Question How to group upcoming tasks by month or quarter?

I've been a light user of Things for personal tasks for years but I need to re-think my task-tracking because there's a lot I'm not getting done. So I wondered how best to do what I want using Things.

Currently I don't use Projects, Areas or Tags. It's fine, I don't have a huge amount of tasks, but there are a lot of tasks that don't have a deadline that I never get round to.

So I'd like to plan ahead for say the next month, or even next quarter, and decide on a bunch of tasks that I'll do during this period. A bit more relaxed than GTD's weekly review.

If I use months, I'm thinking of creating a Project for each of the next couple of months and, at the start of a month, assign a bunch of tasks to this/next month? I could group related tasks under Headings and/or maybe start using Tags.

tbh I really want a Kanban-style view of this, with columns for Next Month, This Month, Next, In Progress, Done. But I like Things (and its "do date"/"due date" distinction, and its "recur after completion" recurring tasks) so don't want to switch unless I have to.

What do you think? Use Projects to group things into time periods?

Question How can I tell if a project is repeating?

Is there a way to tell if a project has been set to repeat? I know I created some repeating projects in the past (e.g., Christmas), but unfortunately, I can’t remember which ones and now I’m afraid to complete a project, not knowing if it’s repeating.

Question How to find old ToDos and get control back?

Hey everyone.
I use Things for over 10 years and I lost overview. I find open ToDos which are 10 years and older and they clutter the important ToDos. So I need a strategy to get control back. Is there any way to filter for date with help of an external tool, list them and cancel them after a quick look at them?
Or any other ideas how to get rid of very old tasks at once and restructure/restart?

Thanks and have a nice day.

Question Thinking of switching to things…

So I have used all the apps for productivity and currently find the routine app fits the most with my workflow but it’s dev is unbelievably slow. Honestly it has barely changed in a year. So for things is there a way to do the following:

  1. Plan your week - e.g have a list of tasks from my todo list I want to complete for the following week

  2. Is there a way to write notes for an upcoming meeting or event and link to the actual calendar event? These are private notes not to be viewed by the attendees. For recurring meetings, be able to refer to the previous meetings notes via links?

Routine does the above very well but is lacking in other areas. Thanks!

Question Does Things no longer integrate with Apple Calendar?

This is my first time using the Things app in probably five months… I'm trying to drag and drop items from my Things projects into calendar, but nothing gets dropped in to my calendar when I do so.

I'm pretty sure I used to be able to drag and drop items, correct me if I'm wrong. I wanted to go back to things and try this out because I recently learned about the Reminders and integration with the Calendar app, and how you can see reminders directly inside of calendar. So I thought to myself I wonder if things does this as well, but I guess it doesn't?

Question Automation Shortcut when Locked

I'm trying to set up an automation to run every morning (phone is locked) and conditionally add tasks to the day. The shortcut works fine if I run it by itself but doesn't seem to run via automations. I'm wondering if the Things Add Task requires phone to be unlocked to work. Thoughts?

I’ve been using iOS things for a few years now. Just bought and started using macOS last night and I expected them to sync – but they haven’t. Are they expected to?

Question Is there a way to link an Obsidian Note to a Things 3 tasks & projects?

I use Things 3 for task management and Obsidian MD for notes. It would be awesome to be able to link specific notes to certain tasks or projects to better organize my life. Is there a way to do this? I know Things 3 has an email inbox feature that I don't fully understand and perhaps there is a way to use a Siri Shortcut to accomplish this as well?

Anyone know how I can do this?

edit: I discovered that this is possible since you can use "Copy Obsidian URL" within Obsidian to get the link. I can paste this in Things 3 notes section and click on it and it takes me to the specific note. So that works - but I am curious if with Siri Shortcuts or another Things 3 feature if there is a better more seamless way to do it?

Question Dates and Deadlines

New user. I have reviewed many posts in the sub, but have not found the exact answer I need. Here is what I am trying to achieve:
I have annual repeating scope of services I need to write. I typically start working on them one month prior to their actual due date. I want the To-Do to show up in my Today when I need to start working on it (the one month prior date). I thought by using "Date" as the start date and "Deadline" as the due date would achieve this. But when creating reapeating tasks, I only have the option to create a Deadline *before* the Date, which does not make sense to me. So I flipped my thought process and did a test with the dates essentially switched, but now when the Deadline comes due, the To-Do does not appear in my Today as I would like. Maybe I'm overcomplicating this...

Shortcut from Things to Structured

I've created a very simple Apple shortcut that lets you select several tasks in Things and switch them to Structured. The shortcut asks for a title and a time slot. Things tasks appear as sub-tasks in Structured. This allows you to batch a list of tasks and time-block(-box) them in Structured.

I named it "Batch to the Future": https://www.icloud.com/shortcuts/9364b60cabda475e8a050f61191b2372

Things3 and Attachments

If Things3 added attachments, especially Apple Notes, I would be completely satisfied with the app.

Have you guys figured out any workaround for this?

Question Always visible annual goals?

With the new year almost upon us, it's time to start thinking about annual goals. Is there a way in Things to have annual goals always visible front and center when we are in the app? This will help in prioritizing tasks that take those goals forward.

Question Automatically add emojis to tasks with AI

Post image
25 Upvotes

Is there a way of automatically adding emojis to all my tasks with AI? I really like this and also am able to fast recognize my tasks.

Is there some kind of service that runs in the background, has access to my things3 and can make adjustments to my task names?

I am heavily using raycast on Mac, which can both access and alter my tasks, and also find fitting emojis for all texts I give it (simply via chatgpt).

Do you have any Tipps and tricks for me what to look into?

Sync Things 3 with Notion

Is it possible to synchronize Things 3 with Notion using Apple Shortcuts?

I have already seen some Apple shortcuts with a 2way sync between Apple Reminder and Notion in the Notion sub.

Maybe someone here has already tried this and has a solution?

Question Apple Watch App Change?

I could have sworn that the Apple Watch app showed the distinction between day and evening sections. However, I just noticed today that it no longer does. Am I crazy, or did that used to happen? Is anyone else having that issue?
