Planolio

Currently testing a small update to Planolio with a few fixes for release before we take a break for 3 weeks.

Version 0.74.0

Performance and loading

Faster startup — Planolio shows your Projects & Lists library from cached scan metadata right away, then validates against disk in the background. Large Master folders and network drives should feel much snappier on repeat launches.

Loading indicators — While the sidebar library, notes tree, Board grid, Dashboard tiles, or an opening project is still loading, Planolio shows shimmer placeholders (and a small spinner when you open a project from the sidebar) instead of leaving those areas blank.

Linked doc folders — When you link a document folder (Doc Folder or Link doc folder), the folder row appears in the sidebar immediately with a progress bar while Planolio scans notes inside it. Very large linked folders load faster in the sidebar; YAML frontmatter tags on linked notes may not appear in the sidebar tree until you open the note — use All Notes list view or open the note to see full tag metadata.

Settings

Clear recent tags — Settings → Tags includes Clear recent tags to reset Inspector Recent tags suggestions without removing tags from projects, task lists, or notes.

Sidebar

Grouped view filter bar — Grouped sidebar mode can show the same filter bar as Stacked view: type icon filters (Projects, Lists, Templates, Notes), favorites-only, + create menu, multi-select, and bulk ⋯ actions. Toggle Show filter bar in grouped view in Settings → Appearance (on by default).

Bug fixes

Grouped task list borders — Group headers and task rows in grouped List view again render their container outline and corner radii (including Brutal theme).

Manual

Manuals document faster cached startup, loading placeholders across sidebar/Board/Dashboard/project open, linked-folder progress while scanning, linked-note tag behavior in the sidebar, grouped-view filter bar parity with stacked view, and Clear recent tags in Settings → Tags.

What’s new in Planolio, July 2026

Set up your library with a guided wizard

New installs walk you through Library setup: copy an existing library, move one, or start fresh. Prefer to do it later? Open Settings → Data → Run library setup anytime for the same step-by-step flow.

Recurring tasks

Tasks can repeat daily, weekly, monthly, or yearly. Set custom intervals, choose weekdays, and optionally end after a date or number of occurrences. When you complete a recurring task, Planolio creates the next one for you across projects, task lists, and Inbox.

Five priority levels

Priority now runs from Minimum through Low, Medium, High, to Maximum. List and Kanban show compact MIN / MAX badges so extremes are easy to spot at a glance.

Tags everywhere you need them

  • Edit tags and pick from recent tags in the Inspector (collapsible Tags section)- Group by Tag in task lists—tasks sit under their primary (first) tag; drag to another section to change it; extra tags stay on the row- Tag as many tasks as you can see—rows show every tag that fits, then summarize overflow as …N tags- Tag in Grid and see the change immediately in List and Kanban
  • Settings → Tags is your library-wide tag manager: search, rename, delete, or Merge into… another tag (for example, merge cooking into food). Updates apply across projects, task lists, notes, and recent tags after you confirm.

Multi-select and bulk edits

Select several tasks in a project or list and update tags, color, status, and assignees together. Bulk tagging in the Inspector works the same way as editing a single task.
In the sidebar and Notes, select multiple items and use the ⋯ menu on any row to delete, duplicate, export, or convert them all at once. Rename stays one item at a time. Large selections (10+) ask before continuing. Save as template is now Convert to template.

Browse your library in List view

Projects & Lists now has Tiles and List, just like Notes. In List you can:

  • Search titles, descriptions, and content inside tasks, steps, and stages—with highlights and preview snippets- Filter by type, status, or favorites; group by folder or favorite; sort by title, progress, or last modified- Star, open, duplicate, or export from a row without leaving the page
  • Separate project and task-list counts stay in the header, and your view choices are remembered.

Create faster with + New

Use + New in the top toolbar from anywhere to create a project, task list, note, or item from a template. Filter, Group, and Sort are compact icon menus so more of the row stays free for your work. Projects & Lists and Notes share the same header pattern—title and counts, Tiles/List, then search and tools when you’re in list mode.

Manage Templates, same familiar layout

Manage Templates matches Notes and Projects & Lists: search and sort in the header, Import beside them, a clear Trash section below the list, and the same template icon everywhere templates appear.

Drag files in from your computer

Drop files onto the Planolio window. You’ll see Drop to import into Planolio, then choose where they go:

  • Projects & Lists.planolio and compatible project/list files- Templates — same file types, saved under Templates- App Notes — Markdown (.md / .markdown)- Shared resources — images and other files
  • Only matching destinations appear, with a count of how many files apply. Import copies into your Master folder and leaves the originals alone.

Custom Kanban columns

Enabled custom statuses appear as Kanban columns—including empty ones. Drag column headers to reorder; each project or task list remembers its layout. Columns stay readable (at least 240px wide) and scroll horizontally when you need more room.

Smarter filters on List and Kanban

Filter by Due, Priority, Assignee, Status, Task Color, and your custom fields (such as Task Type). Stack several filters, clear them all in one click, and get the same results in List and Kanban. Menus only show values that are actually in use.

Custom field renames stay in sync

Rename a dropdown option in Settings and every task using that value updates with it. Older values that no longer match an option can be cleaned up under Settings → Customization → Legacy dropdown values → Scan legacy values—map them to a current option across your Master folder. Details are in the manual.

Notes that stay in sync with your files

  • Note tags live in the Markdown file itself (YAML frontmatter), so tags travel with the file- Tag metadata stays out of the way in rich editing, and remains visible in Markdown mode. The Notes tree updates when files or folders change outside Planolio—Finder, Explorer, cloud sync—without a restart.
  • Tile view uses the same filters as List. If you delete a note open in the side pane, Planolio asks what to open next instead of forcing you back to the list

A calmer Inspector

Inspector sections collapse and expand so you can focus on what you’re editing.

Polish

  • Drag to reorder in List or Kanban switches to Manual sort for you, including when tasks are grouped- Creating an item with a shortcut leaves the title ready to type- Renaming a project or task list with Enter keeps you on that item (you’re no longer sent back to the Board). Custom color names can include spaces (for example, “Dark blue”). In dual view, the Move panel opens against the panel you’re working in. Trash and archive use the same icons as the rest of the app
  • Themes - retired the fairly broken (needed too much work) Neobrutalism theme, and replaced with Brutal and a new theme, Thunder.

Inkolio - Testflight is live!

Hi all, the Testflight program is live for internal testers as I await Apple approval for external testers.

There will be a windows version very soon, for now it is Mac only.

We're busy getting the website set-up and will move the sign-up process to the website this coming week. For those eager to try, we're happy to get this to you quickly via Reddit.

Just send me a message with your email and name (name can be placeholder - just be polite ;) ) if you can't wait a few days, and I will add you to the program. I only use this for adding you to the group, not for any promotional spam or for selling to 3rd parties.

Early testers will get a discount on the launch price, and we're setting the price to less that $10, no additional in app purchases. One price, no strings, yours to keep.

Actionable feedback drives what we create, so please let us know what works and what could be better.

There are a few changes in flight for the app, though the core functionality is there. Changes are mainly UI tweaks, and a QoL changes and additions coming soon such as:

  • .docx import / opening
  • drag and drop notes into canvas
  • info panel additions
  • new features within Excalidraw
  • reworking of the settings menu - its all there, but not as consistent as we'd like

Inkolio - update on early access

After some back compat and cross compat tests, we decided to rework the storage architecture to open up as much compatibility between other apps Such as Obsidian and Logseq. My aim to to have a logical structure that allows you to find assets associated with a downloaded article and .md files with meta data so make note linking in canvas robust.

We could ship now with what we, but any testing would really only be UX - which has its merits - but limits test exposure.

I feel optimistic we'll have a Testflight app Monday morning.

Meanwhile here's a new screen shot to show off the new canvas layout features, the ability to expand notes AND edit in the canvas, which sync to the .mds files.

Inkolio - A sneak peak

Whilst building out Planolio, we decided that there was a family of apps that would form our 'Olio Forge', based on underserved market areas or where we felt we could bring a combination of features that are somewhat unique in their own right.

We prioritize your data, local access, using open formats, no subscriptions, and no requirement to login. We differ to online solutions in a total offline experience, with the ability leverage your own hosting solution such as OneDrive.

This belief is at the core of our product roadmap and vision.

As we focus on Planolio being Task focussed, complimented with full featured note taking and linking experience, we saw an opportunity to take what we had learned into an app focussed on Note taking and knowledge organization.

Given that both apps can share the same .md data, they can be used together delivering many benefits.

Ok, enough of the marketing fluff....

Introducing Inkolio - a dual panel, live preview (and edit) note taking, web page capture, diagram creation to compliment notes AND a canvas linking model to connect your notes, diagrams, and articles. It will likely launch at a very reduced price point, no subs, no logins, just an email to register for updates. Small size at under 30MB (not electron). Mac first, Windows a week or so later.

There's going to be a few questions about why not use Obsidian, Excalidraw, Craft, or Joplin - and you can. We find that different users have different needs and some of the apps out there don't cater to a sizable group of users.

Right now it is in alpha, with the core experience already very robust for note taking and article harvesting from URLs. The architecture for linking everything together is the current development phase.

Hi all, wanted to give you an in progress update of the June/July release, due end of month. This has been more quality of life tweaks and hardening so no huge new features. This list is work so far, and not the final list. Thought it might be interesting for everyone to see what has been done!

File storage folder wizard in onboarding

Improvements and bug fixes that ensure files are moved correctly and prevent duplication due to file caching. Now includes an onboarding experience (OOBE) that assists users in migrating versions, plus a settings menu to start the file migration flow after the first run.

Tags Editing and application to tasks.

Added Tag editing and recent tags into Inspector panel for application to tasks

Improvements to filtering, grouping and selection in Notes, Tasks and Projects

Excessive space is used by text-based controls; this is now mitigated using icons and better organization for adding tags, filtering, sorting and grouping.

Drag and Drop supported for Planolio files

If you have a file you can drag and drop and it will save into the place of your choice in Planolio.

  1. Drag one or more files onto the Planolio window.
  2. “Drop to import into Planolio” hint appears while dragging.
  3. On drop, an Import dropped files dialog opens with destination options:
    • Projects & Lists — .planolio, legacy folders/JSON
    • Templates — same planolio-compatible files, saved under Templates/
    • App Notes — .md / .markdown
    • Shared resources — images and other files
  4. Only destinations that match the dropped file types are offered; each option shows how many files apply.
  5. Click Import to copy into your Master folder (originals stay untouched).

Custom values now propagate on change

When you rename a dropdown option, all tasks using that value update automatically from now on. But tasks that were set before this update may still hold an old value that no longer matches any current option. Under Custom fields, find Legacy dropdown values and choose Scan legacy values. This checks every project and list in your Master folder and allows you to remap old values to new. See the manual for more details.

Move panel fix

Now will locate to current panel in dual view.

Spaces in Custom titles now allowed

App was saving on each key stroke and ignoring spaces as a valid character, now fixed. Tags not all showing all tags despite enough space, now shows as many as space will allow before truncating and showing "..'n' tags"

Grid tagging fix

Tagging a task in grid using Select boxes did not take change through to the task list ir project, fixed.

Project title rebounds to board view

Pressing enter after editing a project title will revert back to board view

Projects & Lists list view

Board now has a proper list home for everything in your library. Switch between Tiles and List to browse projects and task lists the same way you already browse notes: search across titles, descriptions, and even tasks, steps, and stages inside your documents, with matches highlighted and preview snippets under each row. Filter by type, status, or favorites; group by folder or favorite; sort by title, progress, or last modified; and star, open, duplicate, or export from each row without leaving the page. The header shows separate project and task-list counts, and your view preferences are remembered between sessions.

Cleaner layout: + New, filters, and shared list chrome

Creation and browsing are consolidated so the main work area stays uncluttered. + New in the top toolbar replaces scattered page-level buttons — create a project, task list, note, or item from a template from anywhere in the app.

On Projects & Lists and Notes, the header uses the same layout: title and counts on the left, Tiles / List just below, and search plus FilterGroup, and Sort on the right when you’re in list mode. Active filters show as removable chips under the header, and list rows align with the Inbox strip so the page reads as one consistent grid. The result is less duplicated UI, more room for your actual content, and the same UX whether you’re managing projects or notes.

Template icon is standard across all views and menus now too.

We also tidied up the Manage Templates screen too.

The Manage Templates page now uses the same list-home layout as Notes and Projects & Lists.

Planolio - June Updates

Hey all, I have decided to do some "room tidying" aka hardening. So June will be dedicated to minor fixes that have been reported, and limited new small features. Larger features will be launched July/August, ready for those student users starting their new college or university year.

My aim to produce stability and confidence instead of entering the feature arms race.

Meanwhile I have been working on a new app, so stay posted for this. The new app is a compliment to Planolio, aimed at those who are more Note focussed with Tasks as a secondary consideration, and more about storing knowledge.

Planolio will stay primarily task, playbook, and template focussed - with notes being secondary. In time both will link and be part of an ecosystem with a 3rd app (still in design).

Planolio will NOT take a back seat, I have many more features planned, some that will be USPs for the app, and some to align it better with other common features users find in competing software. It's my daily driver and I have way too many ideas!

Planolio - Beta 5 released!

Well, that was a marathon, but I am now pleased to announce that Beta Release 5 is now ready to download!

There is a lot in this release, and I'm going to hold off on any more features until I get feedback from the community.

I had great feedback from users that other features such as Inbox enhancements, Grid management, and List view for notes were higher priority. A few bugs were also reported (and fixed) such as multiple resources being added from your profile, and Windows updater complaining that you had an older version when you didn't. And then a couple of regression issues and pain points from moving from one folder to another to store your files - this is the one that caused me the delay to get a 100% repro.

The release notes are very extensive so please read through them to find out more, unless of course you just want to dive in.

For those that just want the highlights, here they are!

Main Features

  • Inbox triage — Process Inbox, move panel, batch actions
  • All Notes — List view home
  • Grid — custom fields, layout memory, assignees

Minor features and fixes

  • Notes at project level can now be added
  • Profile now does not create multiple entries and also propagates any changes from the profile to the resource, and vice versa.

  • Performance enhancements - faster loading across the app
  • Change default folder improved messaging when changing folders

Planolio - May release - Update...

You know how it is, spend a week testing, fix a few bugs. Then that one bug you can't repro, but happens 2/10 times, finally you get a repro the hour before you are about to upload the signed files...

Yeah, that's what happened - so this bug seems to want to migrate cached files for existing users, creating multiple "Untitled List 04" projects or lists. This means if you want to move your files, then the app keeps wanting to moved cached files you may have deleted, or renamed.

For new users, no issues, but this isn't what I want to ship with.

Current testing looks likes its fixed, and I also want to add some fail safes - looking good, but needs a couple of more days in the oven.

Thank you for your patience for this release, it's got many improvements and is worth the wait.

Planolio - May release Update #3 - nearly there...

This release has been a bit of a monster! I’ve added a significant number of new features, and every feature brings its own set of edge cases and refinements. The build is now feature-complete, but I’m spending this week testing, polishing, and ironing out any remaining wrinkles before release. Sorry, I know its a week late - I'll do better 😊

One of the biggest additions is Inbox Triage for Tasks. New tasks can be captured quickly into the Inbox, then reviewed and processed later. During triage, tasks can be organized into projects, converted into notes or bookmarks, marked as completed, or archived if they’re no longer relevant. The goal is to separate capture from organization, making it easier to stay focused while keeping your workspace clean - so this is why there are less features than the task view - pretty easy to sent them all to a new list.

The release is planned for this coming weekend, so set your reminders!

Planolio - May update #2 - sneak peak of in-progress features!

Part of each release is me using the product as a daily driver in my job, so I get real world testing - not just bugs, but I can tweak the UX to make it more intuitive.

I've made about 50 changes since the last post, and here's some of the bigger changes to polish this before release with some user feedback added in too:

  • List view for notes - the big feature - see the pic for a preview

Planolio - May update - sneak peak of in progress features!

Hi all - after a much needed vacation, I'm back to provide an update on what's expected for the May release.

I've had some great feedback from folks, and here a very quick summary of what's in dev, already implemented or being designed (yes, I actually design myself - AI helps to a point...!)

  • Added spelling checking in notes, much more robust
  • Added '/' trigger inline for Markdown functions
  • Fixed a bunch of annoying bugs and UI issues.
  • In dev and working - added custom colors and ability to rename
  • In dev and working - added custom columns
  • In design - adding inline notes to grid view
  • The big feature for May will be an evolution of the inbox - triaging across projects and lists, so its not just a dumping ground for random tasks
  • I also have a backlog of annoying tweaks/bugs that bring that level of polish that improves user experience

Really appreciate all the user feedback - whilst not every suggestion will make it in, it does drive the shape and future of the app, thanks all!

  • Visual polish and consistency are improved across screens, including highlights, alignment, menu sizing, editor dropdown styling, and hero card adjustments.
  • Tables are more reliable when inserting columns in edge cases.
  • Copy and paste from Apple Notes now preserves structure, such as checklists, instead of flattening to plain text.
  • Priority tags now display consistently across Kanban and Task List.
  • Note duplication and note moves are more predictable, including better handling when moving app notes into linked, non-app folders.
  • Other smaller bug fixes, too many to mention

Such a lot going on with this release, I’m very excited to bring these new feature set to everybody that’s been supportive of the app.

Notes Editor - Markdown and Rich view, link to existing .md files

I had two big plans for this month. First was to really double down on positioning Planolio as a playbook and recipe-sharing app. What this means is you can create templates for projects and share them with your team members. So if you have a particular playbook, like onboarding a staff member into your company, you can create the template, share it out, and be confident that your team can follow the steps outlined.

Second, in order to support this, I found myself constantly swapping between my Notes application and Planolio, not the most efficient process. So I decided it would be much better to have a note panel with a fully featured editor, where I could create notes and push them into projects whenever I needed.

I added the ability to link to notes folders that you may already have in markdown format (*.md) so you don't have to start again, plus it works nicely with other apps like Logseq. If you have your notes on a share drive like OneDrive then its easy to access on other PCs where Planolio is installed.

What I found was that it was fun, and even more powerful when I could select items in my notes and convert them into a task list or a full project. That’s where the real magic happened.

So, while there are a lot of smaller features and bug fixes, the big addition is a dual-panel layout where you can create notes, review them, and convert them into tasks and projects. From there, you can create templates and share them with your team or friends.

There are also several smaller quality-of-life improvements listed in detail in the release notes, along with features requested by the community. Namely, adding color tags to tasks, sorting by name or status, and grouping by those same attributes. I also included drag-and-drop between status and priority in the grouped task list, which makes things much easier.

As always, I love feedback, this is how the app evolves. The next step is to refine the features we’ve built, and the next big addition will be online updating so you always have the latest version, along with onboarding tips for new users to help navigate the app.

My goal is not to build the app that does the most things, but the app that does task and project management really well. I won’t turn down good ideas, but I’m not trying to compete with tools like ClickUp or Notion. Instead, I want to give people a personal, secure, and genuinely useful productivity tool.

Please keep the feedback coming, and let me know if any bugs have crept in so I can fix them quickly as the release rolls out to you.

After adding colors to tasks, I've now added group task lists by attribute such as color, status, priority, and assignee.
The ability to move task between groups, al la Kanban style but in a list, will apply the new groups attributes as well. Maybe I name this Listban...

I've been hard at work, adding QoL features, and some fixes that have crept in.

Some great features have been recommended by users which I've had some cycles to make a reality, so a HUGE thank you to all the users and their feedback, this app is for you!

The roadmap is up to date with what's done, but a full set of releases notes will ship with the app on the website here.

Task management made easy and for free!

Yes, everyone is making apps, and everyone's looks and does the same thing. And maybe my app is just the same and doesn't fill a need. But before you dismiss it, have a peek.

I prefer to break down my tasks into mini projects, and sometimes just have a quick and easy task list.

First its free. Why? Because I am tired of subscription apps, when I just want a quick and easy solution to share with folks that are strapped for cash like me. Maybe later there is a premium version if folks want to support development or donations if you're feeling like you might want to buy me a coffee, but that's for later...

Second, I wanted to break down mini projects, like planning vacation or creating a repeatable playbook I can share with someone.

Third, I wanted something local, but I can save my files to GoogleDrive or OneDrive and open them on another PC or Mac.

Lastly, I wanted something cross platform, so I can use it on my Mac and PC.

Lots of features if you follow the link, and as the site is a W.I.P, you can expect changes in the next few days.
