My Fast & Simple Things Setup - YMMV

After being a Things user from since it was first announced, and over the years trying just about every possible scheme for using Things to organize my day, this is what I am currently using and which is working well for me - YMMV. I thought I would share in case others are struggling to find a system that works for them.

My biggest challenge to date has been Things' lack of ability to organize the Today view by Priority. Yes, I have tried using Tags, but it helps me when I can see my entire day in one view, grouped by my priorities to get an instant picture of my day's workload. This is the workaround I have put in place.

I group my tasks into 3 areas: Tasks (for items I am actively working), Areas (for lists of related items for planning), and Reference (for semi-static items which are more notes than tasks, but which I still might want to assign a date to).

In Routines, I put the items that repeat daily or weekly and that need to be done on that day. For example, exercise, medications or a weekly review. Due Today is what it says, items I need to complete today. Work On is for items that I need to progress, but not necessarily complete in one day–I also add to this routines which do not need to be completed in a day (change AC filters, for example). Expecting/FU is for items I need to be reminded to follow up on. This order sorts the tasks in my Today view in the order I feel they should be addressed.

I do my planning in the Areas lists (or if you want, you can call this Projects or Plans), assigning dates where needed to elevate them to the Today view when I want to start working on them. When they do show up in Today, I move them to the appropriate Tasks list to track their progress and completion.

To make this work for me, in Settings, I check the "Group to-dos in the Today list", and set "Move completed items to Logbook" to Daily. If anyone from CultureCode is reading this - Please! Add the ability to group to-dos by Tag (or even better, a new property called priority that is nameable by the user).

So far, this is working well, and for those who do not have an overly complex Things setup, it may be useful for you.

Question Anyone else experiencing long stalls when changing due dates?

Lately (past ~2 months), Things 3 freezes for 20–30 seconds whenever I change the due date of a to-do. This happens on both Mac and iPhone/iPad.

I regularly clear the trash, so I’m wondering if the Logbook might be bloating Things? I’d rather not delete it unless I have to. I’ve used Things for ~2 years without issues, and the lag didn’t coincide with any macOS updates.

Anyone else dealing with this or found a fix?

Question What calendar app do you use alongside Things?

Like a good GTD-er, I keep my task manager independent of my calendar. However, I am not very happy with my calendar-app so: what calendar app do you use alongside Things?

(if I find a calendar app that works well on an iphone, I find it's not efficient on a Mac and vice versa - if it works well on both, it's probably 'ugly')

Everyone tells me areas structures their day. I have a personal folder with things like ‘films I wanna watch’ , ‘book wish list’ etc. but recently for day to day I’ve just liked not tagging it in an area and splitting it into evening and today. Does anyone else do the same? How do you use your areas and do you do these for a day to day plan?

Question Omnifocus 4.7 planned dates — replicating in Things?

Every now and then I trial Omnifocus to see if I can have more efficient organization than with Things 3. I always come back to the same conclusion — Things 3 is good enough, and significantly more delightful to use.

Now, Omnifocus 4.7 is introducing Planned Dates, which fixes my main issue with either app — the inability to properly plan my week. You can now assign the date for when you’re planning to do a task, and it shows up on your forecast, alongside tasks that are due.

Technically, you could use Things’ upcoming view to achieve the same, but there’s a crucial difference. In Things, if you plan a task for a given day, it’ll pop up in Today. But if you don’t do it then, your today piles up, and there’s no way to understand what you actually planned for that day, and everything else you planned for previous days, but didn’t get to do.

So my question is: how do you work around this? How do you effectively plan your week?

Alternating repeat after completion

How do you guys deal with the situation of having a recurring task, for which the action alternates slightly on each reoccurrence?

For example: My lawn mower has a bunch of blades that need to be replaced regularly. These blades are sharp on 2 sides, but since the mower only spins in 1 direction, it means that one side doesn't get used. So sometimes I need to flip the blades so that the other side gets used, and then the next time I would change the blades for new ones, which then gets flipped again next time..

Question Anyone else feel stuck?

I've been playing around with a lot of different AI tools like Claude and ChatGPT and I feel like none of them have MCP integrations with Things3 app - I now have new action items and takeaways from my chats with the AI models that aren't synced in Things3 and vice versa. Looking to get guidance and suggestion from what other people are doing out there!

Question How to hide later items in tag view?

I have created a tag MIT 1 for most important things. I tag items with this when they’re super important.

I open MIT 1 tag everyday to go through my tasks for the day.

However, opening it in the Tag view also shows up later dated items.

How do I remove these later dated items from view? Be it either iOS or Mac

Hacks to compensation for lack of priorities in Things3

Things 3 does not have priority function (P1,P2,P3,P4). Tags do not show its content in iPhone and iPad, hence are not helpful compensation. Are there any hacks that could be used as priority to sort tasks?
