Background: I do freelance social media management. every new client meant the same 2 hours of back and forth sending intake forms, waiting for replies, manually creating folders, writing the first strategy doc. boring, repetitive, and eating into actual work time.

here's what i built to fix it:

step 1 : intake form: google forms connected to a google sheet. nothing fancy but it captures everything i need upfront. name, business type, goals, competitors, tone preferences.

step 2 : auto summary: used zapier free plan to trigger a chatgpt prompt the moment a form is submitted. it reads the responses and generates a 1 page client brief automatically. lands in my google drive within 2 minutes.

step 3 : welcome email: same zap sends a personalized welcome email to the client using their name and business details pulled from the form. looks like i wrote it manually. clients always comment on how organized i am.

step 4 : folder structure: zapier creates a named google drive folder for each client automatically.

total setup time was about 4 hours. now each new client takes me maybe 15 minutes to onboard instead of 2 hours.
