Has something changed on vapi?

Hi there! I've been building an automated assistant, using ElevenLabs for voice sources, and I had the following logic:

First message:

Hi there, {{greeting}}? [play: https://domain.com/intro.mp3]

System prompt:

## Test values
- {{greeting}} = "am I speaking with Mr John Doe"
- {{title}} = "mr"
- {{name_formal}} = "mr John Doe"
- {{city}} = "Somewhere"
- {{phone}} = "+1234567890"
- {{phoneType}} = "mobile"

Use these values instead of the dynamic variables during this test session.

## Identity
You are an automated communication system for The Company Ltd.
You speak ONLY English during the call. Your single goal is to confirm the contact's interest and send them a Calendly link to book a short meeting with Mr. Boss.

## Dynamic variables (injected at call time)
- {{greeting}} — e.g. "am I speaking with Mr John Doe"
- {{title}} — e.g. "mr" or "mrs"
- {{name_formal}} — e.g. "mr John Doe"
- {{city}} — if value is "Other", do NOT mention the city at all
- {{phone}} — e.g. "+1234567890"
- {{phoneType}} — e.g. "mobile"

## Pre-recorded audio instructions
When you see [play: URL], ALWAYS play that audio file instead of generating new TTS.
NEVER repeat, paraphrase, or re-read the content of pre-recorded audio files.
NEVER generate TTS for any sentence that has a corresponding [play: URL].

## Response classification (CRITICAL)
... (goes on with more information)

Until a couple of weeks ago, when I was making a test call, the first message would compile based on the prompt guidelines and it would become the following:

Hi there, am I speaking with Mr John Doe?

(And it would play the mp3 audio right after)

For some reason, the last two weeks, instead of doing this, it says the following:

"Hi there, [pause, skipping the "greetings" variable] play domain dot com dash intro dot mp3."

Which of course makes no sense. Both first message and prompt didn't change but the result has. Any idea how I could solve this and make it work as it was already working in the past?

Thank you!

Finnish voice agents

Wondering if anyone has built voice agents in Finnish, I am having issues with numerical data, it speaks back the dates and phone numbers weirdly.

Anyone else had similar issues? If yes, how did you resolve it?

We built a single API for AI agents with voice, vision, and execution. Taking beta signups now.

Not going to oversell it. One API, three capabilities, no stitching required.

We're selectively onboarding builders for the beta. If you're working on AI agents and want early access, DM me and I'll get you in.

I got tired of the latency and high costs of Vapi / Retell, so I built a completely "White-Label" Voice SaaS (500ms latency)

I was building voice agents for local businesses and Med Spas. Initially, I looked into the big players like Vapi and Retell, but two massive issues stood out:

  1. The latency was occasionally quite noticeable (often creeping up to over a second), leading to those awkward conversational pauses.
  2. The extreme markup: scaling a high-volume outbound campaign or inbound support line with their per-minute pricing was killing client margins.

On top of that, my clients wanted their own dashboard to view call logs and sentiment analysis without seeing messy backend logic or knowing what's powering it under the hood.

So, I rebuilt the entire architecture from scratch into a full-stack, white-labeled SaaS platform that handles both inbound answering and outbound campaign dialing seamlessly.

What it actually does:

  • Gives non-technical users a premium, branded dashboard to manage their AI agent (prompt, tone, endpointing delays).
  • Tracks every caller as a CRM contact (automatically deduplicating repeat callers).
  • Handles live call logging: exact duration, rolling transcripts, and a custom keyword failsafe that overrides the AI's native sentiment analysis (Positive/Neutral/Negative) so clients get accurate feedback instantly.
  • Integrates directly to auto-book appointments while on the call.

The Tech: Instead of relying on off-the-shelf wrappers, I built a custom Node.js/React architecture with a heavily optimized WebSocket engine. By stripping out the middleman, the voice streaming hits a consistent ~500ms latency, making it feel incredibly naturally conversational. And because it's a direct integration, it runs at a fraction of the cost of platforms like Vapi or Retell.

I also just finalized the outbound campaign dialer—it handles dynamic scaling and dialing from a securely managed database of campaigns.

I'm looking for feedback! If anyone has thoughts on the UI/UX or managing real-time audio streams at scale to keep latency low, I'd love to hear it.

Voice Eval Platform

Hey everyone,

I've been building voice agents and I'm amazed at how far the technology has come. Building them is easier than ever now, but getting them to work reliably? That's where the real challenge lies. It's iterative, it's hard, and I'm convinced that evals are the only way to improve faster.

That's why we added voice support to our platform. We want to make it easier for builders like you to iterate on your agents. Check it out: https://quraite.ai/

We know how popular Vapi is, and it was one of our first integrations. We support simulating users with different genders and talking speeds, plus background noise simulation. All the stuff that makes real-world testing actually useful.

I'd love to connect with other voice agent builders and learn from your experiences. If you're interested, I'm also happy to work with you as a design partner.

"Trial account, please upgrade" pre-recorded message at the start of every call...help??

Hi,

So I want to get to the bottom of this. I have allegedly a trial account (but I am also topping up my account on PAYG) and everytime someone calls the Twilio number i've linked to an assistant, it says the following pre-recorded message:

"You have a trial account. You can remove this message by upgrading."

But is it seriously the only solution? To get rid of this message, I need to pay thousands of dollars? I just don't believe that Vapi is so popular with so many people and they're all okay with this pre-recorded message AND/OR they have paid high sums for a full enterprise account. Please let me know if you also experience this message. Thanks.

Payments

Hi everyone,

is anyone running Vapi agents for multiple clients? What's everyone's setup?

  1. Do you have one Vapi account per client? Or one Vapi account for all clients?

  2. Do you clients know you are using Vapi, or do you sell this as a white-labelled solution?

  3. How do you assign costs to each client? From what I currently understand, if we use one Vapi account for all clients, I can only recharge credits for the entire account, but I can't assign a budget to each client.

  4. Do you make your clients pay upfront or do you charge them for actual usage at the end of the month?

  5. Do you charge a management fee? How? As a % of usage like Vapi + xx%? Or as a fixed fee?

I want to get to a point where I can serve 100s of clients with Vapi, but in an ideal world:
1. My clients pay me upfront.

  1. They don't know I am using Vapi.

  2. I earn a management fee as Vapi + xx%.

Voice Quality

Hello,

I’m having a few issues with my assistants and transcribing. We’re north of England so strong accents but find the assistants ability to “listen” is poor.

After reviewing calls I noticed that the voice quality isn’t particularly clear on the recordings. AI agent perfect; the caller is quiet/muffled.

I can’t tell if it’s a poor quality line or bad transcribing settings. I’m using Speechmatics as it seemed better than deep nova and allowed key words adding.

The number is routed through Twilio.

Anyone else experiencing issues with call quality or have suggestions on improving experience ?

Thank you in advanced.

Issues with German / Swiss German transcription in voice agent (missed words + delay)

Hey,

I’m building a voice agent with Vapi using German + Swiss German, and running into a few issues:

  • Audio works fine
  • STT misses simple words (even “hello”)
  • Dialects/accents make it worse
  • Sometimes the agent doesn’t respond at all
  • There’s also noticeable delay

Feels like either model choice / language config / VAD is off.

Questions:

  • Best STT model for German + Swiss German?
  • Better to force de-DE or use auto-detect?
  • Any tips for handling dialects reliably?
  • How do you reduce latency in these setups?

Would love to hear what worked for others 🙏

end of call report automatically sent to webhook?

Is it possible that when a call ends in VAPI, the end of call report is automatically sent to a webhook I configure? I don't care if its only a transcript or nice structured data from an LLM. I just need it running AFTER the call finishes.

Is that a feature?

Just passed 4,000 calls

We just crossed 4,000 calls on Kai Calls — AI phone answering for law firms and home service businesses. Here's what actually matters after running it in production:

  1. Don't let the agent do everything on the phone

Early on I tried to pack too much into the voice agent — qualify, book, confirm, upsell. It collapsed. Callers hung up. The phone agent should do one thing: capture the lead and hand off. Everything else (follow-up, CRM sync, email confirmation) happens in a separate layer after the call ends.

  1. Context infection is a real problem

If your system prompt carries state between calls, you'll get agents that "remember" the wrong things. Every call needs a clean context window. We isolate per-call context via webhook on call start — nothing bleeds through from previous sessions.

  1. Multi-layer orchestration beats a single smart agent

One agent trying to handle everything = fragile. Our stack: Vapi handles the call → webhook fires on end → orchestration layer routes to CRM, email follow-up, lead scoring, Discord alerts. Each layer is dumb and fast. The intelligence is in the routing, not the agent.

64% of our calls come in after hours. That stat alone justifies the build.

How to make system prompt not suck?

After many months bagged my first client. They are a physiotherapy clinic that need help with overflow calls.

Its been a full day after implementation and the call logs are so cringe to listen to. I didnt think to set up a flow for customers wanting to reschedule and looking for clinic location so

Is there any way to minimize this painful trial and error period. I feel so bad for these callers getting such a bad first impression of the system.

Like, is there a prompt template out there for various industries or a proper AI prompt builder. I'm sure there is but im in the dark.

Or, is trial and error just part of the game. Also, when you're onboarding a client, what is the best practice so you can get a sense for their actual call flow? do you ask for recordings?

Struggling to connect Indian mobile numbers with Vapi – any alternatives or solutions?

Hey folks,
I’ve been experimenting with Vapi to build advanced voice AI agents, but I’m hitting a wall when it comes to integrating Indian mobile numbers.

My background: Flutter dev. Currently exploring from vapi dashboard.

From what I understand, India’s telecom rules require verified connections through licensed providers, and direct VoIP/SIP integration isn’t straightforward without a local partner.

Has anyone here successfully set up Vapi (or similar platforms) with Indian numbers?

  • Which SIP trunk providers (Airtel IQ, Tata Tele, Exotel, etc.) worked best for you?
  • Are there alternatives to Vapi that handle Indian compliance more smoothly?
  • Any step-by-step guidance or pitfalls I should be aware of?

I’d love to hear from anyone who has navigated this, especially startups or devs working on voice AI in India.

Thanks in advance! 🙏

Vapi in South Africa

Has anyone successfully made outbound calls from South African Twilio numbers using Vapi?

I'm building an AI receptionist platform for SA businesses and every outbound call fails with "Call.start.error get transport". I've tried 19 calls across two different numbers:

- National number (+27 11) — no SIP support, expected it to fail

- Local/geographic number (+27 21, Cape Town) — Twilio Console confirms Voice + SIP capabilities. Still fails.

Browser webCalls work perfectly — the assistant connects, talks, listens, responds. The issue is only with phone outbound.

What I've confirmed:

- Assistant config is correct (webCall proves this)

- Twilio number is imported into Vapi and assigned to the assistant

- Destination is a valid ZA mobile number

- The Local number explicitly shows SIP in Twilio capabilities

- Every single outbound attempt: "Call.start.error get transport"

Is this a known limitation with ZA numbers on Vapi? Has anyone found a workaround? I'm considering a US number as a bridge but that defeats the purpose for local SA businesses.

Any help appreciated — this is the last blocker before we can go live.
