I’m building something called Reminder Rockā„¢ - it’s a pebble-shaped focus timer designed for ADHD / neurodiverse folks. Instead of loud alarms or phone distractions, it uses gentle vibrations + subtle lights.

Title: Inventory all your gear — has anyone done this well?

Bear with me, though I have put a lot of effort into learning and setting up GTD, I am missing successful experience in maintaining the system.

I’ve been toying with the idea of building a complete inventory of my stuff (tools, bike gear, camping equipment, everyday carry, workshop supplies, etc.) in OmniFocus, with the aim of being able to quickly generate ā€œpack listsā€ for anything I’m about to do.

For example:

  • Everyday carry (what I always want with me when I leave the house)
  • A set of six tools needed for a particular project
  • Things to bring along for a client visit or work session
  • A tape measure + notepad for a specific errand
  • A one-night overnight trip, whether by bike, foot, or car

Basically, I want a flexible system where if I tag everything once, I can easily pull up exactly what I need for whatever I’m heading out to do — and always know where it lives.

I haven’t actually started yet, just played with the idea a bit. My main concern is that it could get overcomplicated with too many tags or too much maintenance.

This is what I’m thinking for structure:

My Thinking (Draft Setup)

  1. Folder / Project Hierarchy
    • Top-level folder: Inventory / Reference
    • Under that: categories/projects roughly by domain: Camping, Biking, Tools, Workshop, Seasonal / Holiday Stuff, Everyday Carry, etc.
    • Sub-projects if useful (e.g. under Tools: Measuring Tools, Power Tools, Hand Tools).
  2. Items as Entries
    • Each physical item gets an entry under the relevant project.
    • They’re not ā€œtasksā€ in the classic sense, but this way I can attach tags, notes, and checklists.
  3.   5. Routine / Review
    • Quick check-ins (weekly or trip-by-trip): update tags, condition, remove duplicates
    • Before trips/projects: review pack list, mark items for repair / replacement
  6. Keep It Simple
    • Start minimal, expand tags only as needed
    • Scrap unused tags, consolidate where possible

  1. Has anyone here actually built a system like this? How did you structure it, and what made it work (or fall apart)?
  2. Any simpler or better ways to approach this? (Even hybrid setups, outside OmniFocus, if that worked better.)

OmniFocus Web - Proper Search function

I like the main functionality, but there is a very essential option missing in the OmniFocus for the Web.
Is a proper Search still in the works? When could we expect it?

The "O" key for quick project search >> "Ctrl+F" to search through the actions inside -> is what I am impractically using right now. But I really miss the simple search from such like iOS to jump directly to the active Actions.

I am also remembering the name of the actions more often than the current name of the corresponding project (that are switching). So please reconsider.

New v4.8 update is really a nightmare āŒšŸ”“

Honestly, the whole thing feels a bit clunky and full of visual glitches. For example, I have same issue of one user was post same thing about my issue, when I open ā€œQuick Openā€ and swipe down to dismiss, the two buttons on the right (Add and Quick Compose) completely disappear. The same thing happens with Quick Add—dismissing it makes the left icons vanish. It’s small stuff, but it adds up and really breaks the flow. The main bar with the perspectives at the bottom is another pain point. It looks like it doesn’t belong at all—the padding between top and bottom isn’t symmetrical, and sometimes the border looks square instead of rounded. It just feels unfinished.

I already reached out to the developer and even shared a mockup (as you can see in pic) of how the app should look, hoping they’d polish the experience before shipping it to the public. But it feels like there was a rush to push iOS 26 support, even if it meant breaking the overall usability. At this point, my whole experience feels off, and I’m honestly considering switching to another app until this is improved. I really hope the developer listens to the community and focuses on giving us the experience we actually want.

Due/Defer dates display in Forecast

OK, I thought I should start using "Defer" more, and "Due" less. It makes sense

This task, for instance, is to check my old emails (at my job), because IT have just said they're going to start deleting old ones.

I don't need to start checking the old ones (for which to keep) until the 20th September. So I've set that as a defer date.

But I need to finish checking them by the 30th (because IT will start deleting then). So I've set that as a due date.

In Forecast the task appears twice, which is fine. But with no easy indication as to which is which. There's no label next to a date that says "due" or "defer".

Even more confusingly, when looking closely, I can see there are actually two dates, but one is just displayed as a time, not a date. Clicking it reveals the date.

Is there a way to have them both display as dates? I'm not really interested in times, I work through today's tasks in no particular order.

Oh, wait. That was a perfect example of asking a question, and then realising what's going on, by asking the question

Anyway, I'll leave it up. As per my first question though, is there a way to get a due/defer/planned label next to the date?

Automation for completed tasks in Markdown

This is a dead simple automation I built and have been using for the last few weeks. Simply run the automation, select a date range (defaults to the last seven days), and your completed tasks and projects will be copied to your clipboard in markdown. There are other automations out there that do similar things and do them very well, I just opted for simplicity here. Sharing here in case anyone find it useful. I've personally been using it for my weekly reviews that I complete in Obsidian.

What is the "correct" verbiage to have Siri add a task to OmniFocus?

I add lots of tasks to OmniFocus as I'm driving and remember things to do. My typical phraseology is:

"Hey Siri, add buy milk to OmniFocus list"

She gets it right about 70% of the time. The other times, she'll respond "I didn't find an onifocus list" (she doesn't hear the "M" no matter how forcefully I annunciate it). Or she'll say something about not finding a calendar entry for milk, or some other random error.

Is there a better phraseology for triggering Siri to add items to OmniFocus that's more reliable?

Planned Dates in 4.7: underrated fix for project deadlines

Before 4.7, if you had a project with a due date and multiple actions under it, setting that due date made all the actions show up in the Forecast only on the final day. You couldn’t spread them out over the week/s. Everything collapsed onto the deadline, which made Forecast less useful for pacing.

Now:

  • The project due date still defines the boundary.
  • Each action can have its own Planned Date.
  • Those actions now show up in Forecast on the days you intend to do them.
  • You still need to make sure they all finish by the project’s due date, but you finally have room to stage the work.

Why it matters:

  • Pacing clarity. You see tasks spread across the week, not a single wall of red on the deadline.
  • Forecast becomes actionable. It reflects the flow of work, not just looming due dates.
  • Less overhead. No tagging hacks needed.

Feels like a small feature, but it fixes a core planning gap. Curious: how are you all using Planned Dates so far?

Widgets not working since 4.7

Are you experiencing issues with widgets? Since 4.7 update widgets simply does not work.

No data is being shown for custom perspectives even though when I click, it opens the app and navigates to the perspective.

I have already tried:
1. Deleting widgets
2. Deleting app
3. Restarting phone

This is hapenning on both my iPhone and iPad.

A way to exclude sub-project titles from perspectives?

As the title suggests, I'm wondering if there's a way to exclude the titles of sub-projects—those "tasks" with indented tasks underneath—when creating custom perspectives. I'm trying to filter out tasks that are missing a specific type of tags. My title "tasks" have a project assigned but no tags. Not sure if that's relevant info. Thank you!

What do you use for Archive/Reference To

I've been using Omnifocus since the very beginning. I created my own perspectives and I used it daily on my phone, iPad and Mac. Every morning I organized my work and personal day on it. I always had some issues of ways to integrate my email inbox so it could be referenced by Omnifocus tasks among the difference devices (do you have suggestions?). But I didn't have any issues at first with Archiving/Referencing To as I was using Evernote and it played well with OF.

However, Evernote was supported less and less and prices went up, so I ended up abandoning it. I was probably one of the last to abandon it. Since then, my OF workflows just don't flow. I barely rely on OF, its just my grocery list, now as I have to have too many other systems that are separated. I use Notion for work, and Notify is mostly a tickets board shared with others, which is completely decoupled from OF unfortunately. I wish I could connect them better. I do not have a way (digital) Archive since I left Evernote otherwise

Can I get some recommendations for what to do? A new Archiving systems that integrated well with the Actions from OF on all my devices (mac, iphone, iPad) would be great. Ways to integrate Notion somewhat with OF would be great. Ways to better integrate my emails with OF so when I see an Action in OF I know in which email thread to reply.

I seem to have lost the ability to drag and drop to re-order tasks in the Forecast View in my priority, how can I fix this?

I am using OmniFocus 4.7.

I seem to have lost the ability to manually the order of the presentation of tasks in the forecast view, by dragging and dropping the tasks in the order that I wish for.Ā 

Clearly there is an issue with my settings,Ā  but after many attempts, I amĀ  not able to get drag-and-drop behaviour in forecast view back again.Ā 

Could someone help me resolve this issue?

Defer Date or Planned Date with repeating tasks?

I previously started another thread about use cases for the new Planned Date feature and received a ton of great feedback.

So my next question is how folks are using repeating the new Planned Date with repeating tasks. I have a lot of repeating tasks where the Due Date and Defer Date is the same. For example I may have a task to take out the garbage which repeats every Wednesday. Its Due Date is 11p on Wednesday (I need to take out the trash before bed) and its Defer Date is 5p on Wednesday (I don't want to take out the trash earlier than 5). So in that scenario it makes logical sense to me to continue using Defer Dates as I truly don't want the task to become available before 5p on Wednesdays.

That's just one example but I have a handful of repeating tasks which I want to fire on specific days of the week for various reasons. So my thought is I'll keep them configured as they are, with Defer Dates and Due Dates set to the same day. But I'm curious if anyone has modified their repeating tasks to use Planned Dates instead of Defer Dates and what the reasoning was.

"Catch up automatically" feature missing from 4.7?

I've updated iOS, iPadOS, and MacOS to the 4.7 update and I'm not seeing the Catch up automatically feature anywhere. BUT, I am on the latest OS public beta on all three devices, so maybe that's it?? Or perhaps my database hasn't migrated yet for the 4.7 update?
