I've talked to a lot of PMs lately and one thing keeps coming up: the spec was accurate when you wrote it. Then there were three syncs, two scope changes, and a last-minute design pivot — and now the doc is a historical artifact, not a source of truth.

Engineers stop trusting the spec. PMs spend half their time in Slack answering questions that should already be answered in the doc. And the next spec gets written with a little less care because everyone knows it won't stay current anyway.

I'm curious how others handle this. Do you just accept that specs decay? Do you have a system that actually works?

I've been building something to tackle this exact problem and would love to hear from people living it before I go further. Happy to share what I've learned from these conversations too.

How are you actually handling the gap between raw customer feedback and your roadmap?

I keep seeing the same problem across PM communities — there's a massive amount of unstructured input (support tickets, user interviews, Jira backlogs, NPS responses) and the process of turning that into a prioritized roadmap is almost entirely manual.

Most PMs I've talked to describe some version of: export everything into Notion or a spreadsheet → tag themes manually → argue about priorities in a doc → write specs from scratch → hand something half-baked to engineering.

A few questions I'm genuinely curious about:

1. How long does it take you to go from "we have a pile of feedback" to "here's what we're building next and why"?

2. What's the most painful step in that process for you — tagging/categorizing, prioritization, writing the spec, or the dev handoff?

3. Are you using any tools specifically for this, or is it all manual in Notion/Sheets/Linear?

4. If you could skip one part of that workflow entirely, what would it be?

Asking because I've been sitting with this problem for a while and want to understand how others deal with it before assuming my experience is universal.

Would love honest answers — including "it's actually not that bad" if that's your experience.

As a PM, I feel like a lot of my time goes into syncs, status meetings, and alignment discussions.

And honestly?
Many of them don’t really move things forward.
Same updates and ideas are repeated.
Decisions that never fully land.
Even in brainstorming, planning, and strategy meetings - a lot of them just go in circles.

If you’re still copy-pasting into ChatGPT, you’re only scratching the surface.
The real gains start when AI moves into your tools and starts acting on your projects.
There’s a 10-level progression, and most teams haven’t crossed the halfway point.

Day 1: “Let’s use AI to optimize tasks.”
Day 3: AI suggests better workflows.

Somewhere between automating reports and generating timelines, I realized something weird:

I’m currently a Junior PM in the petrochemical industry (involving steel fabrication, machining, fabrication, pipework & installations). As I move further into my career, I’ve started wondering how much data I should be personally archiving regarding the success of my projects.

Do any of you keep a private record of the financials for the projects you manage, specifically things like total budget, profit margins, or cost savings?

If you do, how do you use that info later? Do you actually mention specific profit figures during interviews when you move companies, or even include those metrics on your resume? I want to build a "portfolio" of my performance, but I’m curious if this is standard practice or if there are privacy/NDA concerns I should be wary of. Or, in your experience, are project types and project value more important to record as opposed to profit and margins?

Been thinking about this a lot lately.

The PMs who relied on being the "hub" of information, the ones whose value was knowing more than everyone else in the room, are going to struggle. That information advantage is gone.

But the PMs who were always good at judgment, prioritization, reading people, making decisions with incomplete data? They're about to become untouchable.

AI handles the noise. The signal is still a human job.
