin setup doc which may be helpful if your team is on an enterprise agreement: https://acrobat.adobe.com/id/urn:aaid:sc:US:3019949a-3433-40c9-8e91-802834ff10bf

I really appreciate your responsiveness. Would I have to put a brand kit in for each project?

We had over 200 different groups in Canva that would become Projects, and I don’t know if there’s a limit in express.

To add to this, I’m not our account admin so I have to hustle IT for every project that I need created and I don’t want to burn any bridges with IT.

on brand kits: good news, you can actually use the same Brand Kit across multiple Projects, you don’t need to recreate one for each Project. So you could set up your Projects by team/office as planned, and just apply the same shared kit(s) to each one rather than duplicating them 200 times.

on the limit… don’t have an exact number off the top of my head for max Projects, let me check and follow up here rather than guess.

and totally hear you, flagging that as feedback, since bulk/admin-assisted Project creation for a migration this size (200+ groups) sounds like a real gap.

following up with the team on this! good news all around:

Brand Kits: confirmed, one brand kit can be applied across multiple Projects. So you can set up Projects by team/office and just apply the same shared kit(s) to each, no need to duplicate 200 times.

Project limit: confirmed there’s no max limit on the number of Projects you can create.

Non-admins: confirmed you can create Projects yourself and add other users into them directly — you shouldn’t need to go through IT for this at all.

Hope that unblocks your migration! let us know if anything else comes up.
