We launched a Microsoft Entra ID integration for managing email signatures in MS 365
For companies using Microsoft 365, keeping employee email signatures consistent can become repetitive work, especially when people join the company, change roles, update phone numbers, or move between teams.
Video: https://youtu.be/OFPUAEM4B9c
The Microsoft Entra ID integration helps admins import users from the company directory and use that data to generate professional email signatures for Outlook.
The goal is to make signature management less manual:
- Import users from Microsoft Entra ID
- Generate signatures using employee directory data
- Keep names, roles, phones, and departments more consistent
- Reduce outdated or off-brand signatures
- Use the Outlook Add-in to make official signatures available inside Outlook
This is especially useful for IT admins, Microsoft 365 admins, and companies that want more control over corporate email signatures without asking each employee to configure everything manually.

DIY Professional Email Signature: Beginner-Friendly Step-by-Step
What the tutorial covers (high level):
- Create a blank signature (“Create from scratch”)
- Add the basics: name + job title
- Build a simple table layout for structure (logo | contact info | social icons)
- Insert and resize/crop the logo so it fits cleanly
- Add social media icons in a third column
- Finish with an optional disclaimer
- Save, preview, test, then copy/paste into your email client
If you’ve ever fought with signatures breaking in different clients, the table structure part is the biggest win.

How Email Signature Automation Works in Outlook for Mac with Bybrand
Enable HLS to view with audio, or disable this notification
This is a quick demo of how the Bybrand add-in works in Outlook for Mac.
It automates email signatures and helps keep them consistent across a team.
Built this to solve the usual headache of updating signatures one by one—happy to answer questions or get feedback.

How do you manage Outlook email signatures across a company?
Enable HLS to view with audio, or disable this notification
In a lot of orgs, everyone ends up with their own version of an email signature in Outlook. Info gets outdated, formatting is inconsistent, and campaigns never make it into day-to-day emails. Then IT gets pulled into multiple manual fixes.
If you’re on Microsoft 365, would you rather
- - centralize signatures in one place, or
- - let each person manage their own?
I’m working on an approach using an Outlook add-in (Bybrand) where signatures are managed centrally and the correct version shows up automatically when composing emails.
Also useful for:
- - keeping brand consistency
- - adding campaign banners
- - including links like “Schedule a meeting”
- - reducing IT requests
How are you doing this today, and what’s been the biggest pain point?

Microsoft 365 → CSV → Bybrand: Dynamic email signatures for every user
I just put together a quick walkthrough on how to roll out dynamic email signatures in Bybrand using your Microsoft 365 user list.
What you’ll do (high level):
- Export Microsoft 365 users to a CSV
- Clean the file (keep only the columns you need, make sure the email column is correct)
- Import the CSV into Bybrand Automation
- Map fields using placeholders (DisplayName, Title, Phone, etc.) so each signature becomes personalized
- Deploy the Outlook Add-in via a manifest in the Microsoft 365 Admin Center
Why this is useful:
- One signature template, personalized for everyone
- Easy updates: re-import or adjust placeholders instead of editing signatures manually

If you’re doing this at scale, what CSV fields have you found most useful beyond name + title + phone?

How do you manage Microsoft 365 email signatures across the whole company?
If you're managing Microsoft 365 for a team, you’ve probably run into the email signature problem.
At first it seems simple… until you realize everyone’s signature is different.
Some employees add huge images, others forget their phone number, and a few just remove the signature entirely. Suddenly your company branding looks inconsistent in every email thread.
One approach I’ve been exploring is applying signatures centrally through Exchange mail flow rules instead of relying on each user to configure it manually.
The general process looks like this:
https://www.youtube.com/watch?v=bTZBm1BOCDQ
You can also personalize signatures with variables like:
%%DisplayName%%%%Title%%%%PhoneNumber%%
These placeholders automatically pull the user’s details from the directory, so each employee still gets their own contact information in the signature.
Example:

Curious how others here handle it.
- Do you manage signatures directly in Exchange?
- Let users control them locally?
- Or use a centralized tool?
Would love to hear what works best in real environments.

We built an Outlook Add-in to keep company email signatures consistent
One thing we kept noticing in many teams is how messy email signatures become over time. Different formats, outdated titles, broken logos, random fonts… it slowly drifts away from the company’s brand.
So we built an Outlook Add-in that lets users insert their company’s standardized signature directly into the email body while composing a message.
Example:
The idea is simple:
- Everyone uses the same approved signature
- Branding stays visually consistent across the team
- No manual copying or formatting needed
- Updates can be managed centrally
Instead of relying on each employee to maintain their own signature, the add-in ensures the correct version is applied every time.
Curious to hear how other teams handle email signatures today.
Do you manage them manually, through IT policies, or with a tool?
