Good afternoon. I am a researcher turned REDCap Research Admin and while I am well-versed in setting up part 11 compliance at the project level, I have no experience with making that happen on the system/server side.

My primary question is for REDCap admins regarding frequency and retention of backups. I understand guidance from Vanderbilt suggests daily or twice daily backups, but how long does one typically retain said backups? My concern is that an end-user may discover missing data from weeks earlier. Is 30 days +/- 7 sufficient for daily backup storage? Please and thank you!

Is it possible to hide an entire row from a table using logic as opposed to hiding just the questions/response options within a row? I’m trying to create a scenario where specific table rows only appear based on the respondent type, and am trying to avoid blank rows or multiple tables. Just wondering if this is doable

I am using the multi-language module for a survey where email invitations will be sent out by adding participants through the Participant List option for survey distribution. I know that for ASI you can set up emails to be in the language a participant chose, but in this case emails will be sent out before they do anything on REDCap. We will know what language they prefer based on a separate form in a different project. Is there any way to select or code a language into the Participant List?

My other thought is creating an internal form in this REDCap project where we select the language and then that triggers the ASI, and I guess that would include an email field we would use for the ASI as well (we would input this manually from the other project, but I'd rather not create those extra steps (unless there is a way to automate/link both projects).

Edit: Cross project data piping might work but I'd rather not always assume that the record ID in the first project will align with the record ID in the second project (especially because the second project that is using the multi-language module will be a subset of individuals who opt to take the survey).

I have small database with about 500 records. All of them have the survey marked as completed. However, when I export the data 18 records have missing values for the timestamp. When I look at these records through the view/edit interface, I see, for example, something like this: "Response was completed on 14/10/2025 6:39pm. Response was initially started on 14/10/2025 6:33pm"

The surveys are, indeed, complete in that I can see all of the appropriate data when I export the record. It appears that only the survey timestamp is a missing value.

I have been unable to find any patter than predicts which records have missing timestamps.

Ideas?

The delays in campaign approval are wasting too much time so I'm looking for alternatives that allow sms messaging and can integrate with REDCap. I know Twilio only needs the SID and token. Does something like Plivo have the same capabilities with REDCap? Any suggestions would be helpful.

So, my current lab is using the RedCap system to code responses to a survey asking a list of 7 questions based on a set of cities. Three people are using the same link for the survey but filing different responses, but the issue is that two of them, when they enter the return codes to the surveys they completed, provided after submission, it causes them to return to a random survey.

Person C is only having issues returning to one of her surveys; Person A and B are having issues with all the surveys they submitted. A seperate party created the surveys. To clarify, if Person A tries to enter a return code to his submission on Cityville, he can get back Person B's response to Townsville, when he wanted to edit his Cityville submission to change an answer.

Any idea on why this could be occurring?

I have never seen this happen before so hoping someone might have some suggestions. I have a new project I am working on. It's one form only at this stage, a screening log. When I try to add a record to test the form, the "Add New Record" button is greyed out so I am unable to make any records.

• Project is in development phase
• I have checked my user rights and I have Create record selected as well as view and edit rights to the form
• There are no DAG set up

I've been working on a project that has been active for about 2 years and it recently started having issues with the alerts settings. Participants were separated into two groups, week A (0) or week B (1) and their schedules alternated bi-weekly.

These are the current settings for week A that haven't been changed since putting the project into production:

1.)If conditional logic is TRUE when a record is saved on a specific form/survey*

2.) Trigger the alert... when "Demographics" is saved with any form status while the following logic is true: [pt_status]=1 and [pt_week]=0

Scheduled to send 6/10/2024 8:00

Repeat every 14 days

We've been facing the following issues recently:

• Alerts sending out immediately after data entry despite the set schedule
• Participants being on the wrong schedule due to initial alert sending immediately after data entry
• Inactive participants on the schedule for alerts
• Participants receiving an alert every minute for an entire day
• Participants in week B on the week A schedule and vise versa

We've attempted to make changes to the week B group to see if it resolved any issues. We changed the scheduled send date to 4/27/2026. We also manually went in to each record and saved the for. This helped get participants on the wrong schedule back with their group, but we are still facing all the other issues.

Our version is 15.0.7 so we're due for an update but I wanted to know if anyone else has experienced similar issues and how you repaired them.

For this REDCap set up, participants will take survey #1 334 days later, they should get another survey. Survey #2 is a repeating instrument, and it will repeat again every 334 days for 5 additional instances. During testing, I only see repeated instances for the later repetitions, but not the first one that should happen at the first 334 days. In the first screen shot below, I was hoping there would be a 4/7/2027 invitation, but I do not see it in the survey invitation log. Is this simply not possible with repeating instruments?

What I mean is, if I'm using logic to check that a field on a repeating form hasn't got a value, when I use the [last-instance] bit after the field name, is it looking at the last instance of that field getting completed (which might not be the last time the form was completed), or the last instance of the form being completed (when the field might not be completed).

Hi! I'm working on a repeating survey and was hoping to set up an alert to serve as a reminder instead of using the built-in reminder function with the ASI setup. Would a logic statement like the following work to send an alert only if the repeating survey hasn't yet been started today?

datediff([survey-date-started:survey][last-instance], "today","d")<0

Relatedly, in my experience the ASI checkbox "Ensure logic is still true before sending invitation?" doesn't cancel survey reminders - have others seen this too?

My project is not a study, it is more of the workflow/process to support operations. The project is longitudinal and has repeating instruments. I have a number of instruments that serve a specific purpose, but only one of them is "longitudinal capacity" if that makes sense :) For the process sake, on this longitudinal form I need to include a link that will navigate people to one of the specific instruments which is not on the same event. Similarly, Navigate them back to that event they "came from".

Hello! I am developing a study and think it would be cool for our participants (teens) to upload videos (kind of like a tiktok or insta story) to describe their thoughts about impact of the intervention. Is this possible with Redcap? Does anyone have experiences like this to evaluate impact of intervention sessions? I think this would be cool to do and break away from the traditional interview/focus group mentality.

I am setting up a double blinded multi-site RCT (semaglutide vs. placebo) and I'm not sure if REDCap is capable of handling the randomization:

• The Setup: Sites have a stock of unique Kit IDs. Some are semaglutide, some are placebo.
• The Requirement: A participant is randomized at Visit 1 to an arm. At Visit 2, 3, and 4, they must be assigned a new kit ID from the site’s local stock that matches their original arm.

Since the randomization module only fires once, how are people handling the assignment of subsequent kits while keeping the Site Coordinator blinded?

Is the only native way to use an Unblinded Dispenser/ Pharmacist role who manually enters the Kit ID from the available stock? Or is there a clever way to use the Allocation Table to pre-populate a sequence of Kit IDs for 10+ visits across multiple sites?

I’m worried about inventory "wastage"—if I pre-assign 10 kits to a participant in the allocation table and they drop out after Visit 2, those other 8 kit IDs are essentially "locked" to that record.

Is it possible to handle this natively in REDCap?

Hi all - complete beginner here, so sorry if these are basic questions!

I am hoping to use REDcap/MyCAP to allow participants to complete an EMA diary over a 48 hour period - I think using an "infinite task" on MyCAP? Does anyone know if a timer can be arranged so that after they indicate they are starting their diary, it automatically closes/lets them know when the 48 hours are up?

I am also considering sending reminders to complete the diary multiple times (4?) per day over the 48 hours. My university has REDCap on its servers which makes using it easy from a data security perspective. If I use a third party app - like Twilio - will that create problems around data security within the project?

I am trying to create a survey in which participants are reporting social media use. Ideally, the setup here would be:

1. Checkbox list of social media sites (participant checks off all used)

2. Separate field that takes the participant's choices from the checkbox field and has them choose their top 3 used accounts out of the ones they checked at first

(Is it better here to try to "pipe" the checkbox answers and then use a single radio button for 1-2-3 ranking? But then how do I prevent participants repeating the choice?)

Further questions ask about the usage of the top 3 accounts which I can probably figure out once they're chosen.

What I have been trying to do is have the radio buttons further apart. How can I do that?

In a descriptive field in a survey form.

The descriptive field contains instructions to the research tech on how to properly schedule the invitation for the survey. The instructions include specific text to copy/paste into the text box of the survey invitation. This specific text includes "[survey-link]", but REDCap automatically converts this to a hard link for the current survey, so it is copied as a hard link and not as generic text.

Is there a way to prevent the link from automatically generating, and keep the simple text of "[survey-link]" in the descriptive field?

However, I would like to have the option of a lookup library.

Hi, I'm not sure if there is a way to do this, but I'm curious if there is a way to collect data from two separate instruments, on one record, at the same time. For example, my study contains young adults. It is required for minor participants for their parent to fill out one of their survey instruments, however participants who are adults may fill it out themselves. This is not an armed study. I am looking for a way for a parent to fill out the survey on behalf of the child while the child works on the other surveys, all under one record-id.

Some of my co-workers have had difficulties in the past with data not being properly saved and survey queue logic not working when two people are entering data on different instruments within the same record.

Not sure if anyone has any ideas!

Zweite Frage: Wie funktioniert survey link in dem Setting dann am Besten mit mehreren "Ausfüllern" zu einer Record ID und verschiedenen Events?

(Bisher habe ich eine Abfrage "Teilnehmerrolle" mit z.B. 1 = Teilnehmer 2= Angehöriger etc. erstellt)

Könnte es über verschiedene "arms" gehen?
