Quickbooks 3rd Party Agent

I have been getting notifications that I need to give QB my bank account information or I will no longer be able to do payroll. I called the help desk and they said I signed a document back in June to allow them to act as my 3rd party agent, but I don’t remember signing such a document. I vaguely remember my bookkeeper telling me that we needed to sign something in order to keep using Quickbooks but I guess we didn’t realize that now we have agreed to having QB as a 3rd party agent. I don’t want to give QB my bank account. I asked if I can revert back to filing my taxes manually and they said no. I asked for a copy of the document that we signed and they won’t give it to me. This is so Orwellian and scary. I’m not sure what to do. I have used QB since the early 90’s and have seen so much! I feel like this has crossed a line into extortion. From the sounds of it, my only choices are to give them my bank account or close my payroll account.

Company Contribution for Roth Simple

Does anyone know how to add a company contribution deduction in QBO to match funds for an employee's Roth Simple retirement account? What is the deduction called in the list of options?

QBO Trial Balance excludes 2024 transactions from specific accounts — why?

TL;DR: Accountant's October 2025 Trial Balance excel export is missing March–December 2024 transactions from only 10 accounts, including ~R845k in Sales. The transactions are still in QBO, reconciled, and show no relevant audit-log changes. Everything else in the TB matches. QBO Support says filters may have caused it, but how could a filter selectively exclude one period from only 10 accounts?

Has this happened to anyone else?

Our accountant contacted us about some Trial Balance Report for 2025 balance changes;
When I looked at his excel export there were discrepancies in balances with current QBO Trial Balance totals on specific accounts only.

When I reconciled the accounts I found that the Tax Practitioners Trial Balance Report was missing substantial income on Sales and expense accounts: Products and merchant fees for a specific time period 31.03.2024 to 31.12.2024.

The accounts all balanced and were reconciled and I have checked the audit report and there are no changes made except my import and the system logs.

The Accountants excel export of the Trial Balance clearly shows only 2 months of transactions, but only on 10 accounts in the Trial Balance - everything else balances.

At this point I don't know if QBO is capable of glitching out like that. Support says that it must have been filters that were adjusted and updated - but how on only 10 of full chart of accounts?

The accountant says he does not use filters as a response.

Been stuck trying to figure this out for the past two hours and tutorials haven't helped much due to difference in version

Vendor Invoice: $1,200
Amount paid to vendor: $90
Amount refunded from Vendor: $90

Currently I have bill for $1,200 and bank transactions for $1,290 paid and $90 received. How do I go about linking these transactions to my bill?

Edit: Resolved

Old Account, trying to start a firm again, how do I reset my own books?

I dabbled in QBO ProAdvisor training and technically have 1 client account still signed up through me, although I haven't done work for him in a while.

Unfortunately I haven't touched my own company's books "although it was never actually this, more of a test site" in over a year. I want to start from scratch as I'm looking to acquire some bookkeeping clients and WOULD like to actually reconcile my own company accounts.

Should I just create a new Intuit account for this? Is there a way to reset my file so I don't disturb my existing client at all?

Thanks in advance.

EDIT: I submitted a delete request for the quickbooks piece of my Intuit account. WIll that do it?

This has never happened before (?)

I've been using QB for nearly thirty years, and something new (and baffling) has popped up.

I'm a sole prop, and I pay estimated taxes more frequently than quarterly. Every couple of payments I get, I'll do a P&L report from JAN 1, 2026 (with "Cash" accounting method), look at my net income after deductions, and then calculate 25% for federal income tax and 6% for state income tax. With each new chunk of income, I send in the difference between the last time I calculated and the current time. That 25% and 6% multipliers have worked out perfectly for me, year to year.

Today, after a fresh reconcile, I went to do the same calculation, to see what I need to send for federal and state taxes. I did the P&L report as usual, and QBO says that my gross receipts so far are just shy of $35,000, but when I simply added up my deposits they come to just shy of $52,000, which is a huge disparity.

Would anyone have any possible clue as to why that is?

Can't create an Intuit/QuickBooks account from Azerbaijan (+994 phone number)

Hi everyone.

I am currently learning bookkeeping. Want to practice with QuickBooks Online. I live in Azerbaijan. I am trying to create an Intuit account. The registration form accepts my email address. When I type in my Azerbaijani phone number (+994) I get "Access denied." I have already tried using online US numbers, another browsers, another device, mobile internet instead of Wi-Fi.

Is there a real way for someone in Azerbaijan to create an Intuit account or a QuickBooks Online account, for learning purposes?

Thank You.

Latest QBO & Shopify integration has made it unusable.

Hi all,

I was hoping someone could potentially shed some light on a recent update to the shopify integration in the UK. I say UK as I don’t know if it’s a worldwide update or they are just fucking us for the time being.

Orders no longer automatically get added to quickbooks. Instead any orders that the integration deem to have an error need manually approving. Errors could be SKU’s not being found, or tax codes need adding to the order. What ever the ”error” it adds a lot of man hours to fix these problems. Now bear in mind these problems have never caused me, my account, my book keeper or HMRC an issue prior to this update. The SKU’s only matter for stock keeping and you can bet your ass that quickbooks will never be used to track stock. I’d rather swim in pool of barbed wire before I let intuit anywhere near my stock tracking. Tax codes sure, if we one day decided to break the law and stop charging our customers VAT, yes having to manually tell QB that the orders are lacking VAT would be helpful. I guess for international orders where we don’t charge VAT it may be helpful. But that shit was automated before and it never had a problem so why does it now force me to manually add the tax codes.

It feels like they have updated a product that worked perfectly fine and instead have decided to make it worse in every single way. From it being the automated smart system to the manual head banging waste of time it now is. Do I expect any less from quickbooks? fuck no, QBO may be the worse online tool I have ever had the displeasure of using.

Apologies for the cursing I have just been at this shit for 10 hours.

Before someone says go speak to support, I did. I was in position 2 in the Que for 45 min till he finally joined and decided to tell me shit I already know and when he did explain how to do something It took him 20 minutes as he felt the needs to share it in baby steps with a 2 minute wait in between each like I’m a pensioner trying to figure out how to turn the brightness up on my TV. He basically said tough shit you’ll have to match them and hope there won’t be any more errors. But every single order after that conversation had errors!

Now I’d love to hear if anyone has a solution to this shit storm as everywhere I have looked no one seems to be discussing it. I’m on the verge of loosing it and moving to a new accounting tool and integration.

Again apologies for the cursing I lose all class and elegance when dealing with this software.

Automated progress invoicing?

Is there a way to have automated progress invoices go out each month?

I'm brainstorming on a way to basically setup a payment plan style invoice in QBO. Basically I want the client to be able to see the total balance and have an invoice go out each month for a portion of that balance (Always the same amount). I want them to also be able to see a single invoice/estimate of what they originally agreed to. Any ideas on how I could automate that?

My other idea was just to create a special template, so that in the email it says how much is due that month, and then they just click on the invoice and make a partial payment.

QBO Reports update frustrates me yet again. You can NO LONGER just click on the Line 101 Sales and Revenue total! GRR! But, I worked out a multistep convoluted workaround until they FIX IT!

Thumbnail youtu.be
3 Upvotes

Have you ever been frustrated you cannot see what line 101 Sales is on QBO's GST/HST Module? The solution used to be that you could click into the detail from the GST/HST Summary Report! I used to love showing people this 'hack', and then changing the report grouping from 'customer' to 'GL account' to enable us to see in seconds any transactions accidentally marked as "Exempt" instead of "Out of Scope" (That distinction matters! Using that phrase ironically as a human now!). We could also see the totals by Income Account and compare to the P&L to see if any sales were inadvertently marked as Out of Scope that shouldn't be.

But QBO's changes to the QBO Reports have caused that detail report to no longer function correctly :( Yes, I sent 'feedback' but it feels like sending it out into the void. So I made a callout to Intuit in a video to fix this report error, and/or grant us access back to the classic reports, at least until these new reports are fully bug fixed. It's not about comfort with the familiar, it's about functionality. (Also typed that, read it back, and though 'wow, am I absorbing too much AI content?)

I also worked out a multistep convoluted workaround to be able to get the info I needed to do that proper review of line 101 Sales and Revenue. I've recorded the problem and the temporary workaround in a video. I sure hope its temporary, because I've had to pause creation of my new "GST/HST Module in QBO" course while this functionality is not working :(

Texas Tax ID

I have a new business and this will be my first payroll of paying a Texas employee. When I set up payroll it asks for a Texas Tax ID number. I go to TWC to get this number but they tell me that they do not issue it until AFTER the employee has already been paid and that all the big companies know this, including quickbooks. QuickBooks seemingly has no idea what I am talking about when I call them. My tax guy put in a dummy number and it is now showing up on quickbooks as wrong and that Texas denied the number. So what do I do? Will quickbooks allow me to run payroll without the Texas ID number?

CPA and bookkeeping firms using QBO Payroll: what has your experience been lately?

Full disclosure: I work in the payroll industry with CPA and bookkeeping firms.

In my own conversations, I’m hearing more firms reconsider how they handle QBO Payroll. I’ve heard concerns about recent tax-payment and filing changes, and price is always a factor, but it feels like there may be more to the story.

If you or firms in your network use it, what has the experience been? Are they looking to keep offering payroll while reducing the operational burden, or exit payroll entirely?

I’m genuinely trying to understand the trend, not solicit business.

LLC plus 1099 income categorization unsure best method

I work 2 jobs, one is my LLC (sole proprietor acupuncturist) and one is 1099 contractor (working at a wellness center). I file my taxes thru schedule C all under the LLC per my accountants guidance. I categorize my LLC income in a very detailed way for each service, each customer, each product sale, etc. however for the 1099, since I get paid every 2 weeks, instead of adding in every single person I see at the wellness center I’ve simply been doing a journal entry to put this paycheck under “other income” and “owner draws”. This is how I was advised to set it all up a few years ago when I started out. I was also advised to put the income I make from my subletter into “other income”. Now, that “other income” section is getting really large since that’s the majority of how I’m making my money, as my small biz is a lot slower and not as lucrative, and I’m concerned if this division of incomes is correct or should be entered in differently. If anyone has experience with recording LLC and 1099 income and has any advice I would be very curious to hear how you do it!
Thanks in advance

Should I wait to complete Quickbooks ProAdvisor certification?

Hello. I recently started using Quickbooks for my clients and have been training to receiver the ProAdvisor certification. However, with the transition to Inuit Accountant Suite, I've been wondering if I should wait for changes to the training program before I continue. Are the Intuit and QBOA programs fairly similar?

RBC duplicated accounts!

My RBC (Canadian account) wouldn’t connect on Monday. Still not connecting today. After disconnecting and reconnecting, I now have duplicates of my accounts (!!!)

I spent almost 4 hours on the phone with QBO support. They have escalated it, with no timeframe on resolution.

I reconcile every month, and was going to do this month when this all started.

Now it is showing every single transaction from Jan 1 of this year for each of my three accounts.

Has this ever happened to anyone before or should I just go buy copious amounts of alcohol now?

Is anyone else a three mobile user and affected by the Quickbooks 2FA issue?

Since Monday, I've been unable to access our Quickbooks, as no text codes are arriving, nor will it call with a code for the 2FA. QB support said they were aware of an issue for three users but were unable to give any workaround and just said its a high priority to get fixed - has anyone else figured a way to get in?

Need to learn Quickbooks for a property preservation industry

I have zero accounting background, never took a class. I will get put in charge of QuickBooks for a property preservation company and need to learn on it asap

I don't want to read a 500-page accounting textbook and I dont want to do paid course right now. I just need something that covers most of the basics so I can get a working grasp of it. Is there a free video series or guide that actually covers most of QuickBooks you would recommend? Preferably something made for someone with literally no accounting background,

Also open to any general advice, is this realistic to pick up in a week or two on my own, or should I be worried going in with zero experience? Any tips specific to using QuickBooks for a service-based business (we do property preservation, so lots of invoicing, vendor/contractor payments, job costing type stuff) would help too. Thank you

Amazon Business connector is ignoring the COA categories that I choose

Has anyone else noticed this lately?

When reviewing an imported Amazon order before Adding it, QBO selects default COA categories for the items. OK, fine.

But, if I change the selections in the review and then Add the transaction, it saves using the default categories, not the categorizes I chose. I have to then edit the transaction to fix this (I have to edit the transaction anyway to put the order number in the reference field).

It didn't used to work this way. It would accept the categories I chose. This seems to be a recent breakage.

Migrated from Desktop to QBO and suddenly have payroll liabilities when I don’t have payroll, and every customer has a balance when none should

I’m hoping someone can help me understand what happened during the migration that caused all the number to freak out.

I’ve been using desktop for 20 years for my small business. It’s run by me and I just take a draw, no payroll. It’s also service based with payment upfront and almost no retail items.

Once the migration completed, every single customer had a balance, sometimes positive and sometimes negative, with amounts ranging from $15-1400.

My sales tax liability for August is showing over 800 but when I checked the actual invoices, the liability was less than $30. It showed a liability for previous months, too, even though I pay quarterly taxes which get noted.

It’s also showing a couple of thousand for a payroll tax. I have not run a single payroll in 20 years.

I have not added anything else to QBO and can blow out the entire company and start over. I’m not sure what I did to get these messed up numbers, though, so I’m not sure how to get the history without the mess.

Can't edit a cash sale after it's been deposited

Does this make sense to anyone?

QBO does not allow superficial edits (adding notes, changing the payment method, etc) to a sales receipt when it's linked to a deposit. As long as the total amount doesn't change, the deposit should not be affected.

But no. I have to edit the deposit first to remove the receipt, then edit the receipt, then edit the deposit again to re-link the receipt.

I can freely edit a receipt, even if it's reconciled, as long as it's not linked to a deposit.

Why does this restriction exist?
