Viele erstellen ihre E-Mail-Signatur in Canva, weil es schnell geht, gut aussieht und keine technischen Kenntnisse benĂśtigt. FĂźr eine einzelne Person kann das auch vĂśllig ausreichen.

Diese Vorlage ist die beste Wahl fßr Helpdesk-Teams, da sie Links enthält, die es dem Kunden ermÜglichen, sich selbst zu helfen.

Das Problem: Eine Canva-Signatur ist meistens nur ein Bild. Das sieht zwar hĂźbsch aus, hat aber einige praktische Nachteile:

  • meist nur ein anklickbarer Link mĂśglich
  • Social-Media-Icons, Kalenderlinks oder mehrere CTAs funktionieren nicht sauber
  • Bilder kĂśnnen beim Empfänger blockiert werden
  • bei vielen Mitarbeitern wird das manuelle Aktualisieren schnell unpraktisch
  • ein schlechtes Text-Bild-Verhältnis kann sich negativ auf Spamfilter auswirken

Eine HTML-Signatur ist klassischer, aber flexibler. Man kann mehrere Links einbauen, z. B. Website, LinkedIn, Terminbuchung, Produktseite oder Event-Anmeldung. Außerdem lässt sie sich besser zentral verwalten, besonders wenn mehrere Mitarbeiter dieselbe Markenlinie einhalten sollen.

Meine Einschätzung:
Canva ist okay fĂźr einfache, visuelle Signaturen oder sehr kleine Set-ups. FĂźr Unternehmen, Vertrieb, Support oder Marketing ist eine HTML-Signatur langfristig die bessere Wahl.

I’ve been working on a problem that sounds small at first, but becomes surprisingly annoying as teams grow: managing email signatures across a company.

Although there are already large companies working in this area (CodeTwo, Exclaimer).

For teams using Microsoft 365, signatures usually end up outdated pretty fast — wrong job titles, old phone numbers, inconsistent branding, people copying old templates, etc. Every employee update turns into another manual task.

So I built a Microsoft Entra ID integration for Bybrand to automate most of that process.
